|---|---|---|
| Program Manager at Intelliswift | 3.5 | I primarily use DarwinBox for attendance, payroll, and appraisals management. Its valuable features include effective attendance and leave management. However, customization in performance management is difficult. It offers a good ROI by streamlining HR and finance tasks. |
| Human Resources BP at Sri Balaji University,Pune | 1.5 | In my company, we use DarwinBox for employee data and recruitment; however, I find it lacks user-friendliness, integration capabilities, and a responsive UI. We previously used Excel and are considering moving to SuccessFactors for improved functionality. |
| SAP Head | Business Transformations | Innovation | Business Applications at a mining and metals company with 1,001-5,000 employees | 3.5 | We use DarwinBox for payroll and the hire-to-fire cycle. Its valuable features include organogram and position-based mapping, allowing diverse reporting structures. However, API integration with third-party applications, especially SAP, and features like travel management need improvement. |
| Business Analyst at Vedanta | 4.5 | I rate Darwinbox highly for its intuitive HR management, but find customization challenging. The chatbot needs voice commands, and I believe its scalability is better suited for medium-sized APAC organizations. |

Our primary use case for DarwinBox includes managing attendance, payroll-related tasks, and employee appraisal cycles.
DarwinBox has provided a significant return on investment for our finance team. Managing payroll and attendance manually would require more team members, so using DarwinBox definitely offers value in those areas. The mobile app functionality allows easy clock-in and clock-out for remote work, capturing location and time effectively.
Attendance management and leave management features are particularly valuable in DarwinBox. It allows easy check-in and checkout from mobile and captures location details. The leave-related modules are comprehensive, offering built-in functionalities for optional leaves.
Customization in performance management is cumbersome. Processes like six-month appraisals lack easy configurations, and any significant customization requires working with vendors.
I have been using DarwinBox for almost two years.
The stability of DarwinBox is rated at eight. It is reliable, with very rare outages or downtime.
I rate the scalability of DarwinBox at eight. We are currently using it for around four hundred people, and performance-wise it scales well.
I have not communicated directly with the technical support team as our support team handles it. However, the support response and quality are good, and they resolve issues as quickly as possible.
Positive
I have always used DarwinBox at this company since I started working here.
The initial setup was seamless since it is cloud-based, and there weren't any issues from the end-user side.
Our IT team is responsible for the setup and maintenance, with occasional contact with vendors for changes or support.
There is a clear return on investment, particularly for finance and HR-related operations, as DarwinBox reduces the need for a larger team to manage these processes manually.
DarwinBox offers comprehensive modules, but an area of concern is the lack of customizability, especially in performance management. It adequately covers basic functionalities, but there is a need for more flexible customization options.
I'd rate the solution seven out of ten.

In our company, we use DarwinBox to maintain the data of our employees and for recruitment purposes.
I can't speak much about the features of DarwinBox since I don't like it, to be honest.
DarwinBox is not at all a user-friendly product. DarwinBox is a product that needs to be made more user-friendly. DarwinBox's UI is not at all interactive and resembles some website that is made with HTML code, making it a very boring website. From an improvement perspective, DarwinBox's UI needs to be made better. There is no data integration possible with DarwinBox. DarwinBox is not a cloud-based product, and its servers are very messed up. The aforementioned areas concerning DarwinBox are aspects that I don't like and need to be considered for improvement in the future.
In general, DrawinBox's servers, integration capabilities, and user interface should be improved.
Every functionality that DarwinBox claims to provide to its users needs improvement.
I have been using DarwinBox for a year.
DarwinBox is not a stable solution.
DarwinBox is not a scalable solution.
Almost 16,000 employees use DarwinBox in the organization.
DarwinBox is a tool that is regularly and extensively used in the organization. The HR members in my team need to use DarwinBox during most of their work hours, which goes up to 10 hours.
We text or mail our grievances to a different team deployed in our company to connect and handle the communication part with the technical support of DarwinBox. I haven't actually directly connected with the tech support of DarwinBox.
In the past, since my company wasn't using any HR software, we were mostly working with Excel.
The product's initial setup is very complex. The setup process is complex since everything needs to be purchased initially from DarwinBox, especially at a time when we need to buy different kinds of domains and SIS servers, making it a very complicated process and a complex tool to use.
My company makes some yearly payments towards the licensing costs attached to DarwinBox. I have no idea about the actual expenses related to the product since a different team in our company handles it.
My company plans to move to another HR software. I have recommended my company with a product from SuccessFactors since we work with a lot of data. As I am the strategic partner of human resources in our company, I would want some data that is related to our business. I wanted SmartRecruiters to use some kind of integration of data since I want access to the data that the business uses, and later on, I found SuccessFactors is a good option as it met some of my functional requirements at my workplace. Maybe my company plans to migrate to SuccessFactors in the upcoming financial year.
Any product can be considered expensive if it doesn't meet the demands of an organization. Even if you pay a dollar for a product, and if it fails to meet the company's expectations, then it automatically is an expensive purchase.
I would not recommend the product to other people.
I rate the overall solution a three out of ten.
We use DarwinBox for payroll and the complete hire-to-fire cycle of employees.
The most valuable features of the solution are organogram and position-based mapping. One employee has different HODs. In DarwinBox, we can make different positions reporting on different things.
The solution's API integration with third-party applications should be improved. There are some issues when it comes to integrating the solution with the SAP system and banking single channels. Multiple things need to be improved in the solution's travel management, expense management, and reimbursement management.
I have been using DarwinBox for three years.
DarwinBox is a stable solution.
Around 650 white-collar and 2,000 blue-collar job employees are using the solution in our organization.
Users will see a return on investment with DarwinBox.
Compared with SuccessFactors, there is no major difference in DarwinBox's cost.
The solution is deployed on the cloud in our organization. The DarwinBox mobile app is excellent for facilitating HR tasks on the go. We plan to move to SAP for ERP and HRMS, sourcing, and procurement, provided the price is in our favor. Otherwise, we will stick with DarwinBox for the long term.
Overall, I rate the solution a seven out of ten.

