Use case: Extraction from Main Frame Application

Solution : 

The bot will log in to the email box and then picks the invoice no, order invoice amount, and surcharge details. 

Based on a single line item and multiple line items, the bot will log in to AS400 and feed and check all the information. If there is a discrepancy then the bot will update it based on the tolerance limit. If there is no discrepancy, the bot will accept the orders. The bot will validate costs in Excel and AS400 application and it will allocate cost for each invoice.

How has it helped my organization?

Easy to access: Without the need to download and install software on a local machine, we can access the RPA application from virtually anywhere.

Easy to use: Automating a business process is as easy as logging in, clicking, and automating any kind of business.

Value for time: with the help of Enterprise A2019, we can get instant value. We can log in, set up automation, and go live within minutes, giving an immediate return on your investment.

What is most valuable?

1) By using Workload Management in Automation Anywhere a lot of manpower was reduced. 

2) Credential Manager used to keep customer/client information's more secure.

3) The product is dedicated to the business user and comprises advanced capabilities to offer an intuitive interface for the business user and bot developer.

4) This platform is easiest to use, avoids complexity, and ensures fast adoption & rapid deployment. 

5) It not only fulfills the requirement of the digital workforce but also be flexible to evolve with the business needs.

What needs improvement?

1) Needs some improvement in IQ BOT:

* while uploading input files we are facing issue with grouping even the same kind of PDFs

* consuming of CPU utilization and requiring more RAM

2) It is not able to use OCR effectively and has limited usability.

3) Handwritten documents are still a drawback.

4) Some of the control room GUI can be improved, it is also difficult in terms of control room management.

5) If Excel gets hanged Automation Anywhere does not give any notification.

6) Needs improvement in image recognition.

7) BOT insights taking more CPU utilization.

What is our primary use case?

Our primary use case is to automate the Client's workflow of reading a ticket from ServiceNow and then assign it to different bots which in turn performs the validations of the tickets with respect to different regions of the client's parameters. After the completion of the validations, the bot will update the ticket as per it's status and then send the hourly output report to Client's operations team. In between, if the bot fails, system exceptions or some business exception scenarios, human team will do the rest of the task.

How has it helped my organization?

Automation Anywhere has improved my organization in the following ways:

1. Repetitive tasks have been automated and hence the employees work in crucial logical thinking processes.

2. Tasks now don't depend upon the unavailability of certain employees/colleagues to be completed. Also, bots can run all day long which also affects the overall budgets.

3. Centralized Backup, Security & Disaster Recovery, Bot Insights, Workload Management, ROI Calculator in COE Dashboard.

What is most valuable?

1. IQ Bot, Automation Lifecycle Management, Workload Management, Centralized Backup, Security & Disaster Recovery

2. Image Recognition and OCR activity

3. Drag and Drop activities eases the task to write codes.

4. Control Room is very useful for bot's activity insights

5. Easy to use activities and almost all the artifacts available in the official AA's docs and forums can solve complex codes.

6. Certification exams are too good and almost cover all the required knowledge to be sound in working with Automation Anywhere.

What needs improvement?

1. User Interface can be simpler.

2. Master Certification now paid (previously it was free of cost) which sometimes creates hesitation to go for it.

3. Though the courses in the certification's learning hub are great and awesome, there is some more space for adding more explained contents.

4. Citrix automation lacks the perfect end to end automation.

5. Web Automation fails when an automated Screen Resolution is changed to some other resolutions. 

6. Pricing with respect to the competitors is more.

I have been using AA for two years. 

What do I think about the stability of the solution?

Performance is up to the mark with limited constraints of applications to be used. An application must be of a certain version provided by certain organizations and thus discontinuation of the said applications affects a lot while maintaining the bot.

What do I think about the scalability of the solution?

Scalability is very high. There's no limitation of the number of bots to be used simultaneously and in a single port/machine/ID.

How are customer service and technical support?

Technical Support provided almost all the solutions we had.

Which solution did I use previously and why did I switch?

