Centralized document management has boosted search efficiency and supports secure collaboration
The best features Alfresco offers in my experience include the intelligent search, because sometimes you need to find a document, and this solution provides a full-text search across different document types and formats, which is perhaps the most remarkable feature, along with version control. The solution tracks all the changes of the documents and prevents accidental overrides or other issues. The intelligent search has made my work easier because you can just put a word. Perhaps you are thinking of finding something related to a client or a specific MSA agreement, and with one or two words, the intelligent search proposes all the documents that include this word, facilitating finding the information very easily and very quickly. This is the most important feature for us.

A Robust Solution with Enhanced Automation and Process Improvement Identification Capabilities
I recommend that users invest more time in the initial setup of the process architecture within the tool. It is crucial to spend time designing how the process architecture works as it significantly impacts how the tool behaves. This upfront investment can prevent the need for extensive reworking later on.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"Alfresco is the most widely used open source ECM in the world and it has characteristics that I really like such as a Java based platform, lots of integration points, many protocols for accessing it, advanced workflow support, scripting, easily customizable user interface, a concept of a group/team based working area called site."
"The product allows engineering teams and developers to introduce new things in a seamless and easy way."
"Alfresco is the only enterprise CMS that has features like contribution, sharing, workflows, automation and robust content and record management, that are also Open Source."
"If you are looking for a product which has all the common functionalities such as document and media management, record management, workflows, document indexing and searching, then in that case, Alfresco is the platform that you need."
"One of Alfresco's strengths is the data modeling, as document domain experts can model type and hierarchical associations and metadata constraints in a declarative way, and a graphical user interface model manager now allows users that don't know XML formalisms to build models."
"Alfresco has positively impacted my organization by providing consistent use and the ability to utilize the system when needed to research zoning compliance records."
"We are happy with Alfresco, believing it to be a very good and competitive solution in price as a great content management solution."
"The features which are most valuable to us are rapid deployment, ease of installation, ease of use, and Linux platform support."
"One notable software-related benefit from a user perspective is our improved ability to identify opportunities for automation and process enhancement just by gaining a clearer view of the processes. There are two valuable aspects. First, setting up the process architecture is commendable. Second, not having to maintain different versions of processes is a notable benefit. The solution is stable. The support team is responsive."
"The most valuable feature is the integrated manner in which all the capabilities of the Enterprise Process Center platform work together and make it easier to complete the documentation of processes."

Cons

"If you don't have proper governance, things can go wrong. You have to make rules, such as one folder should not have more than 5,000 subfolders or children."
"Currently, documents in Alfresco are stored on a file server, which, while good for performance, is a security risk."
"Alfresco can be improved as the roadmap went a little stagnant for the past few years, so there had not been any new development, and coming out with a new roadmap with new features and executing and delivering on those new features would be an improvement."
"I would like them to consider document capture functionality."
"Alfresco has a very steep learning curve, and unfortunately, during the learning process, it's very easy to make errors, which often are unforgiving."
"The setup process for Alfresco was complex."
"I have not seen a return on investment, as at the time it was not saving them money at Evernorth and Cigna, which is why they moved out of it."
"We would like to see improvement in the numbers of documents that can be managed by the repository."
"As with all such platforms, Enterprise Process Center is a complex tool and there are many capabilities and features that take time to learn."
"However, on the process mining side, there's potential for improvement to gain deeper insights into process functionality. Additionally, there's always room for enhancement in the user interface."

Pricing and Cost Advice

"If you buy Alfresco through a partner, there is usually a OEM licensing option."
"The license for Alfresco is expensive - not the maximum, but close. There are also extra costs once you start building integrations, as implementation seems to be very costly."
"It is cheaper compared to head-to-head competitors."
"There are costs for any upgrade or additional functions."
"My advice for anybody who is implementing this product is to understand what options you believe you are going to want to implement and rollout in the first three to five years, but spend the most time understanding what the set-up costs and pricing will be in the first two or maybe three."
