A user-friendly cloud-based CRM platform that needs to improve its dashboard and reporting functionality

What is our primary use case?

We use it both as our core internal case management platform and CRM. But we've also embedded it into a couple of products we provide. We set it up as an agile base development platform, customer service platform, and basic customer management platform. So the ability to set up folders and link those folders gives a hierarchy, with workspace, space folder, and then the list within folders.

How has it helped my organization?

With the help of ClickUp, we can now organize the work and look at schedules. So we organize our work where we have clients, clients have projects within those projects, and there are tasks. We don't set due dates, so we use them for scheduling and time booking for all our development staff. We also use dependencies within to get our daily schedule together because there are two parts to our business.

One is where we're doing crime compliance and finance for larger clients, and then we have a community portal where we've embedded the CRM in the middle of that. And within that, it's a very fast-moving environment because we've got about twenty people using it. The amount of work from those is lots of very small, rapid work, and it's been invaluable for helping us manage our resources daily.

What is most valuable?

We found it very simple and intuitive to use, cost-effective, and provides decent single client relation views and analytics of the back-end. We also build our extraction tools from there.

What needs improvement?

Some improvement in the reporting and dashboarding would be very helpful, as also the relationships across different folder types that ClickUp has. It will enhance the ability to be more intuitively linked to a set of folders, a set of customers versus a set of folders, a set of products, and the ability to relate those two together and build transactions between them. That is missing in ClickUp, presently. I want ClickUp to be as intuitive as Salesforce.

For how long have I used the solution?

I have been using ClickUp for over twelve months.

What do I think about the stability of the solution?

The stability of the product is okay. It is not better or worse than Salesforce. I rate it six out of ten.

What do I think about the scalability of the solution?

It has some issues with scalability. The cloud-based solution can get bugs in it occasionally, causing latency and loading issues. But it's the biggest implementation as we've got about thirty users running on a place alone. Fifteen users in our business are using the solution. In our clients, we've got probably a couple of hundred across, but they're on different workspaces because we deploy in the SME sector for our clients, and they've got an average user base of between five and fifteen.

I rate it six out of ten.

Which solution did I use previously and why did I switch?

For project management, we used Jira. We were previously using Salesforce, and we still integrate into Salesforce. But we try to avoid it as much as possible. ClickUp is way, way easier to set up and scale. It doesn't require specialist knowledge to work with it. Compared to ClickUp, Jira is complicated. It's only a single product but a hotchpotch of things if you know what you're doing.

How was the initial setup?

The initial setup is straightforward. The initial setup took a couple of days to get operational, and then we added features on our different processes onto it. So we got the structure in a couple of days. The only thing we're still looking to put in is detailed time sheets for people. We'll bring that in soon.

But the timesheet system is what we're doing in pieces.

End to end is probably a week, but that week is over several months as we're getting one piece, breaking it down, and doing something else. I rate it eight out of ten.

We have two workspaces. We got a prototype workspace where we model the design, work around what we want to achieve, and create an up-front user flow design. We test that with sample data and recreate it in a production environment. Because when we're doing a release out to our client base, we want to ensure that anything we're doing does not only coexist with what's been done previously, does not break anything but keeps everything intact. We also have to ensure it doesn't interfere with the active user base we've got running.

What other advice do I have?

Just ensure you have a design you want to work with before you begin. Research and get some training because you'll only get out of ClickUp. ClickUp has a lot of framework systems you can implement in many ways, and you can do a straightforward implementation, but it's difficult if you start in the wrong way; it's difficult to unwind and move to

a more optimum solution because you learn as you go. So you need to do your research upfront. You need to do a little bit of training. It's maybe a day to understand concepts. You need to get your design out. You need to test it, and then you need to build it. The problem with ClickUp is that it is so user-friendly you can dive in. And before you know where you are, you're all over the place.

Since it hasn't yet got predefined models you can choose from, I rate the overall solution a seven out of ten.