We had used a different solution for the following prominent reasons:

1. Cheaper price for same type of tool.

2. Citrix Automations.

3. Unavailability of required configurations that supports Automation Anywhere

How was the initial setup?

Since the IT team and Infosec looked up for the setup, I don't have much idea about this.

What was our ROI?

Since the support for IE is discontinuing soon, we are now moving the base code to EDGE Chromium. ROI will be recounted after that. Previously as per the efficiency, we decreased the numbers from the process.

The installation is a bit of hectic process and also the price is more in market compared to other competitors.

What is our primary use case?

Primarily we use it for automating back-office operations processes. Some of the most frequent use cases are:

1. Invoice processing and proofing.

2. Reconciliation

3. Automating Timesheets

4. SOW invoice creation.

5. Creation of Credit memos

6. Pulling data from SAP and generating a report.

We use VDIs to deploy. Client & runner environment is mostly Win 10. Most of the bots are scheduled. 

Some organizations still use the manual click on the run button method instead of scheduling or running from CR.

How has it helped my organization?

It has definitely helped automating a lot of processes, but it is very difficult to build resilient bots. It is very difficult to find skilled developers in the market, who actually build resilient bots with appropriate error handling. Maintaining the bots is another challenge as the applications keep changing.

It is even more difficult to support a bot than build from scratch. No matter how much you document, things do turn haywire if someone new has to make changes to an existing bot. 

Documenting the AA Solution SDD, PDD is another pain point. It is very common to miss out on a lot of things. 

I feel that in places it is better to create a system to automate rather than use RPA.

What is most valuable?

Most of the features are valuable. 

1. SAP GUI commands in the latest update is helpful as a lot of processes have SAP involved. 2. APIs are helpful too, but they certainly need more improvement. APIs help in building resiliency.

3. Queues are great but need improvement. They are helpful because most of the automations are transaction-based.

 4. Good old object cloning is always helpful as it is versatile.

5. Metabots help in working with many of the legacy applications. But needs improvement there as well.

6. Credential Vaults are helpful, but needs improvement there too.


What needs improvement?

1. Excel commands should include more features.

2. Need more variable types for eg. date, amount, number, etc

3. Better API support and more APIs.

4. Queues should be enabled to directly connect to DBs.

5. Managing so many variables is a pain. Some kind of variable initialization mechanism like how Blue Prism has it will be helpful.

6. Input-output variables should be defined for taskbots as well.

7.There are a lot of glitches in AA not fixed since Ver 10. Reach me to know more about them.

8. The commands should help evaluate the current state of variables(like how in Blue prism)

10. Metabots should have command to stop the task. Basically should have all commands of a task bot.

11. No one uses "WorkFlows".

12. The user roles and the Credential Vaults administration, sharing and the whole thing in action is very confusing.

13. Automatic technical logging option should be given by default in all commands like how we have in BP.

When it comes to RPA, for every step things should be in the right way at the right time. It is very difficult. So I would rate it as a 5 out of 10 on scalability.

It is scalable, though, in an organizational setup where teams work in silos, I have never seen any organization truly using the scalability to its full potential.

How are customer service and technical support?

Technical support is okay. At times it takes a lot of email exchanges involved before actually setting up a call and getting help.

AA is all I am using. Blue Prism is used but I prefer AA. Though Blue Prism is better in certain aspects mentioned earlier.

It is the same as how enterprise applications should have in terms of complexity.

We develop RPA solutions for clients.

What's my experience with pricing, setup cost, and licensing?

Costs are ok. IQ Bot is too expensive. Bot Vision should come for free as one can easily use a number of other visualization options for free. There is no point in paying too much for too little.

I have evaluated Blue Prism along with AA

We need some support of documentation methodologies so that the knowledge is easily transferrable through the documents.

What is our primary use case?

The use cases I have worked on made use of automated flow across multiple applications along with processing Excels and emails. We were also able to leverage a single tab for processing the entire flow of the record across three different applications. We also used the Analyze package to view the Business dashboard in the dev environment. The only drawback was that the export of the BI dashboard to the other environments is not yet available. The environments used were dev, staging, and production. The bots were exported out and imported into each environment.

