Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Centralized metrics have improved risk visibility and now guide daily security decisions
One feature I would love to see in Cortex.io is more advanced real-time threat detection and automated alerting. I feel that this is very important, especially tailored for vulnerability severity and risk prioritization. Currently, Cortex.io provides excellent scoreboards and insights, but having real-time security alerts tied directly to risk levels, with automatic escalation and suggested remediation actions, will make the platform even more powerful in my opinion. This matters because it bridges the gap between observability and active security response, helping prioritize high-severity risks automatically, which can cut down the time spent manually correlating metrics and alerts. One area for Cortex.io's improvement could be deeper automation and actionable recommendations. For example, the automation prioritization for vulnerabilities by risk could have more remediation actions based on historical issues, and also more security tools for real-time alerts.

Centralized service processes have improved cross‑department visibility but reporting still needs work
The machine learning capabilities in OpenText Service Management (SMAX) are somewhat not published the way they should be. They work pretty well, but they are not used as much in the current experience of our customers. They have them; the solution has them, but they usually go a little bit below the radar in terms of visibility. I believe there is room for improvement when it comes to machine learning capabilities. OpenText Service Management (SMAX) has room to improve mainly on reporting components. The reporting components include dashboards, and while OpenText Service Management (SMAX) has a reporting module, it's somewhat limited, so I believe it has room to improve there, with more inclusion of artificial intelligence in the models and more in project management and portfolio management capabilities. We want to see better use and more functionalities enabled with the already existing capabilities such as AI and reporting in the next OpenText Service Management (SMAX) release, but one important thing we think should be included is a module for metrics, similar to Google Analytics, that focuses on the metrics of the tool usage. The module shouldn't just report on the components of OpenText Service Management (SMAX) but also track how the tool is used by end users, for example, what functionalities users utilize more frequently, the performance of those functionalities, and how long it takes them to open a ticket or log in, focusing on applicational monitoring metrics and performance management metrics.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The feature we found to be the most valuable is the documentation automation as it allows us to focus on the actual important piece of building automation instead of tracking some of the repugnant documentation that goes along with building automation."
"Automation Anywhere is stable."
"Very comprehensive with different platforms especially SAP and Oracle EBS."
"This boosts the customer confidence and experience. When the customer experience increases, obviously sales will increase."
"Not all tools give us the clear utilization of the infrastructure in place but this does and trust me, this has been proved far better than other RPA tools and that is why I see AA booming day by day."
"Since it has capabilities to integrate with third-party applications easily, it makes the life of an automation engineer very easy."
"We have worked with various tools over many years and we believe that Automation Anywhere is one of the most stable platforms."
"Several manual, repetitive, time-consuming processes were automated, giving back time to the process owner, and for most of them the process now follows a single standard with additional controls created."
"Cortex.io is user-friendly, and its intuitive user interface is beneficial for non-technical team members."
"The best features Cortex.io offers are the dashboard, which is very detailed, and the fact that you can run different kinds of testing such as application security testing, vulnerability management testing, and cloud security testing, allowing you to see the levels and rankings of how vulnerable those situations are, including the risk factors."
"Cortex.io has positively impacted team collaboration because it provides clear visibility into service health, security posture, and operational metrics."
"The visibility feature has helped our teams by resulting in a 75% reduction in mean time to restore, allowing us to get alerts and incident history instead of relying on scattered spreadsheets and unreliable tools, thus saving around 15 to 20 hours per newly created service."
"OpenText Service Management Automation X provides valuable features such as topic analytics for incident and problem management. It also includes natural language processing for analyzing technical descriptions. Additionally, it features a virtual chatbot capable of processing natural language to interact effectively with end users. This service enhances customer support and is not subject to the limitations often found in offerings from other vendors."
"I've used this kind of application for more than 20 years and from my perspective, SMAX is one of the best products on the market."
"It offers a range of tools for sales and configuration. It's like a business process improvement platform, suitable for various lines of business operations."
"The customization features are quite good, and we have a very good local vendor helping us in this regard."
"The product provides an interface for the end users to make requests."
"The tool is very easy to use."
"This is a cordless application that can be used throughout any organization."
"OpenText Service Management (SMAX) is evolving in addressing the needs across different sectors like IT or HR."

