What is our primary use case?
I use Paycom for Talent Acquisition every single day. I also use performance reviews, which we run quarterly. We do performance tracking daily. Paycom is our whole HRIS system, so we use it for timesheets. In my role, I am primarily in Talent Acquisition, performance management, and Paycom Learning.
I support a lot of our management team to open and close requisitions. I oversee the HR coordinator, and we go in anytime a person requests extra support with their requisition, screening candidates, and helping to disposition any candidates. Our HR team consists of myself and my HR coordinator, and we are the only ones on our team that do Talent Acquisition. We also work to push all the candidates through the workflows, run their background checks, and send them offers. In Paycom Learning, we set up all new hire trainings. I am going to overhaul learning this upcoming year to incorporate different levels of management training courses and do our own trainings within Paycom.
We use Paycom for all onboarding and onboarding documents that we have created as organization-specific documents. Paycom also provides suggested documents and all legal documents, such as updated I-9s. We create a lot of checklists within our onboarding that are organization-specific. I work in there all the time updating those documents with my coordinator. We also create our own goals in Paycom. We do them per position, and that is how our performance reviews run. At this time, my HR coordinator is uploading all of those and doing all the data entry for all of the goals for specific roles once they are submitted by the management team.
How has it helped my organization?
Overall, the accuracy of timesheets has been extremely helpful. We recently turned on Geo-fencing. We have not used it yet. We also started expenses, which we have used. Expenses have been a lot easier because they go back to the person's paycheck and that is a quick approval within the system. The workflows in every single area are amazing. For example, in Talent Acquisition, you have all the people on there that would need to have influence into the requisition. You start from the person that is doing it, then you go to the hire, the hiring manager submits it, then their supervisor will approve it. If it is a new position, our asset management team will approve it, then it will come to us. The workflows are great there. They are also great in performance management. We will soon be using performance discussion forms, which is essentially a corrective action, and those workflows are also really great, especially within any type of status change. Having everything in one place through workflows is a lot easier than chasing people down via email or papers, and everybody expects that they are in a workflow if there is something on their team.
A rough estimate shows there is at least probably 20% fewer timesheet issues. I honestly cannot even remember in the last maybe year when we have had to retro people because their timesheets were not done correctly, and that is a huge improvement. From a workflow stance, I do not really have any metrics, although we did not have workflows set up in our previous system. It was just a form that you filled out. Administratively, being the original person that was collecting all of those forms and putting all the requisitions up, I would say I definitely save probably about 20% of my time. Obviously, it is reallocated, but that is my estimate.
Paycom has changed our approach in almost every way we work, to be honest. We did not have performance reviews, but Paycom was a big reason why we chose it. That was why we chose Paycom because they offered a lot of modules within the system, including performance discussions and performance reviews. We did not have them before. I launched those for the first time. We just wrapped our first year, so July 1st, 2025 to June 30th, 2026. We just wrapped our first annual reviews. Everything being in one system has been a really significant game changer for us. For the most part, operationally, we have really overhauled almost every avenue of operations with Paycom.
What is most valuable?
For the employee experience, the Employee Self-Service is extremely user-friendly and very easy to navigate. It is a pleasant platform. The ability to view and edit timecards and make notes on your timecards is one of the easiest capabilities of Paycom. Requesting time is also one of the easiest capabilities of Paycom. That is very user-friendly, especially from an employee standpoint. For the administrative standpoint, I do think Talent Acquisition is pretty easy, especially when it comes to connecting your onboarding and then onboarding a new hire. Once you continue to move through it, it becomes easier and easier, although I do not necessarily think it is the most intuitive from an administrative user standpoint. I do think there is a little bit of separation, but once you get used to it, it is really easy for everyone to have viewing access and know where people are in the process.
There is a capability within Paycom where an employee first signs off. They approve their timesheet, so there is a sign-off on their timesheet. Then the manager signs off. From a standpoint of retros or mistakes, it is rare that we have them now. I do not know from a monetary standpoint how much we save in that, but I can tell you the administration of reconciling timecards is a lot easier because all employees are prompted to approve it. Beyond that, they also approve their checks. If they see a mistake, they can call it out and then we can go back in and revoke approval to redo it. That is a lot better than our previous system.