How has it helped my organization?

Automating a tedious manual process has helped to reduce manual work and the time taken to process the records. It has also eliminated a great deal of errors because of manual processing. Since the manual process was being automated, we were able to set down sharp rules of validations which cleared out unnecessary manual interventions. Automation has also enabled uniform delivery to the customers with the emails being sent way ahead of time. This has greatly improved product delivery from our end.

What is most valuable?

The addition of excel advanced to directly append worksheets, add formulas, etc was very beneficial and made the code development faster. 

The usage of steps helped in the segregation of code blocks making it more readable and understandable. The usage of keystrokes in A2019 was much better than in v11. Also, the direct inline usage of the python scripts enabled s to handle various manual processes. 

Using the email and the file triggers were very helpful as we were able to directly execute the bots on the trigger.

What needs improvement?

We had a few setbacks because of bots getting queued and unable to force delete a task bot which kept persisting in the control room. These features should be included in future releases which will be highly beneficial. Also when the upgrade happened from .14 to .15, it did not allow for the existing task bots to be checked in. The upgrades should work seamlessly to enable high efficiency of the AA product.

We need the Business dashboard to be exported to other environments. Also for the availability of G-Suite package in the enterprise edition.

I have been using AA for six months.

What do I think about the stability of the solution?

A2019 needs a few more upgrades to make it more stable and robust but the AA support to handle the shortcomings has been great which has enabled us to make full use of the product.

A2019 is highly scalable and there is a lot of scope for upgrades.

Technical support was prompt and we were able to resolve most of our issues quickly

There was a little confusion in terms of the setup costs for the pure cloud version because it was a bit misleading when we understood that all the Control rooms and the bot creators and runners would be on the cloud. The provisioning for the bot agents was not understood immediately.

What other advice do I have?

A2019 is a very good product, there are still some upgrades to be completed, like the functionality of the GIT repository, G-suite package in the enterprise edition. One more advice would be to ensure seamless upgrades so that our current development is not hampered.

What is our primary use case?

I work in the Management Consulting domain and hence am working with huge amounts of data, using advanced Excel formulae and creating reports and dashboards for clients is a routine. I primarily used the RPA AA2019 to automate and streamline few weekly reports which track KPIs (Key Performance Indicators) for few products. Also, I automated the process of Quality checks which we perform after creating the reports. Another use case that I have automated is sending a Zoom meeting invite through outlook. The user only needs to enter a few details like attendees, date, and the time of the meeting.

How has it helped my organization?

My organization i.e ZS has been a partner of AA for the past couple of years and this year the organization decided to reach the next level by introducing a pilot program wherein many associates are onboarded to the AA2019 tool and can implement robust and efficient solutions using the same thereby increasing productivity across the organization. This has been a success and we are planning to scale the program to a much wider audience within the organization. The saving of efforts within my project has been to the tune of 20% as of now and I am sure that it will improve as we explore the tool more and automate many more processes.

What is most valuable?

The Capture command has been a lifesaver for me in each of my use cases and the advanced Excel functionalities like running macro, reading and manipulating data, etc. It allows the bot creator to leverage the inbuilt functionalities that AA2019 has to offer to a great extent. Also, the functionality of designing child and parent bots help me to design the process in a modular way. Additionally, the error handling capabilities of the tool has really improved the troubleshooting experience when we encounter an error.

What needs improvement?

The AI Sense functionality is what I believe can be improved since when I tried to use it for automating a use case involving a Citrix Virtual Machine, it was unable to capture objects consistently. This feature can be made more intelligent and less bulky in terms of the downloadable package size of the code in the next release and also the VB/Python scripts which we can use in conjunction with the AA2019 functionalities is what I believe would help in automating many processes end to end.

For how long have I used the solution?

I have been using the Automation Anywhere 2019 tool version for the past six months.

What do I think about the stability of the solution?

I would rate it an 8/10 since I believe if the AI Sense capability and handling MS power point functions is further enhanced with the next release, then it would make a much larger impact.

