We use Smarsh Enterprise Archive for record retention and surveillance. It allows us to journal all communications, ensuring that electronic communications are captured and retained for the required period, thus making it easier to comply with record retention regulations.
What is our primary use case?
How has it helped my organization?
Smarsh Enterprise Archive has improved our organization's efficiency and accessibility. It allows us to quickly search for necessary documents without having to request them from a client. This is significant. As compliance professionals, we aim not to burden our clients too much with frequent requests.
What is most valuable?
One of the most valuable features of Smarsh Enterprise Archive is its eDiscovery capabilities. The search capability is easy to use and intuitive, allowing for configuration of criteria to locate specific documents quickly.
Additionally, the interface is user-friendly, which is crucial for compliance tasks.
What needs improvement?
Being a compliance consultant working with multiple firms, I would like more customizable reporting options. Sometimes the automated reports do not show the organization’s name, which can be confusing. I would like the ability to manually add identified messages to a queue.
For how long have I used the solution?
I have been working with Smarsh Enterprise Archive for approximately ten years.
What do I think about the stability of the solution?
Smarsh Enterprise Archive is definitely stable.
What do I think about the scalability of the solution?
It is very scalable. Although most of the companies I work with are small, I don't foresee any limitations in scaling up to larger organizations, as it supports numerous communication channels.
How are customer service and support?
I have had a number of interactions with Smarsh's tech support team. They have been very helpful and always willing to provide assistance, even for high-level compliance questions.
How would you rate customer service and support?
Positive
Which solution did I use previously and why did I switch?
We have never recommended or had a client switch from GR to Smarsh, or vice versa. Both solutions are on par with one another. We have recommended clients add Smarsh or GR on top of their MS365 or Google systems.
What about the implementation team?
My involvement is typically limited to recommendation and introduction. We are not partnered with Smarsh, but it is one of the vendors I recommend to clients. Once the client decides to proceed, I assist during the policy and queue setup once the system is running.
What was our ROI?
It’s hard to measure quantitatively, but implementing a solution like Smarsh minimizes the risks of fines during audits by effectively meeting record retention and supervision requirements.
What's my experience with pricing, setup cost, and licensing?
I am not directly involved with the pricing or licensing aspects, however, I have seen fee sheets and invoices sent to clients.
Which other solutions did I evaluate?
We work with Global Relay as another solution, and we have also used Microsoft 365 and Google Workspace. GR is on par with Smarsh.
What other advice do I have?
I do recommend Smarsh to our clients for its enhanced features and ability to meet regulatory requirements efficiently. Smaller shops have become more inclined to switch to Smarsh due to these capabilities.
Smarsh has the ability to archive a wide variety of communication channels.
I'd rate the solution ten out of ten.