I use it for task management and document management. I find it helpful for smaller companies since ClickUp has some limitations in the free version.

How has it helped my organization?

In smaller companies where I run smaller projects, it gets used. Larger enterprise companies tend to use Jira and Confluence.

What is most valuable?

Smaller companies might choose ClickUp over solutions like PyCharm.

The main advantage is having everything in one tool. You don't need separate tools like Jira and Confluence. Plus, ClickUp has a lot of helpful templates. It's more dynamic than Jira.

Everything in one place is the biggest benefit. I also like the diagramming tools, where you can create DFDs, structure charts, and more. That makes things easier. It offers better capabilities for hierarchical trees and resource planning compared to some other tools.

It offers good capabilities for resource planning. ClickUp is more customizable than Jira. I can tailor the columns and add things like Gantt charts directly within the tool. In Jira, we don't have such features.

What needs improvement?

ClickUp could improve its marketing to be more visible. It has potential for both smaller businesses and even larger enterprises.

In future releases, ClickUp could improve its documentation section, the part that's meant to compete with Confluence. It's a relatively new feature, so there's room for growth. The task tracking is excellent in Jira, but the 'Docs' section needs some refinement in ClickUp.

I have been using it for three years.

I've never had issues with stability. I would rate the stability a ten out of ten.

There are limitations to the free version. For a company with 500 users, the free plan wouldn't work.

I use the free version. There are commercial licenses available as well.

The free version has limitations, but it's a good way for smaller companies to try it out.

Overall, I would rate the solution a ten out of ten. I would recommend using this solution. You might love it.

A stable solution that offers it users a choice to opt for a streamlined approach to task management

What is our primary use case?

So, I've been using ClickUp to track the activities and tasks of my team members weekly. We have a system where we send out the tasks and prioritize them as P0, P1, and P2. Then, we analyze the tasks and decide who will be responsible for what and what kind of support they need. I find that ClickUp is really helpful for people management and staff management. It's about project management and ensuring that my team focuses on the most important activities and delivers.

How has it helped my organization?

From my team's perspective, everyone reports on the activities they are working on and any additional requests they may have. These requests could be as simple as sending a report to the CEO or more complex, like preparing a specific deck for a customer, writing user requirements or user stories for a new feature, and more. These tasks are tracked on our ClickUp board, which is organized into different spaces, such as random requests, product requirements, customer support, and so on. By arranging topics and themes in this manner, our team is able to focus on priority tasks, and I help them determine which tasks are more urgent and which can be deprioritized. This streamlined approach to task management has helped our team stay on track and focused on our goals.

What is most valuable?

One interesting feature of ClickUp was its timeline view, which, unfortunately, was not included in the free version. Although I enjoyed using it, I could only use it for a limited time, around a month. In our company, with the timeline view, we could create timelines for our features and determine when the teams needed to start working on the next set of requirements. This allowed us to do capacity planning and ensure we were on track with our timelines. While we eventually didn't start using its calendar view, I still liked the way ClickUp presented its timeline view.

ClickUp offered our entire team, consisting of 12-13 members, access to their free version. When comparing ClickUp to other project management tools such as Asana or Monday.com, I don't see much difference in what we can achieve with them since they all have similar features. Whether it's a Kanban, list view, table view, automation, and other features, they all have similar capabilities. However, ClickUp stands out as a very simple, visually pleasing, and user-friendly tool. I found it much better than the other tools we had used before. Additionally, since ClickUp is free, it made sense to stick with it rather than constantly migrating to different tools every six months.

What needs improvement?

From a product management function perspective, it can be challenging to measure whether ClickUp improves efficiency on a month-to-month basis. However, I believe that using ClickUp helps maintain our efficiency levels. If we were to stop using it, I am 100% sure that our efficiency would decrease. That being said, just because we are using ClickUp does not automatically mean our efficiency will increase. We have reached a point where we understand how to use ClickUp effectively, and without it, it would definitely be a problem. However, using it alone does not make us better every day. The absence of ClickUp would definitely cause a problem. But, since we are using ClickUp, we don't get to improve 10% on a month-by-month or a year-on-year basis. So, that's very difficult to measure.

