Efficient hiring workflows have streamlined high-volume seasonal recruiting and onboarding
Pros and Cons
  • "I would advise others looking into using iCIMS Recruit that it is dependable software, reliable, and does the job perfectly."

What is our primary use case?

My main use case for iCIMS Recruit is for recruitment and onboarding. I primarily use it for recruiting candidates, sending them invitations, setting up interviews, and adding them to Dayforce.

A specific example of how I used iCIMS Recruit for recruiting and onboarding is that we screen the candidates who apply through iCIMS Recruit, and then once they are screened, we move them to a bin where they would be eligible for an interview. Once the interview is completed, we move them to Dayforce from the system once they are selected.

    What is most valuable?

The best features iCIMS Recruit offers are the ability to manage candidates, manage the volume of people applying, screen them, and its easy navigation. Additionally, I can upload their documents and keep their profiles up to date.

Navigating iCIMS Recruit is easy because it has steps or a system that is consistent and does not require many clicks. Much of it is automated. The document uploading feature is also efficient, as having employee documents is important, and storing them in their own profile makes it easier to retrieve them and avoids paperwork.

I noticed specific outcomes such as definitely handling more candidates, as we hire about four thousand to five thousand people per season. Additionally, we had good documentation, and the navigation process was so streamlined that I could go through resumes, move them to different bins accordingly, send emails immediately, and ensure that we reviewed everyone.

    What needs improvement?

I do not find anything to improve with iCIMS Recruit as everything I used was good, and I do not see any other way to improve it. It is all good.

As far as I know, it was all good, so I would not be aware of anything else that can be improved.

For how long have I used the solution?

I worked in that field for almost four months, specifically four to five months.

What do I think about the scalability of the solution?

iCIMS Recruit's scalability is good, and it handles the large volume of candidates well.

How are customer service and support?

I did not need to reach out to customer support for iCIMS Recruit, as I did not need assistance.

What other advice do I have?

When I joined the company, iCIMS Recruit was already in use, so I would not know the difference, but iCIMS Recruit was a great software that we used for recruitment and it helped me navigate and do the job on time.

I would advise others looking into using iCIMS Recruit that it is dependable software, reliable, and does the job perfectly. I would rate this product a ten out of ten.

Daily hiring has become data driven but support and AI capabilities still need major improvement
    Pros and Cons
    • "iCIMS Recruit's best features include the dashboard, the metrics, the graphs, and the link to our career portal and job postings."
    • "The customer support for iCIMS Recruit is terrible. I chose a rating of six because the customer service has been terrible, and we have gone through numerous account managers."

What is our primary use case?

iCIMS Recruit is our ATS system, and I use it daily for all of our open requisitions and hiring processes.

    What is most valuable?

iCIMS Recruit's best features include the dashboard, the metrics, the graphs, and the link to our career portal and job postings. I particularly appreciate the dashboard and the way it is configured.

    What needs improvement?

iCIMS Recruit can be improved with AI integration. I would like to see smarter candidate matching and ways to identify fraudulent applications, third parties, and deep fakes.

For how long have I used the solution?

I have been using iCIMS Recruit for approximately six or seven years.

What do I think about the stability of the solution?

iCIMS Recruit is stable for the most part in my experience.

What do I think about the scalability of the solution?

The scalability of iCIMS Recruit is good in my view.

How are customer service and support?

The customer support for iCIMS Recruit is terrible. I chose a rating of six because the customer service has been terrible, and we have gone through numerous account managers. iCIMS should consider all companies regardless of size as important customers, and when we informed them we were considering switching, nobody seemed to care or attempt to remedy the situation.

Which solution did I use previously and why did I switch?

We did use something before iCIMS Recruit. We used a couple of different systems, but I cannot remember them outside of Jobvite.

What's my experience with pricing, setup cost, and licensing?

iCIMS is very expensive. As a smaller company, we are a small fish in a big pond to them, and all of our inquiries seem to be ignored.

What other advice do I have?

The advice I would give to others looking into using iCIMS Recruit includes considering pricing, AI capabilities, what happens if you decide to leave iCIMS Recruit, and how your information is stored and packaged in iCIMS Recruit. I would rate this product a 6 overall.