Cons

"The Web Recorder should also include a feature where the user can select what browser you want it to run since it is currently using the Internet Explorer browser as default. Some of our web-based systems are currently not compatible with Internet Explorer and can only run using Firefox or Google Chrome."
"Currently, Automation Anywhere's debugging functionality is minimal."
"The installation piece was sort of complicated because we are new to the business. We are new to installing Automation Anywhere services and the services that they are providing. So, we are sort of expected some kind of installation engineer to come onto our premises and provide the support, rather than remotely."
"On the cognitive side, some of their competitors, when we were originally shopping, were a little more advanced in that space. Making use of probabilistic outcomes and presenting them to a business user is a feature that, at the time of our evaluation, did not feel like a strong, mature solution for Automation Anywhere. Nevertheless, they won our business. That is one feature where I feel they are trying to make investments to address those gaps."
"If I build a bot today and don't use it, however, in several months, someone tries to use it, there's a 30-40% change the bot will fail in one or two areas."
"I have noticed that after the bots have been delivered to run in a production environment, there are issues in terms of quality and performance."
"Automation Anywhere's current requirement for upfront annual payments limits flexibility for customers."
"It still uses old, deprecated Microsoft components that have an end date."
"One feature I would love to see in Cortex.io is more advanced real-time threat detection and automated alerting."
"I wish Cortex.io could cater to smaller teams struggling with visibility and operational toil, as a lighter version would be really great."
"Deployment for Cortex.io is not a simple process and is somewhat complex."
"I have not seen a return on investment, so I cannot share relevant metrics."
"The initial setup of Micro Focus Service Management Automation X (SMAX) is complicated, but once it is set up the configuration is straightforward to adapt to the users' or customers' needs."
"OpenText Service Management (SMAX) has room to improve mainly on reporting components. The reporting components include dashboards, and while OpenText Service Management (SMAX) has a reporting module, it's somewhat limited, so I believe it has room to improve there, with more inclusion of artificial intelligence in the models and more in project management and portfolio management capabilities."
"SMAX lacks in integrations as well as written documentation."
"The contract management feature can be improved."
"The reporting functionality is not the best as it is not easy to use."
"OpenText Service Management (SMAX) has some stability challenges that are crashable and not stable at times."
"The solution lacks sufficient documentation."
"The product's connectivity with third-party products is an area of concern where improvements are required."

Pricing and Cost Advice

"Additional costs will be for the machines and the number of machines that you are using. You can deploy virtually as well as on physical machines. In both the situations, you do need to allocate a certain budget for securing the machines and where the software will be installed and running. The machines cannot be used for anything else, because only a certain bot can run at a certain time. You need to be very particular about your scheduling of running the bots, and while the bot is running nobody can use the machine. You cannot have an agent working on a machine and the bot running in the background. It has to be completely dedicated. Then there are the network bandwidth requirements and space requirements, which are additional costs apart from the licensing and software costs. The developer is also going to charge you for their coding time too."
"The Community Edition is a good offering from the company."
"The price for Automation Anywhere is reasonable."
"My understanding is that the license cost of Automation Anywhere is more reasonable than UiPath and Blue Prism."
"They have a ridiculously expensive bot licensing structure, especially for the Asian region."
"From my experience, I can say that the initial setup cost is easily recovered over a period of time once the bots start running in production."
"We have a three-year contract with Automation Anywhere."
"They recently launched a Community Edition, which is okay, but they should have done this a long time ago."
Information not available
"The solution is somewhat cheaper than the competitors."
"The cost of the license for SMAX varies depending on the configuration, including the number of seats for users and the customer's specific requirements. It's not a fixed cost and can vary."
