What is our primary use case?
I primarily used Apploi as APS software. It was an applicant tracking software for our recruiting firm, as well as a CRM, client relationship management software for our different clients that we use.
In our firm, we primarily worked with local clients, just from a recruiting capacity and sometimes staffing and payroll, but we did not use Apploi for payroll.
How has it helped my organization?
It has a good search feature for looking for resumes. It's a pretty standard tracking system but they get the job done.
I can't think of any specific thing that stood out about it.
What is most valuable?
The search feature was really nice. You could type in a bunch of different queries and usually find a way to get the applicants that you're looking for.
It seemed pretty straightforward and it's easy to use.
It integrates well with CRMs. I didn't use the CRM side of it that much, so I don't have as much experience on that end. From an applicant tracking system perspective, as long as you can search your candidates, search your jobs, and put notes in the system, that's really all you need.
It's a good standard-looking applicant tracking system.
What needs improvement?
The search feature is useful, but it is also somewhat limited. In other ATS systems that I have used, you can really define your search well. You can enter multiple, different criteria for things that you are looking for. You can also enter how many years you need and enter a specific location. The Apploi solution doesn't offer those options.
Any good ATS systems should really, really improve their search features, your ability to see what candidates match certain criteria.
I think that that is really a key to any good applicant tracking system because that's what we're here for. We're trying to find our candidates and we're trying to get good candidates for the right jobs.
The search feature could improve and they need a more robust candidate page.
Sometimes candidate pages can have a lot of different information on there, and you have to dig through the notes for some of the information on Apploi.
Making it a little bit more user-friendly and having more accessible information would be an improvement because when we're going through it, we just want to find all the information we need as quickly as possible.
For how long have I used the solution?
I was using Apploi for over a year until December of the last year, 2020.
We may have been using the latest version, but I can't say for certain.
What do I think about the stability of the solution?
It's a reliable solution. It didn't have any issues that were detrimental to any recruiter. It's sustainable and it definitely works as an ATS.
On one or two occasions it had stopped working, but it may have been that the server was overloaded. It's wasn't a consistent problem.
What do I think about the scalability of the solution?
We never tried to scale. Our version of Apploi was on a small scale, there were only about 10 recruiters, at most during our peak. I don't know how well it would work for a really large-scale company, at least not with the version that we had.
I don't know how well it would work because it didn't really have a good way of separating everything out. If you did have individual rec numbers assigned to each individual job it could work, but that's not how we were looking at it.
We had anywhere from six to ten recruiters who were using this solution.
As far as recruiters are concerned we were using it extensively. It was always open and constantly being used because we were entering in notes from all of our contacts, and checking it for applicants. From our perspective is very essential.
As far as increasing its use, the only thing we would have done is add more users as we get more recruiters.
How are customer service and technical support?
I thought they were good.
There was always somebody that we could reach out to and they were usually good about responding quickly.
Which solution did I use previously and why did I switch?
I've used six or seven different ATS systems, and they all function pretty similarly and it did the job.
Currently, I am using JobDiva. I have used Newton briefly, Workday, Avionte which is a good CRM APS integration system, and RightThing Recruit.
They all function the same. Some do a better job of integrating CRMs, some do full payroll and HR, and they roll out of other things like Workday.
With JobDiva, it's a really powerful APS system that can do many different things as well as keep track of hours. In terms of all of those, Apploi is a bit simple, or at least our solution was a bit simple, but I think that's all we needed.
How was the initial setup?
The initial setup was pretty straightforward.
All of the candidates were already migrated into the system, and there was absolutely no issue there.
It was easy. We just put all of our jobs in, which took maybe a day.
You can post directly from their website. There are nice integrations there.
What about the implementation team?
Apploi deployed this solution for us. We didn't have a technical team.
They manage it all for us. They worked on it on their end. It took approximately one month. It wasn't that long from the time that we first started talking to them to changing it all over.
All of the maintenance was done by the vendor. We didn't do anything internally ourselves. We had a small recruiting department and not exactly a large IT enterprise.
What's my experience with pricing, setup cost, and licensing?
I didn't have any part in the pricing.
What other advice do I have?
Overall, I liked it. I thought it was simple, and it's probably one of the simpler ones that I've worked with, which is not always a bad thing.
It's very straightforward and easy to look at. But, if you need something that's more complicated or more robust that can do many different things, I would look at maybe a few other solutions like Workday, or JobDiva, even Avionte is a little bit more robust.
It is a possibility that Apploi can do more and we just didn't have those features.
I would rate Apploi a seven out of ten.