We recently turned on Geo-fencing. We have not used it yet. We also started expenses, which we have used. Expenses have been a lot easier because they go back to the person's paycheck and that is a quick approval within the system.
What needs improvement?
The biggest piece that frustrates me is that there is no sandbox. There is nowhere for a person to just click a bunch of buttons or view as a different viewer. It is sometimes really challenging from an administrative standpoint to understand what another person is seeing as far as their access. Sometimes Paycom verbiage is a little confusing from my standpoint. I find that words I used in previous HRIS systems or any type of customer-facing system that I have used previously sometimes do not mean the same thing in Paycom. I think I am doing one thing and then it turns out I might be doing a different thing. I do think Talent Acquisition, or maybe even separate modules in general, can show they were maybe not created by the same person because they operate differently. For example, most of your workflows are built into a specific space, but Talent Acquisition seems to run completely independently. You could tell other people have been doing different modules. That is one of the biggest pain points. The reporting is also a little tricky if you are not used to having more of something already set up for you. The reporting is not intuitive. You really have to know exactly the thing you are looking for, exactly the name of the fields, and because I struggle a little bit with the verbiage and just generally moving from one system to this system, or multiple systems to this, and this system is the only one that calls it something different, I sometimes have a very difficult time in reporting finding what I need.
Most times when I am looking for a very specific metric or a very specific piece of data and I reach out to the representatives at Paycom, or even when I cannot figure out how to make something function, I have been told it is something that does not exist. They put it on the development piece, but then I am creating multiple reports and having to merge them on my own. The reporting aspect of Paycom is not my favorite. The lack of a sandbox and the lack of being able to view as a different viewer is extremely frustrating in this system.
Paycom is rapidly improving, so they make a lot of improvements pretty quickly and you do not really know what is happening. You can see it on webinars and other things, but truth be told, I do not know who has time to really go into every improvement every other day to see what is new and what has improved. A lot of the time we are just functioning in our jobs and then noticing that something has changed. It is a little tough to stay on top of the upgrades and the changes.
For how long have I used the solution?
I have been using Paycom for a little over two years.
What do I think about the stability of the solution?
We have not had any downtime or reliability issues. It has been stable.
What do I think about the scalability of the solution?
How are customer service and support?
We do reach out frequently. Our team, because we all were part of implementation in some capacity, we all do reach out for the pieces of Paycom that we own. For the most part, they are very reachable. However, as I had mentioned earlier, a lot of my requests, for me at least specifically, they really cannot fix because those features do not exist yet.
Which solution did I use previously and why did I switch?
We used UltiPro prior to Paycom and it was extremely expensive. There was still a lot of manual things that you had to do in UltiPro. I actually hated it when I used it. I was a little earlier in my HR career, so I used it for about two years, but I did not have as much exposure into the back side of it. There were a lot of things that were wrong, like employees had multiple files. Because we had previously had different entities, every time a different entity was open, they could not merge, so it was really difficult to find anything in there. I had a very hard time navigating timesheet approvals, and we also had to manually reset everybody's passwords when they needed to be changed or anything of that nature. It was really annoying, to be honest. I really hated UltiPro.
What was our ROI?
I know that we have a huge time savings with Paycom, especially as I mentioned earlier with timesheets and just mistakes. The accuracy with timekeeping has been one of the largest game changers. I estimate maybe a 20% cost savings, although I do not have hard measures on that.
Which other solutions did I evaluate?
We did look into alternative solutions. I know we looked into ADP. I cannot remember if we looked into BambooHR as well. I think those were the only ones that I recall.
What other advice do I have?
I prefer Paycom more than I dislike it. For the most part, the upgrades that they have made have been helpful. The missing component of a sandbox and really solid, easy-to-use reporting is just a big area of improvement that I have had in other places and here it is going backward. As far as user ability in general, I think it is much better than it is not. I would rate this product a 7 out of 10 because of those missing pieces.
Everything seems to be in order. We have not had any breaches or anything of that nature that we are aware of. I think it is fine for being an online platform.
I would say to have patience and log the things that you want as development features. I do think that it is definitely a worthwhile system. If you are not super detailed with reporting requirements, I would say that it is a pretty comprehensive and easy-to-use system.