Introducing automation and AI would greatly benefit ClickUp by reducing manual work. Currently, team members need to update tasks and communicate issues, which requires me to read through each task and comment to understand the situation. However, if AI could assist in making faster decisions, it would greatly improve efficiency. I need to intervene at a minute level to discover if someone is facing a problem, but AI could help detect issues faster. The success of AI implementation can be seen in how ChatGPT has utilized AI.

For how long have I used the solution?

I have experience with ClickUp for almost two years. Also, I am just an end-user of the solution’s free version.

What do I think about the stability of the solution?

Stability-wise, I rate the solution a ten out of ten.

What do I think about the scalability of the solution?

I wouldn't rate any areas concerning the solution less than nine or ten. My team members using the solution consist of more than 18 people.

How are customer service and support?

I contacted ClickUp's technical support team once when they sent me a note stating that the free version would only allow a maximum of five users. I expressed your concern about this to the support team and explained how I had been using ClickUp for a long time and how my entire team depended on it. I felt it was unfair to reduce my team from 12-13 members to just five so we could use the solution. I told them it was impossible and that I would have to stop using ClickUp completely. After a day or two, they told me how my entire team and I could use ClickUp for free. After that, I never interacted with the support team since I didn't need to reach out to them.

Which solution did I use previously and why did I switch?

I used to rely on Asana a lot when they still had a free plan. But then, they removed it and started sending us many emails and calls to pressure us into buying one of their packages. My team consisted of ten people at the time, and we were all using Asana. So, there was a lot of pressure on us to buy a particular package, whereas I was not in a position to make decisions within the organization. We, as a team, obviously couldn't go ahead to purchase Asana's plan. After that, I did not use a few project management tools for some time. Then, I started to use ClickUp since it offered me a free plan. However, recently, they've reduced the feature set to less than five members or something like that. But I wrote to ClickUp stating how my team has more than fifteen people, and we've been using ClickUp for a while. It will be very difficult for us to get into a paid plan now. And they did make an exception by allowing me and my team to continue using the free plan. So, I continued using it.

How was the initial setup?

The initial setup was simple. I rate the initial setup a ten out of ten. Since it is cloud-based software, there is no deployment process involved. So, the ClickUp I use is a SaaS one.

What other advice do I have?

I would recommend the solution to those planning to use it. For anyone who wants to improve from an efficiency perspective and to find out what exactly they themselves or the team are working on, I think ClickUp is the software to use. I think ClickUp has created a product that is ideal for people like us who prioritize efficiency and ensure that our team works well. Although we are not paid members, I believe that if ClickUp reaches out to enterprises and encourages them to adopt this software, teams across different companies can benefit greatly. It is up to ClickUp to approach these companies and ensure that they purchase licensed software. While I am only using the free version for my team, it is important to note that my organization is over 50,000 employees strong. So, ClickUp has a lot of opportunities, and anyone looking at productivity and performance should choose ClickUp since it is very good software. Overall, I rate the solution a ten out of ten.

I'm not the team lead for the ClickUp project. My team lead assigns me some tasks, and sometimes, our client also raises tickets on ClickUp. We actively see them and use tickets there as well, just like Jira.

What is most valuable?

I am currently exploring ClickUp AI, which I think is very good. ClickUp is easy to use. It has many dashboards, and our team can create their own dashboards. Multiple projects can be handled under the same ClickUp profile. ClickUp also provides checklist features, customizability, templates, and so on.

It is very easy to collaborate with our team through ClickUp. ClickUp is easier to use than Jira. We have deadlines for some tasks. My manager assigns me a task, and we have a deadline and overview of how we are completing it. ClickUp is easy to use because we have descriptions of the tasks and stories.