We use Darwinbox for the HR hire-to-retire life cycle. Everything from hiring to separation and everything in between, including rewards and recognition, performance management, and even the social media aspect, is handled through Darwinbox.
The solution that we used previously was very complex. As a result, without referring to the manuals and consulting an expert, it was difficult for a newly hired employee to navigate the platform. However, this is not the case with Darwinbox. It has a very intuitive user interface, and anyone can use it and implement it without having to use a guide or a walk through process. It's very simple.
It has a page called Vibe, which is analogous to Facebook, and an employee help desk module as well.
With my very limited knowledge and experience, at present, I think it can be improved from the perspective of customization.
Like most software, it has a base version, the vanilla, out-of-the-box version, and customization is required to match it to the unique processes of each company. The Darwinbox team seems to be having difficulty with the customization process. They have to be a little more mature to customize it as per every company's need.
I would definitely like to see a better chatbot. Even though it has an existing chatbot, it's more of a click-and-navigate one. What I would like to see is one that responds to vocal commands. For example, if I were to say, "I want to see my performance appraisal rating," it should automatically detect that and go to that page. What we currently have requires us to write specific tags. For instance, instead of saying the entire line, I have to write "performance appraisal." Then, it will give some options, and we have to click and go to that option page.
I've been using it for five months. It has not been fully implemented yet, but some modules have already been implemented.
It is deployed on the cloud.
It is too soon to comment on the stability of the solution, but from my perspective, it has been pretty stable so far at my company.
With regard to scalability, our company is one of the largest use cases for Darwinbox. It is a pretty trusted solution for small- and medium-scale companies, but for large conglomerates, there hasn't been a lot of use cases. At present, their expertise lies more towards medium-scale companies.
The adoption rate currently is not that high because it takes some time to go from one well-established system to a completely new system. However, we are targeting at least a hundred percent adoption rate going forward. This will be the standalone program in our organization for anything HR.
Technical support is pretty helpful, even though they struggle to understand the customized requirement. However, they definitely do not shy away from helping us no matter the day or time. So, I would give them a seven out of ten.
Neutral
We previously used a system that was very well established and had a very rich background experience.
We switched because it was not able to provide us the kind of data report and analytics that we were asking for. The other reason for switching to Darwinbox was the ease of use.
With respect deployment, I mainly use the employee master data, which has the name, organizational structure, the data of the employees, etc., and it was pretty intuitive.
I've also had experience with the Vibe module and performance management. We have set the annual goals and KPIs, which was also very streamlined.
All in all, I have no complaints, and the experience has been pretty smooth. A little polish is needed here and there though.
Deployment was initially targeted to be around a year or so, given the number of employees we have. However, due to certain hurdles and certain customization requirements, it has been extended.
The Darwinbox team deployed the solution, and we used a third party to manage the timeline, updates, and so on.
If you are a medium-scale organization, definitely give it a shot. However, Darwinbox is more focused towards the APAC region, so you would need to take into account the location of your organization. Those in Europe may have to go with another solution as a result.
On a scale from one to ten, I would rate this solution at nine.
