Has significantly improved document-driven workflows and reduced processing time across finance and HR functions
Automation Anywhere has evolved significantly and upgraded itself to provide agentic AI and AI-based automation solutions for document automation. The product has matured considerably over time. We can create workflows that can call an API. We can include prompts in particular workflows for ChatGPT-related functions, connecting to an LLM and RAG to perform tasks. For document automation, modern features are available to train documents, ensuring high accuracy and repeatability over time. The system is very easy to use. I recently completed a course in document automation, typically designed for people involved in coding and technical aspects. Though I understand coding comprehensively, I don't do actual coding. The course was very accessible. Currently, extensive coding isn't necessary due to the hybrid model incorporating GenAI aspects, low-code, no-code capabilities, APIs, and numerous pre-built objects in Automation Anywhere. The features include GenAI-driven prompting methods and workflow creation capabilities. In these workflows, we can create decision boxes and call APIs without coding. We simply pull objects, drop them, connect them, and add minimal coding when needed. The most crucial aspect isn't coding but rather sizing the automation and fleshing out the details. Automation Co-pilot takes notes and performs automated analysis. It can extract details from videos, summarize conversations, and provide detailed information. During calls, it identifies instructions and performs tasks such as preparing reports and reconciliation. Automation Anywhere can also connect with Microsoft Co-pilot. Through Co-pilot, real-time operations can be executed, allowing direct interaction between vendors and automation through this component.

Has faced challenges adapting to evolving capture methods and competitive integrations
It's difficult to say what I'd improve in Tungsten TotalAgility because we haven't been actively marketing that particular product in the last probably six to nine months. The speed of product development means that my experience with it is likely out of date in terms of the product suite capabilities. The difficulty with customers nowadays is that they are subject to the winds of change in terms of the adoption of cloud technologies and the offerings those cloud technologies bring. Microsoft, for instance, is rapidly filling in the spaces between various product areas that other vendors typically owned. That makes it difficult for customers to settle on their functional requirements because the offers are competing in the same space. I look for more integration with mainstream subscription based platforms, more security integration, and possibly some more lifecycle management features. However, the difficulty with that is the competition with existing options that people have in their subscription library.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The ability to automate repetetive tasks and processing that should not require human intervention."
"The most valuable features are ease of use and deployment."
"Training videos are very good and include detailed examples, which is really helpful for beginners."
"I liked the Automation Anywhere University. It was easy and simple. I hoped that it wouldn't take too much of my time, and it didn't, which was good."
"The deployment of Automation Anywhere went smoothly. They were very supportive with the migration of all of our existing automations and also being there and supportive with the development of the new automations."
"The data capture feature is very valuable. I know there are also some elements where you have to be able to incorporate AI, but I haven't gotten to that level yet."
"It improved the task performance at a team level and improved productivity."
"The technical support is good. We have not had any issues."
"Kofax TotalAgility is a great design tool for reading handwritten invoices."
"Kofax is very easy to use, UI-friendly and allows easy data extraction."
"The product is really good, and it is easy to use. It comes with multiple integrations. The solution keeps up with the trend of Microsoft Copilot and AI."
"Now it has an OCR, optical character recognition, engine where it can extract data from the document."
"Kofax TotalAgility is a single package. They provide you with OCR capabilities, BPM capabilities, and case manager features."
"It is user-friendly and has good documentation. It's good for developing communication and has a lot of the APIs needed for this purpose. There aren't a lot of software options available from this time period; this is the only one from 2013 that has this concept of microservices."
"Data extraction and auto-classification are great features."
"The most valuable features of this solution are automation, ease of billing processes with the process net, and low to no code development."

Cons

"Understanding what we wanted to do the tool after setup, that was complex."
"Automation Anywhere is a technical application. It is not so easy for a regular user. It requires technical knowledge."
"I would like to see extensive OCR capabilities in the next release."
"Having fewer connection instances would make it more secure, more simple to troubleshoot, and possibly more flexible with the type of applications in use."
"One area where I can see room for improvement is the training material that is available."
"The control room itself is easy to use. One area that could potentially be improved is adding additional widget capability within the main dashboard in the control room itself."
"When we need to upgrade the bot version for various applications like SAP, the compatibility issues could be easier to resolve. The financial team is using version 5 or 6, but the automation engineer recommends only version 6 because it is more compatible. I think Automation Anywhere could handle these compatibility issues better."
"I would like to see better and more technical use cases for the AI features, showing how to build them instead of repeated general examples."
"Lacks sufficient inbuilt features."
"Kofax TotalAgility could improve the OTR engine. The page OTR engine is not accurate in predicting the data properly. If you provide many features which are good for business process management without an accurate OTR engine people will not want it."
"The product's console version is old. It should also improve its forum."
"There needs to be more accessible certification and better pricing."
"The one thing I would like to see more of right now: is a simplified form creation. That would be the most significant improvement I would like to see in their product."
"TotalAgility needs to improve communication with ECMs or other file storage systems because TotalAgility does not have file storage. A good improvement would be to create file storage or integrate with other file storage tools that are currently available."
"Room for improvement would be better OCR functionality in terms of Arabic OCR. There should be better accuracy."
"They never stressed the lifecycle document management aspects of regulated processes effectively, which I think possibly represents a weakness."

Pricing and Cost Advice

"In terms of monetary savings, we automated a bot in three days that has saved us $30,000 in costs."
"I'm not sure what the monthly licensing cost is, as that is taken care of by another team, but I would say it's around $100,000."
"There are a lot of savings in terms of effort and time as well as costs. Automation Anywhere automates a lot of processes. It allows an organization to save the efforts of a lot people. It saves a lot of time because people can't work a whole day (24/7), but Automation Anywhere bots can."
"Time and monetary savings can range from 20 to 90 percent."
"I would rate the price of Automation Anywhere a six out of ten, with ten being the most expensive."
"The pricing is a bit higher."
"It's fine. However, I'm concerned with the credits in terms of the pricing for the AI models. It is understandable that the new ones are more expensive, but the base models, after doing the pricing conversion, cost about four to ten times as much as paying directly."
"We have reduced our headcount, approximately 200 to 300 employees, by eliminating manual, repetitive work. It provides profit to the business."
"It is slightly more expensive than other tools."
"It has a perpetual license. You pay once in a lifetime for the volume of scans you will do and the number of users you will have. You can have participants or regular users, and you can have developers and administrators. So, once you purchase it, it is for a lifetime, and then every year, you have to pay for the maintenance. There is an annual maintenance cost, which is about 18% of the licensing cost."
"Kofax TotalAgility is very expensive."
"The price of this solution is less than some of the competition."
"The licensing cost for Kofax TotalAgility is very expensive, though I'm unable to give you the range, the sales representatives of my company say that the product is quite expensive."