Good documentation and customization with fairly straightforward setup
    Pros and Cons
    • "The solution offers good customization and good dashboards."
    • "Over time, I've seen them build on their platform, make improvements, enhance the user experience, and continue to gather feedback for improvement from end users."
    • "If reporting could be more robust, that would be phenomenal."

What is our primary use case?

    Recruiting and onboarding

How has it helped my organization?

We've streamlined both our recruiting and onboarding processes.  Before COVID, half our population was remote.  Then, of course, when COVID hit we did all of our hiring remote.  We were quickly able to switch to full time remote recruiting for all new hires.

At the moment, there are no face to face with potential employees, it's all done online. We also have Modern Hire integrated in the platform, which is a video interviewing software.  Modern Hire is what we were using for the individuals we were initially hiring remotely in the first place.

    What is most valuable?

For the most part, it works for our needs and when it doesn't, we can adjust it to our requirements.

    The solution is very user-friendly.

They have iForms that we can use for both recruiting and onboarding. In fact, we were looking at going to a new Core System and the reason we didn't is due to the fact that their recruiting tool was not anywhere close to what iCIMS offers.

The solution's technical support and documentation is very good.

I would say it's pretty stable. Over time, I've seen them build on their platform, make improvements, enhance the user experience, and continue to gather feedback for improvement from end users.

The solution offers good customization and good dashboards.

    What needs improvement?

If reporting could be more robust, that would be phenomenal. Any time you're obviously dumping into Excel and having to manually manipulate data it takes time. It would be great if we could do everything in the platform.

They do offer some great products. I wish it was all bundled together. They have an Offer Suite you have to pay additional for, which would be great if it was included with their initial product.

There are items as a system admin we should have access to change.  I do believe iCIMS is working on a certificate solution, where we would be allowed to make some of those changes ourselves.

For how long have I used the solution?

We've had iCIMS since April of 2016.

What do I think about the scalability of the solution?

I do think the solution is scalable. Over time, they've done things like bring in TextRecruit.  I do see them getting larger.

We are an organization that has an employee population of around 1400. In terms of our team, there are two admins, myself and an individual from IT.  We have three recruiters and an HR coordinator.

We use the product every day.

How are customer service and technical support?

Technical support is helpful. They are good at walking you through resolving the issue.  They also have a robust knowledge base where you can search for articles when troubleshooting or even making changes to the platform.

The technical support team is responsive.

We've been satisfied with the level of service.

Which solution did I use previously and why did I switch?

We used to use UltiPro, which is now UKG.

When I started working on this project, I personally did not use the old UltiPro Recruiting platform.  iCIMS has email campaigns and other functions where we can leverage the platform that Core Systems do not have yet.

My understanding is that we switched since UltiPro Recruiting was an old product with no conversion roadmap to their new product.  We wanted something more robust on ATS and onboarding.  We did recruit first and then we moved to using onboarding, which has been great. I can't imagine trying to do all of this without having the onboarding system as well.

    How was the initial setup?

The initial setup isn't complex at all. It's very straightforward and simple.

However, when it's not straightforward, their customer service is excellent. If it's something I'm not sure I have access to change, I will open a help desk ticket and they will help guide me through it.

I want to say it was four to six weeks in terms of deployment time.  This included the training, the data, the customization, and getting the data migration.

We did keep our old ATS open for a little while.  We closed out some jobs in the old one and then started fresh in the new ones for tracking purposes.

The solution doesn't require too much maintenance.

    What about the implementation team?

We implemented through an in-house team.  There were about seven people involved in the process.

    What was our ROI?

I have noticed an ROI mostly from the time saved. We find that there's an efficiency in terms of how our recruiters can go through, do the whole process and see everybody at a glance.  Levering onboarding has also helped us to be more efficient, help with soft boarding, and complete all new hire paperwork remotely.

What's my experience with pricing, setup cost, and licensing?

