Work from anywhere and backup easily while being practical
I recommend Dropbox, yet not for all of the features it has. I am a basic user. In a personal mode, we have about 100 employees, and maybe 20 of them use Dropbox as a personal backup system. ShareFile is more secure than Dropbox. Five years ago, ShareFile was qualified as having better security control, access privilege management, and version control recovery, among many features that we were using for private documentation. Overall, I would rate Dropbox an eight out of ten.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The features that I find most valuable are the ability to sync across devices, easily access/share files and organize them among myself and my team."
"The various methods for accessing files, such as through mobile apps, online synchronization, and on a PC, are highly valuable."
"Dropbox offers helpful functionalities for business purposes, such as receiving file requests from external parties like customers who don't have an account. Additionally, it includes features, such as reminders and workflow capabilities."
"We don't really use the collaboration features because we have only a small organization. Dropbox is valuable having the hard drive space available, and the access to be able to upload and access the content."
"I can use the cloud version for storage and easy retrieval."
"Offers great flexibility."
"The solution is very clear and easy to use."
"The solution is easy to use, everyone can use it."
"OpenText Extended ECM's most valuable features include permissions and security models. I also like the tool's ability to add metadata and use it to categorize information."
"WebReports has a lot of capabilities that offer good opportunities to customize the applications the way we want to."
"The version controls and the business workspace part integrate well with SAP and OpenText, providing granular level control over who accesses the workspace."
"Being able to tag metadata on documents and being able to have different workspaces in there for our documents is valuable. We do loan documents, and different types of documents have different types of retentions. We are able to categorize based on that, and we are able to do tag searching to find what we are looking for."
"The engineering document management system is one of the most valuable features."
"Retention is useful. I have been pleased with the search functionality and the extensibility for tying it into integrations with other systems and building workflows on top of it."
"Being able to search is valuable. Its search is pretty powerful. We are able to search for specific text, and it points us to the document that has that text. That is pretty powerful."
"The solution's automatic document numbering, state management, and process flow are very useful features to go through the full cycle of the document."

Cons

"2 Gb of free space and then a not so cheap subscription (also if the competitors have similar proposals for customers)."
"It would be good if they could market themselves as a safe solution for corporates. Currently, most corporates don't see it as a safe area to share within."
"The solution could be better integrated with other platforms."
"While I feel the price being charged to be reasonable, it should either be more cost-effective or account for an increased amount of storage space."
"Dropbox could be improved by reducing the storage price."
"There is a potential improvement regarding storage capacity and offering more than its current four gigabytes."
"Dropbox needs to improve its integration with Google platforms, including Google Sheets, Google Docs, and Google Slides, which facilitate easier collaboration."
"I cannot edit a document at the same time as another user."
"The initial setup can get really complicated, and it takes time."
"We had some issues with scalability in the production. So, I would rate it a five out of ten."
"The solution needs to improve the user interface."
"There are no additional features that I would like to see. I am pretty happy with it, but their support could be a bit better."
"When it comes to addressing complex use cases, three or four years ago, we ended up purchasing an additional OpenText product called AppWorks because we started to run into some limitations with the workflow that can be done in Extended ECM. It was a little limiting, so we ended up getting another product."
"The tool's documentation is not proper and has missing information like steps."
"Pricing could be improved and the stability or the performance needs improvement, which is very important."
"The solution's performance, stability, and consistency could be improved."

Pricing and Cost Advice

"The solution allows one only a certain amount of free storage, but he must pay for a subscription, perhaps on a six-month basis, if he wishes to maintain this."
"I am using the free version of the solution."
"I use the free version of the solution."
"I believe I pay around $5 per month for the license."
"The solution is expensive."
"A bigger discount for existing users would be appreciated."
"I don't pay any licensing costs."
"I was using the free version of the product."
"The solution is expensive."
"The pricing is costly. It's costly to integrate with Office 365 and to go back and forth with the sales team."
"OpenText Extended ECM's pricing and licensing are aggressive and confusing for the end customer."
"Both Open Text ECM and IBM File share are expensive."
"The total cost of the product will vary on the capabilities required"
"OpenText Extended ECM is an expensive solution."
"It is a little more expensive than our previous solution, but because of the fact that it has become a rallying point for different groups to come under, it might end up paying off better in the long run by not having seven siloed solutions. Even though this one solution is a little pricey, it might eliminate other ones."
"The licensing is not that complex for the core products, but it becomes more complicated for some additional modules."
