What is our primary use case?
In my previous organization, we used Bigin by Zoho CRM for vendor onboarding, payments, and everything. In the present organization, we are only doing the billing. Since we are a very small organization at present, I do everything from vendor payments, limiting it only to invoicing and payments.
In the previous organization, we did vendor onboarding, integrating it with other systems such as Salesforce. We had a learning management system for internal users and vendors. As a consulting company, when small organizations did not have an LMS, we would give them Bigin by Zoho CRM, customize it, and deliver it to them. It was very easy, and I didn't have to spend much time teaching clients how to use it. Taking them through once was sufficient.
We implemented bill uploading to avoid physical documents and prevent fraud. We provided access to every client with their email ID. They would log in, submit their invoice, and we would receive a reminder that the invoice had arrived at the finance department. A workflow was created where it would come to me for approval and then proceed to finance. The workflow process in Bigin by Zoho CRM was very straightforward.
At present, we are working on integrating Bigin by Zoho CRM with other applications, particularly an HR HRIS system. However, this is a long-term project planned for 2026 end.
Currently, I rely minimally on Bigin by Zoho CRM's analytics for decision making due to our small organizational size. However, in my previous organization, we generated numerous reports with customization assistance from Zoho.
What is most valuable?
When compared to SAP and Oracle products, Bigin by Zoho CRM is very affordable.
The workflow of Bigin by Zoho CRM is exceptionally efficient. Once created, the workflow manages itself. When something gets triggered and the workflow is updated, everything proceeds automatically. The system sends reminders automatically when configured properly.
We had minimal reliance on Bigin by Zoho CRM's user-friendly interface. For comparison, implementing SAP's suite of products, including LMS, took almost three months for setup and customization. With Bigin by Zoho CRM, we spent about a week. Their representative, Srikanth, explained the system to each function - finance, procurement, and others. Within 15 days, it was operational, requiring less than a month total for implementation.
What needs improvement?
With AI becoming prevalent, Bigin by Zoho CRM needs AI updates, which I heard they are working on. Additionally, their commercial model based on slabs is not easily comprehensible. The sales representatives should be better equipped to explain the slab structure in a simpler manner. This was my main concern during discussions with Zoho.

I have been using Bigin by Zoho CRM for about two and a half years now.
What do I think about the stability of the solution?
I have not experienced any problems with Bigin by Zoho CRM in the last three years.
What do I think about the scalability of the solution?
I have limited experience with the scalability of Bigin by Zoho CRM. The largest implementation I've worked with for the LMS was about 500 people, and for finance, only about 25 to 30 people. I have heard it is scalable, but I cannot provide detailed information about its scalability capabilities.
How are customer service and support?
Their support system is exceptional. We had a dedicated independent sales support and customer support representative we could call directly for assistance.
During our initial setup of Bigin by Zoho CRM, we needed to process payments for approximately 18 vendors, including a government vendor. A support representative from Chennai conducted a Teams call with my finance team, sharing screens and providing step-by-step guidance.
For the learning management system, we had local support for a major client's onboarding process. This project involved about 20 batches weekly, with approximately 20-25 batches going live monthly. It was a three-month training program combining physical training with e-learning modules on Bigin by Zoho CRM. Their representative, Karthik, provided hands-on support for four weeks, conducting presentations and teaching users about tool usage, login procedures, admin access, and timeout settings.

We were using SAP before implementing Bigin by Zoho CRM.
Their customer support and slow adaptation to change prompted our switch from SAP to Bigin by Zoho CRM. While working with SAP LMS, I provided numerous suggestions for improvement as their platform had limitations. For instance, uploading Skillsoft content was problematic, and they lacked knowledge about their own system. I invested time exploring solutions, such as discovering how to integrate Skillsoft, which is still referenced by Skillsoft representatives today. Despite creating excellent products, SAP's lack of product support was a significant issue.
How was the initial setup?
We completed the entire setup in slightly less than a month.
Which other solutions did I evaluate?
We evaluated several options before choosing Bigin by Zoho CRM, including Oracle and two other vendors who presented their products.

We are currently working on integrating Bigin by Zoho CRM with other applications, particularly an HR HRIS system, though this is planned for 2026 end.
Bigin by Zoho CRM saves considerable time compared to Tally or SAP because it is comprehensive and complete. It offers various modules including procurement, SCM, and finance. As companies grow, adding new modules is straightforward - simply request the needed module from them.
