Has supported enterprise document storage but lacks cloud readiness and AI capabilities
The new version of IBM ECM is at the end of support, and we need to migrate to a new version to get open support. We need AI capabilities from IBM ECM for additional functionalities in the next release. Specifically, AI is needed for finding documents. The trend is moving toward AI, and for managing many documents effectively, we need AI capabilities. Currently, IBM ECM only handles physical files, not unstructured files. IBM needs to work alongside customers and share best practices for IBM ECM. Reading the IBM Redbook alone is not sufficient for the knowledge we need to build the best architecture for my company. IBM ECM needs to improve the cloud version, such as compatibility with Amazon Cloud, not only IBM Cloud, to make their product more competitive.

Positive features enhance collaboration but room for improvement in file syncing
Regarding Microsoft OneDrive for Business's versioning control, sometimes there are syncing problems. Microsoft OneDrive for Business is available on the cloud as well as on my local machine. When we put a file in Microsoft OneDrive for Business on the local machine, it takes some time to sync, and sometimes it gives an error, which is a specific issue I have encountered. If Microsoft works on the syncing part of Microsoft OneDrive for Business, it would greatly enhance its functionality. Sometimes we update a file, and it isn't showing on another end, which requires us to run a sync again for it to appear. That part, if addressed by Microsoft, would be great. I love SharePoint more, so I will provide feedback in relation to that. SharePoint has only one folder, and we must create multiple folders within that to store files. If they introduce a categorized option, similar to SharePoint where we have team site differentiators, and options for creating communication sites, that would be fantastic for Microsoft OneDrive for Business.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The experiences of our internal and external customers have absolutely changed since implementing the solution, as it is a pleasure to use the system to manage the data, we are more organized, we are more agile, we have more information, and we can react to that information better."
"With the new version of Datacap that we're on now, what had took nine months to train somebody, now takes just a couple weeks."
"FileNet/IBM really excels when you get into the hundreds of thousands – the millions – of documents, and having some structure and some metadata on those documents."
"The content management is all about you as you can make the same content for minimal purpose solutions applications."
"It has definitely improved the way our organization functions."
"We were using an old technology and with the move to FileNet, we now have new capabilities, new features, and a new roadmap."
"The scalability is a valuable feature, that we're able to display our documents to so many people."
"The scalability of Datacap is amazing; we really like it."
"One of the best features of Microsoft OneDrive for Business is that it synchronizes the information with the cloud."
"We have the Microsoft Office 365 solution and OneDrive is one of the products included."
"The best thing about Microsoft OneDrive for Business is its shared part—for Microsoft OneDrive for Business, we can share folder labels as well as specific files, which is the best feature that I would recommend."
"Scalability is good just because it is a cloud-based product."
"The organization of the solution is its most valuable aspect, as it is easily accessible from multiple places I use and pretty easy to learn, and once someone taught me, I was able to navigate it quite quickly."
"The integration with other Microsoft products enhances its utility 100% because we are all Microsoft."
"It was extremely easy to setup."
"It helps you keep organized."

Cons

"I think it's already getting away from Java applets. A lot of our users struggle with keeping up to date with Java versioning, so a lot of the functions they're doing, like printing, emailing, and even some of the viewing, they're struggling with."
"I would like to see seamless application integration."
"Datacap is a very complex system. It is very much an ease-of-use issue."
"More importantly, it is sometimes overly complex, and requires a lot of work from the infrastructure and administration standpoint; a lot of hands-on patches."
"The development platform is not local. For example, you need 100 days in IBM, whereas other platforms, like ServiceNow, need only 20 days."
"It didn't implement as easy as we had hoped. We had some partner issues."
"I would recommend not going with ECM 8 and going with FileNet instead. It seems like that is the future of the lower-volume repository. It seems like they are moving away from ECM 8.5 so I think we're going to have some challenges coming up, getting off of that technology."
"However, I've heard from other users, other IBM customers, that's not necessarily the case. Nothing out of the box can really be used immediately."
"It takes too long for OneDrive to synchronize various applications, especially when you are saving office data. It also requires too much bandwidth."
"The file structure insight could be made more flexible like for creating more flexible folders."
"An online video player would be great, since sometimes you have to download the video to play it."
"If I want to pick out certain criteria of pictures, Google enables me to do that whereas OneDrive is a bit sort of flaky."
"Support has not been the same since the beginning of COVID lockdowns."
"For Microsoft OneDrive for Business, something which would really be helpful is something which would help with Outlook email automation."
"The website could be improved. Sometimes I try to login and the website has issues, I can't retrieve my documents."
"They were terrible for support after COVID hit."

Pricing and Cost Advice

"Reach out to local IBM partners."
"Using this software, it has had an amazing impact moneywise on our business. It allows us to share documents without the need of extra hardware."
"Costwise, it is a great option. In most cases, it is a free space, which will be more than enough for most customers."
"This is a pricy solution, given that we are only using it at 50% capacity."
"It is free if you are using Office 365, and you get a terabyte of storage with your account."
"We pay a lot for the Enterprise version, but it is a premium service."
"The licensing is expensive and on a yearly basis."
"The price of Microsoft OneDrive is reasonable and compatible with competitors."
"OneDrive comes with Microsoft 365 so it is just an added part of that package."