One always wishes to get the solution for a little less; however, we just went through our contract renewal.  We did an early contract renewal to help with the costs and iCIMS was great.  When we negotiated with them on how our increase would work, we came to an agreement that work for both of us.  We needed more flexibility due to a previously bad year.

We get so many licenses and that all changes with our renewal. Before, we had to pay extra for additional iForms, licenses, and portals.  Now it's all included.

What other advice do I have?

I'm the system administrator for our organization. I do the configuration and troubleshooting. I'm also part of the PEP with iCIMS, which is the Product Experience Panel.  The PEP gets to give input and test out new products ICIMS is offering.  I also get my recruiters to participate, so that they get feedback on what would be user-friendly on the backend and what works for us.  As part of the PEP we also get to see roadmaps, which is great!

Often companies will take a current process and shove it into the new system and think it's going to work miracles. I would suggest doing a current state map and a future state map.  By mapping out how you what your future state to look, you will have a better idea on how you want the process to look and then leverage iCIMS to make it happen. If you are not happy with your current process, automating the bad process isn't going to make it any better.

In general, I would rate them at an eight out of ten. I'm happy with the solution; however, I do still see some room for improvement.

Managing interviewer feedback has required patience and still demands simpler workflows
    Pros and Cons
    • "The best features of iCIMS Recruit in my use case were being able to monitor interviewer feedback form submissions and send reminders."
    • "In today's market, comparable to other competitors such as Ashby and Greenhouse, I would say Ashby is a 10, and if I were to compare that to iCIMS Recruit, I would say iCIMS Recruit is probably a one."

What is our primary use case?

As a recruiting coordinator, my main use case for iCIMS Recruit was to import candidate resumes into their candidate profiles within the system and also monitor feedback form submissions from interviewers for in-person onsites.

In my role as a recruiting coordinator, if a candidate's phone number was missing, it was easy to import that to their candidate profile, and the same applied to their resume. I also sent reminders to interviewers to submit their feedback form or scorecard within the system if the interviewer did not submit it within a specified time frame and SLAs that were established at the time and before the debrief happened.

    What is most valuable?

The best features of iCIMS Recruit in my use case were being able to monitor interviewer feedback form submissions and send reminders. Particularly, I owned in-person onsites at Uber ATG in Pittsburgh.

Both the reminders and monitoring stood out to me in that it made my workflow smoother and was also about accountability.

    What needs improvement?

iCIMS Recruit can feel overly complex at times. I would recommend making the user experience workflows simpler without reducing the amount of keystrokes and uploading a resume or checking in on candidates throughout the interview stage process, and not making it as clunky or noisy with each page.

I feel there is a steeper learning curve with using iCIMS Recruit, and at the time, their company resource and field guides on how to do specific workflows seemed vague, which could cause problems for new recruiters, coordinators, and hiring managers who may need significant training to become comfortable with the platform over time. The user interface felt dated and outdated, and the interface has not evolved as quickly as newer ATS competitors.

Making the user experience simplified would be one thing that could improve iCIMS Recruit.

For how long have I used the solution?

I have been working in my current field for seven years.

What do I think about the stability of the solution?

iCIMS Recruit was not unstable in my experience; I never had issues with downtime or crashes.

What do I think about the scalability of the solution?

We used iCIMS Recruit at Uber, so it seemed to handle large amounts of data or users effectively, as Uber was a large company at the time.

How are customer service and support?

I have no feedback on customer support regarding iCIMS Recruit; I never experienced any negative feedback or positive feedback, so I am neutral about it.

Which solution did I use previously and why did I switch?

iCIMS Recruit was the first applicant tracking system that I used during my career.

    How was the initial setup?

I am sure my team evaluated other options before choosing iCIMS Recruit; I was an entry-level employee and it was already implemented within the company, so I am sure they did their due diligence, but I am not sure which other competitors they evaluated.

Which other solutions did I evaluate?

In today's market, comparable to other competitors such as Ashby and Greenhouse, I would say Ashby is a 10, and if I were to compare that to iCIMS Recruit, I would say iCIMS Recruit is probably a one.

What other advice do I have?

My advice to others looking into using iCIMS Recruit is to be patient with the platform. I have given this review a rating of one.