Powerful Object cloning and Windows capturing features helped automate a complex audit process

What is our primary use case?

Project 1: Built an unattended bot to automate a complex Audit process for a healthcare client. There are 90+ bots deployed and it is processing 1000+ cases of different types every month.

Project 2: Built assisted bot for a healthcare client. It was used by customer service representatives. Unfortunately, this process was not used for a long time due to latency issues and a functionality gap.

Project 3: Working on migrating the Audit process automated using Automation Anywhere v10.5 to the new version, A2019.

How has it helped my organization?

AA has helped to automate a complex Audit process. The process was tedious to the auditors, as they need to log in to a number of applications to collect audit data for validation. It involves web, desktop, and mainframe applications (total of 20+ applications of 40+ roles).

The whole process was automated such that the bot will log in, collect screenshots, build the PDF, and then report the results to the auditors. This saved auditors from doing the mundane manual task of logging into multiple applications independently. Also, the auditors had to manage credentials for all of the applications before, whereas now, the bot takes care of storing the details in a secure vault.

What is most valuable?

The most valuable features for us are:

  1. Object cloning with an option to enter wildcard selection was very useful when working in a web application that generated dynamic HTML content.
  2. The Terminal client options have helped in automating terminal applications effectively.
  3. The Windows capturing features that allow for automating desktop applications works seamlessly compared to web application automation.
  4. Excel automation is one of the clean and very useful features that helps in reporting, as well as other Excel-related operations. Having the option of using Excel as a database helps with performing logic.

What needs improvement?

Areas that can be improved are:

  1. For assisted automation, the AA bot needs the facility to be triggered through an application interface after collecting input from the user. There is no inbuilt option available in AA to collect all the inputs in an interface. In our case, we built a desktop application to collect all of the user input and, on submit, the .NET code will run the ATMX file.

    Can AA provide a simple user interface through which a user can collect input and submit it to trigger the bot?

  2. It needs an option to change the Windows resolution.

  3. It needs to have an option to select an object after a three to five-second delay. It is useful in the case of menu selection and this option exists in other tools.

For how long have I used the solution?

We have used several versions of Automation Anywhere since 2019, as follows:

  • 2019 May - 2020 January: Used Automation Anywhere v11.3
  • 2020 March - 2020 October: Used Automation Anywhere v10.5

What is our primary use case?

All of our solutions are implemented mostly for banking.

We have an offline biller, which is for reconciliation & settlement of offline biller data operations. We have similar automation for online billing.

The ATM (Automated Teller Machine) monitoring is automated. This includes the monitoring of operational processes on mutual fund & bonds transactions (upload and reconciliation).

We have a process for reconciliation of the billing statement before sending data to the customer.

DRI: Reconciliation charge back & note for SICS (AS400).

We use eight Bot Creator instances, nine Bot Runners, and two Control Rooms.

How has it helped my organization?

To show how Automation Anywhere has improved our business, I will explain one of my solutions in the ATM Monitoring use case. Previously, humans had to monitor the ATM status for 24 hours to find out the status of the ATM in the event of fraud or theft. With the RPA, every hour it will download the ATM status data from the ESQ application and compare it with all problem tickets that are still open. Every time a status mismatch occurs, the RPA will send info to the team via email and WhatsApp.

Process Description: ATM Monitoring

  • Recap machine problem data according to status and sort by each vendor automatically.
  • Send notification & report via email and WhatsApp.
  • Schedule adjustment in sending notifications and reports.

Process Steps:

  • The Bot will automatically download problem and faults ticket data from ESQ.
  • The Bot will compare problem and faults ticket data automatically and sort each vendor for terminal IDs with tickets that are still open but have no faults.
  • The Bot will send data that has been recorded and processed automatically to each vendor via email and WhatsApp.
  • The Bot has a schedule adjustment function related to sending ticket data to each vendor.

What is most valuable?

One very useful feature is the IQ Bot, which is helpful in the operation of the data input process to all of their applications. Initially, humans had to read one per one document, but with the IQ Bot, it is continuous until the input process is complete.

