Extensive customization and governance enhance document management experience
Currently, the challenge is the general availability to users. Initially, they had poor documentation, but over the years, their documentation has highly improved. Initially, we had challenges finding the extension points and understanding how to extend the system. The workflow was one of the hurdles we had. At that time, it was not that beautiful or feature-rich. Even today, workflow consists of basic workflows. If you want to extend, you have to implement your own customizations. They are using it extensively with features such as records management, CMIS, Share UI, and Web Scripts. All these features are being used extensively. Governance of this system is required. If you don't have proper governance, things can go wrong. If you don't have a proper policy of how documents should be maintained, issues can arise. You have to make rules, such as one folder should not have more than 5,000 subfolders or children. This was advised by Alfresco, but we did not have that advice, so we had challenges when everything was dumped into single folders. It slows down the systems and sometimes becomes unusable. Whoever is going to use it should have that governance system in place.

Helps us secure viewing of customer accounts; scalability streamlines production of large reports
You can control who views what, as far as security is concerned, in viewing customer accounts. I'm not sure if that was available in the product at the beginning, but we use it extensively now. Also expandability. It's easy to add more space to it when you need and to. If you're producing large reports it's easy to increase so you can handle the new volume that may come along.

Pros

"Document repository."
"The features which are most valuable to us are rapid deployment, ease of installation, ease of use, and Linux platform support."
"I like the ease of use, sections, and calendar."
"Alfresco is the only enterprise CMS that has features like contribution, sharing, workflows, automation and robust content and record management, that are also Open Source."
"The product allows engineering teams and developers to introduce new things in a seamless and easy way."
"You can meet your users' expected features without having Alfresco's involvement."
"The digitalization of workflow, forms, operations, and business processes is also significant."
"If you are looking for a product which has all the common functionalities such as document and media management, record management, workflows, document indexing and searching, then in that case, Alfresco is the platform that you need."
"We standardized our CIS log processing with CA View. We support a whole bunch of LPARs, about 80 or so. When we go to an LPAR, we know just where the CIS log is, it's in CA View, and we know how to get to it, we don't have to search around for it."
"It's easy to add more space to it when you need to, and if you're producing large reports it's easy to increase so you can handle the new volume that may come along."
"I would suggest you strongly consider CA View and Deliver; take a big look at it, it's straightforward."
"It's easy to add more space to it when you need and to. If you're producing large reports it's easy to increase so you can handle the new volume that may come along."

Cons

"The configuration of Alfresco is a big challenge."
"Alfresco has a very steep learning curve, and unfortunately, during the learning process, it's very easy to make errors, which often are unforgiving."
"There is need to improve features such as the record management and case management in the product."
"I would like them to consider document capture functionality."
"The setup process for Alfresco was complex."
"Alfresco could improve workflow digitalization and enhance artificial intelligence capabilities."
"Currently, documents in Alfresco are stored on a file server, which, while good for performance, is a security risk."
"We did encounter some stability issues when there were many simultaneous requests on the server."
"There was one customer we were trying convert over, and it was complicated. There were retention criteria which seemed a little more limited than with some of the other products."
"I believe they do probably have a GUI interface for the laptop, so you can just use the interface instead of the mainframe ISPF interface."
"There was one customer we were trying convert over, and it was complicated."
"I believe they do probably have a GUI interface for the laptop, so you can just use the interface instead of the mainframe ISPF interface. I think that's already available but, if not, that would be my only issue."

Pricing and Cost Advice

"If you buy Alfresco through a partner, there is usually a OEM licensing option."
"The license for Alfresco is expensive - not the maximum, but close. There are also extra costs once you start building integrations, as implementation seems to be very costly."
"It is cheaper compared to head-to-head competitors."
"There are costs for any upgrade or additional functions."
"It requires other pieces of CA software and license keys, thing like that. That's one thing to keep in mind. It requires CA Common Services in order to actually be licensed to run on LPAR."
