Robust document capture boosts efficiency and integration options
The best features include multiple channel capabilities such as fax, different file transfers, and paper scans. It can be integrated with multiple channels and can capture images, even from mobile devices integrating into OpenText Capture. Currently, it has introduced AI for data extraction and document processing. OpenText Capture's impact on automating document-intensive tasks such as accounts payables or loan processing is significant. It has the capability to capture table structures or multiple line items from images, including line items and final amounts for invoice processing. The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data. This product can be integrated into any point-of-sale system, Salesforce, SAP, or other environments, reducing manual data entry and related tasks. This feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption. The automation reduces human effort that would otherwise be required for classification and extraction tasks.

Pre-trained models work well, but it is very expensive
We have to do manual validation for some of the things due to the OCR engine not being so accurate. For example, S is read as 5, 5 as S, 2 as Z, and Z as 2. In the case of currency, if one dot is missing, it gives a completely incorrect number. These discrepancies should be fixed because if the OCR itself doesn't work properly, then AI doesn't help with that. When AI is used for training models, the AI Center works precisely, but if the data itself is wrong, we can't do anything. If the extraction of data is proper, it definitely helps. However, 20% errors could be reduced if the OCR engine were better. In future updates, I would like to see better handling of issues such as when a dot is missing in currency, for example, with dollars, it should handle that automatically. It's very expensive. If the volume increases, we can't afford to use Document Understanding. We are thinking of moving to another solution because we are expecting 80,000 to 100,000 invoices.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The enterprise and capturing feature of OpenText is its valuable feature. As we have integrated CRM with OpenText."
"The solution is very powerful because it allows for custom scripting."
"We use it to capture documents coming through our product and mobile channels and make them available for our business to access and email. We use it to automate the email workflow in our applications, pull the documents, and email them to the users."
"It allows you to image capture, scan documents and use machine learning to automatically index and tie them."
"Being able to have accurate extraction is most valuable. It has machine learning and other tools to make the extraction more accurate."
"The main benefits of OpenText Capture are particularly valuable when capturing content and extracting structured or unstructured data, and this feature has helped organizations handle large volumes of data with precision, especially regarding resource consumption."
"The automated version of the vendor invoice management is great."
"AI Center is helpful for creating data sets. Machine learning helps with some extraction. The ML extractor gives good results after training."
"UiPath Document Understanding is user-friendly, with an easy-to-use self-trained model, and the OCR it provides does a good job even with scanned PDFs."
"The solution allows us to continue with vendors whose information comes in correctly and to stop the automation for vendors with many items that are not clearly defined."
"It's great for document understanding for invoices and installments."
"Has a very good machine learning feature."
"Document Understanding's best features are the action center and verification mode."
"Machine learning is the most valuable feature of UiPath Document Understanding."
"The best feature is pre-labeling, as it eliminates the need to manually label each data point."

Cons

"If something is handwritten and attached to an email, it doesn't capture the information correctly."
"I would say what most of the document management solutions are lacking is smartness to detect the duplicate storage of the documents"
"Knowledge of .NET is required to effectively use the solution or it can be complicated."
"It can be more user-friendly, and it should also have more reporting capabilities. There are also a few other things that need improvement."
"We are using it to improve the image and the documentation for the cases. And sometimes, some cases have more than fifteen different types. We use some tools as fixed standard analysis and provide information to support the different types to take some decisions and help in an automated process. We choose the case type and subtype DNS scanning documents from the data entry up."
"The setup is medium complexity."
"The area for improvement primarily centers around licensing concerns rather than technical issues. Captiva, intended for larger clients, poses challenges for medium and small businesses due to licensing costs. The current licensing model is based on volume, such as purchasing a volume for one million dollars per year for scanning. This pricing structure may be prohibitive for companies with constrained budgets. Another aspect requiring attention is the mobile capture feature, which, although experiencing recent enhancements in intelligent document processing through AI, could benefit from further improvements. Specifically, there is room for enhancement in enabling users to efficiently capture documents using their smartphones."
"Currently, we have to train multiple templates because the column size and row size change in each PDF."
"There is room for improvement in handwriting processes."
"Document Understanding would be improved with more AI platforms."
"One area of improvement for UiPath Document Understanding is the accuracy of handwritten documents. While the solution supports handwritten documents, the accuracy percentage is not as high as desired."
"It would be much easier if UiPath increased the count of pages. Currently, they are allowing one million pages for $10,000 per month. I would prefer to increase the page count or reduce the dollar count in terms of processing the documents. I would prefer $6,000 per month for processing 2 to 3 million pages per month. It will then be much easier for companies with a low budget to use this product."
"There is still room for enhancement in capturing line items from invoices."
"UiPath Document Understanding, while effective for its own platform, could be even more valuable if it integrated with other commonly used platforms, allowing for a more universal approach to document processing."
"This is an expensive solution."

Pricing and Cost Advice

"Some customers say the solution can get costly because it requires licenses or enterprise packages."
"OpenText is an expensive solution."
"UiPath Document Understanding is considered a bit expensive compared to other options like Microsoft Azure, which can offer similar quality at a more affordable rate."
"On a scale of one to ten, where one is cheap, and ten is expensive, I rate the solution a nine."
"UiPath Document Understanding carries a premium price tag, but its current technological capabilities may not yet fully justify the cost."
"One of the biggest challenges we face with UiPath is the pricing structure."
"UiPath Document Understanding is expensive, with the basic annual package including 6,000 documents and the next package including one million documents, a huge price difference."
"I do not know about its price, but for large organizations, UiPath is cheap, whereas, for small organizations, UiPath is high. For example, if 500 licenses are needed for one company, UiPath is cheap. If only 5 licenses are required, UiPath is costly."
"Its pricing can be looked into because it is on the higher side for developing economies, such as India, where the cost of labor is a little cheaper compared to advanced technologies."
"The price for UiPath Document Understanding is a bit expensive."
