Business workflows have been automated and document processes are streamlined at large scale
I believe IBM FileNet could be improved or enhanced in the future, specifically the user interface development support, which, despite all the improvements, still feels from the 2010s or 2000s. The current state of the user interface development support and the ability to customize it leaves much to be desired. The backend engine, process engine, and object engine are fantastic. However, the user interface, which is required to provide an impressive experience to the user, is difficult to build. IBM will need to do something about this area. Over time, IBM has made improvements with enhancements through CP4BA and other tools, with which user interfaces can be built. But there is much more is needed. The initial setup process for IBM FileNet requires specialists. IBM FileNet is not a click-click-click deploy kind of product. It has several components that need to be installed in different versions and in a particular order. Additionally, IBM Cloud does not provide a proper experience. The problem is I cannot use IBM Cloud easily. I cannot even get a membership easily. With AWS, I just use my credit card, sign up, and I am done. With IBM Cloud, that is not how it is. They go through all validation processes, and it is a nightmare at times. There are problems around IBM FileNet, not exactly with IBM FileNet itself, but the point is that it is not a click-click-click deploy either on the cloud or on-premise. It requires specialists, and there is a big learning curve toward deploying and managing the whole infrastructure as well as the software. I communicate with the technical support of IBM frequently. I have communicated several times, and frankly, there is much to be desired on that side. When you raise a ticket, it takes 24 to 48 hours for them to respond. We live in a time where business moves at the speed of light. Twenty-four hours is a very long time. You need to be able to get technical support instantaneously. It is not like the more contemporary support models where you get turnaround in minutes, not days.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"We use IBM Datacap's capabilities to capture data and then we use FileNet's capabilities for filing, to create an archive of documents... We [also] use FileNet's ability to expose information via APIs and interoperate with other systems."
"It is a faster, robust solution. The platform compatibility is very good."
"This just improves the overall efficiency and productivity of our organization."
"It is very user-friendly for business users. They can create their own searches. They are not dependent on administrators to create searches for them. It is self-service for them."
"Overall, it is a very good product for what we need in the company."
"One of the most valuable features is FileNet's ability to capture things from the stack, from e-mail, to scanning of Excel and Word. FileNet can also convert many types of files to PDFs very easily."
"We consolidate the content management, have become a central repository for the company, and are able to migrate content from our business units into the central service, especially as we acquire other companies, thus simplifying our technology portfolio."
"With IBM, we have just one platform with multiple components, making it a very good solution in terms of maintenance."
"The Mobius Content Management Services platform has greatly improved our productivity, taking our time from creation to access from, at times, minutes to expose, to milliseconds to expose, with reports immediately accessible at generation."
"It provides a single pane of glass for delivering content from multiple repositories. It is also highly recommended because of the ease of use when it comes to searching and retrieving from multiple repositories simultaneously."
"Mobius excels in ensuring data security for captured content, which is crucial."
"This solution has improved our organization by providing a central repository for business data with control over sensitive data."
"Archiving is the most valuable feature of this solution."

Cons

"We are looking at FileNet on AWS cloud. To date, even our IBM rep cannot be certain if it will work."
"IBM doesn't offer new technologies every year, they offer new technologies after five years, for each release of the product."
"I would like to see the dashboard be a little bit more robust and a little more user-friendly"
"I went to a recent IBM conference hoping that they had the Datacap products smarter; all the talk there was about Watson and how smart it is. I was hoping that it was actually really smart; you could give it a bunch of documents, it could understand what the documents are, sort them out for us and extract relevant information. It's not there yet. The hype exceeds the reality."
"We know that they're looking at documents, but we don't know what documents they're actually going and finding the most, or where the bottlenecks might be."
"It may be a little complex to implement and take some effort, but with the integration the way it is, it is worth the effort."
"It could be simpler to use, considering multiple use cases."
"There is no room for improvement in the current version of FileNet, and I have not identified any potential new features or existing problems that require attention."
"When the new version is available, the vendor should make it easier for upgrading this product."
"Sales and service need to be more consistent."
"The setup and the support could be improved when it comes to populating the reports from a mainframe environment."
"The primary area for improvement is the platform's accessibility."
"If it were up to me, I wouldn't use Mobius due to its lack of accessibility and outdated interface."

Pricing and Cost Advice

"The platform is inexpensive."
"The tool is expensive, and I rate its pricing a ten out of ten."
"Licensing costs depend on the size of the storage."
"FileNet is quite expensive, although Documentum is expensive too."
"When it comes to pricing, IBM needs to make an effort to improve the cost. That's the main issue regarding use of FinalNet in Columbia."
"The solution saves time and money. It helps us to be able to accomplish the goals of our business, as opposed to being tangled in the weeds of what we could do."
"IBM FileNet is an expensive solution."
"There are lots of components to the product. Make sure before you invest that you know which components you need."
"The pricing and licensing are commensurate with other solutions in the market that handle a distributed system environment."