Currently, IQ Bot is implemented by a finance company that is concentrating on motorbike financing. There are many claim documents that must be processed and inputted to their internal application, and using the IQ Bot reduces both cost and time.

What needs improvement?

My suggestion for version A2019 is to enable the Metabot function because it helps us in a shortcut to the integration process with other applications such as SAP, Oracle, and Cyber​Ark.

It would be helpful if Device Credentials can sync with Active Directory so that for the IT policy case that requires periodic password resetting, there is no need for a human to input manually into each Bot Runner machine.

The quality of the IQ bot can be further refined for scanned documents.

We have been using Automation Anywhere for about two years, since 2018.

What do I think about the stability of the solution?

After using the A2019 version, I find that it is more stable and features more actions. However, maybe because this is a new version with a change in platform, it still has some bugs.

How are customer service and technical support?

The support from the AA team was very helpful when I encountered issues that I couldn't solve on my own. The ability of the support team is very good and helpful.

Which solution did I use previously and why did I switch?

From the start, I have only used Automation Anywhere for RPA.

How was the initial setup?

At the initial project commencement in 2018, it was still complex. With the experience of AA projects, it became easier for us to start them.

What about the implementation team?

We implement using an internal team. To improve development skills, I always suggest taking the AA certification and participating in the training.

Which other solutions did I evaluate?

We did not evaluate other RPA options.

What other advice do I have?

The current version has a fresher UI and more Excel processing features. That's what I admire.

What is our primary use case?

I am a developer and I have developed bots mainly for insurance companies. Most insurance companies in my country usually have big problems trying to transfer data from one application to another, this hence has made it very difficult for them to be up to date with their entry. Usually, they are faced with a one month lag since they employ humans to do the work for them. 

In addition to this, the data transfer usually contains a series of errors, and in that area accuracy is very key. A slight mistake can end up ruining things big time .

How has it helped my organization?

Our company's reputation has made it easy to improve recently after beginning to offer RPA services to clients.

Before AA, the insurance companies used to do data manually from one app to another, but after introducing them to automation the speed and accuracy have been outstanding. They had a lot of workload hanging around. 

After automating the process, my company has been able to acquire new clients who are interested in automating their processes using automation anywhere. This hence means more work for us which is always a good thing.

What is most valuable?

1. I would say business analytics, it provides real-time data that's something other competing companies lack. It uses statistics and graphs to show the performance of the bots which processes are lagging behind and if you need to give priority to certain tasks. 

2. The control room and the bot creator - the control which is the brain is a powerful feature that allows administrators to be able to control how the bots work, create users, and be able to give roles to a user. 

The bot creator allows developers to be able to customize bots according to the client's needs 

What needs improvement?

Most clients use systems which use old Java versions, trying to automate on these systems is really difficult since most features/commands are not supported. Java earlier than 1.7 cannot work something and most firms I have interacted with their systems are old. Another thing according to Automation Anywhere, it's main aim is not to change the client's system but to be used on top of the existing one hence Automation Anywhere should consider those clients since in my country most of them use systems which date back to 2000, and they are not willing to spend another fortune to change them just so they can use Automation Anywhere.

Additional features: Automation Anywhere should add a couple of commands which will help most developers not to always use a script, a good example is in String operations.

I have been using AA for two years. 

What do I think about the stability of the solution?

This solution is stable, as of now, I can't complain about anything but more attempts to make it more stable would be okay maybe I haven't encountered one yet but I'm sure it's flawless when it comes to stability.

What do I think about the scalability of the solution?

Definitely would like it, scalability means more new features.

How are customer service and technical support?

Most customers we've interacted with at first are usually not certain about automation but immediately we do a proof of concept, they are eager to implement.

Anything above 50%. Most clients cannot go for anything less.

I usually advise them not to worry about the overall cost since the outcome will be profitable.

Yes, I had considered UiPath.

What other advice do I have?

I like the way Automation Anywhere has migrated from v11 to a2019 my concern is about bots in a2019, once you delete them it's impossible to get them back.