We use both Jira and ClickUp because some of our clients have experience with Jira. Hence, some projects run on Jira because some clients use Jira to raise tickets. Other clients who have experience with ClickUp find it easier to use. It's easy to customize the solution.

ClickUp supports exporting data. We report and log our time directly on ClickUp. The solution integrates with our website, where we log time, and it appears on our ClickUp dashboards. We log our working hours on ClickUp, and our manager exports the data.

We use Google Chat for our internal communication, but we use ClickUp for client conversations regarding tasks and tickets. I personally haven't integrated the solution with anything. However, my manager integrated ClickUp with our internal website, where we log our working hours. The integration automatically transfers the data from our database to ClickUp, and it works fine. I would recommend ClickUp to other users.

Overall, I rate the solution an eight out of ten.

ClickUp excels in capturing intricate details, which can be both beneficial and challenging. While it facilitates a proper flow and provides precise instructions, it can also make the workflow appear overly complex.

While it ensures that teams are aware of what needs to be done and when delving too deep into the specifics may overwhelm the team with numerous upcoming tasks and related subtasks.

What needs improvement?

There is a need for significant improvement in the user interface to make it more intuitive and less time-consuming to become familiar with.

I would like a user-friendly template dashboard and reporting that makes the process easier. My previous attempt with a template was a difficult process that required long Google searches on ClickUp sites for help. A simple dashboard or the ability to effortlessly integrate an Excel-based dashboard into ClickUp would be beneficial.

From the time when the organization had less than ten employees to now, the team size has doubled, and ClickUp has been functioning effectively. 

As the organization continues to grow, ClickUp remains suitable for small businesses. Its performance has been satisfactory thus far in accommodating the expanding needs of the organization.

On a couple of occasions, there have been instances where the ClickUp software became unresponsive. However, it is important to note that these occurrences were likely due to maintenance issues.

Although I wasn't directly involved in resolving those instances of ClickUp, they were able to get up and running quickly.

How was the initial setup?

When I first joined the organization, the system was already set up, and it was incredibly straightforward to adapt and use the basic features. 

It typically takes approximately two to three weeks, or possibly a month, to become proficient in using the fundamental functionalities of the system.

Since ClickUp is predominantly used for project management, having someone responsible for overseeing it is important. This ensures that tasks and responsibilities are properly assigned, and any issues or delays are promptly addressed. Without proper oversight, tasks can become unattended, leading to a backlog and reduced responsiveness in managing the platform effectively.

We have 16 people using this solution right now.

This is a user-friendly system. It doesn't take a lot of time to set up and get started. The most interesting feature is the ability to share what you are working on with an external entity. The customer has direct visibility on what is being done on a particular project and this provides a lot of transparency. 

What needs improvement?

ClickUp could improve by being customised to the development industry. We would like to have bug trackers and an agile approach built into the solution. This type of industry specific approach would be great.

I would rate this solution a six out of ten for scalability as there are certain features we cannot extend. For certain elements of tracking and revisions, we use Asana and Jira. We need to depend on those system as well.

I have not personally contacted the technical support team of ClickUp before. We use the knowledge base because they have a lot of videos.

We switched to using this solution because we wanted to get visibility on the resource load. We have had trouble identifying the load of the resource and the profitability of projects. Previously, we were using Microsoft Projects but it was not that easy to use and did not provide us with all the details we needed. 

How was the initial setup?

The initial setup was very easy and took less than a day.

What's my experience with pricing, setup cost, and licensing?

This solution costs $20 per user per month. If you have 20 users, you would pay $400 per month. There are no hidden fees that we are aware of. 

What other advice do I have?

It is a very user-friendly product and you can easily set it up. If you have the need to manage and track certain things, I would recommend this solution.

I would rate it an eight out of ten because it is easy to use and has all the basic features an organization needs in terms of project management and costing. It is not complicated.

I would advise others before they use a paid plan to use the free plan to see if they are going to be happy with it first.
