Visual workflows have connected all teams and have made daily collaboration more organized
    Pros and Cons
    • "Throughout the whole time I used Pipefy, I liked it a lot, it is very practical and very fast, and I never had problems."

What is our primary use case?

My main use case for Pipefy is that we used it for everything; all the areas of BIP Saúde used Pipefy: the data area, HR area, supplies area, logistics area, operations area, finance area, so all the areas were connected and interconnected through Pipefy.

I won't be able to give you a specific example of how we use Pipefy in finance because I wasn't in the finance department, but I used it, for example, in operations, and whenever a ticket was opened to let us know that a car was late in our operation, we would receive this ticket, check it, respond, and then move it through the appropriate stages, through its boxes on the kanban. This is something very good about Pipefy because it uses kanban, which is an easy way to visualize things and it doesn't get confusing or difficult for anyone. Additionally, we created several automations which we used a lot in other departments to create forms and create processes within Pipefy that improved our day-to-day work.

How has it helped my organization?

Pipefy has positively impacted my organization by organizing us to leave everything out in the open, so to speak; we had visibility of everything, we also had the time each process took, and it's a more organized way of knowing where each follow-up item is. I believe this is something very good because it worked well for me and it made me more organized.

Pipefy saved us time and helped with our collaborative work. For example, if at some point I couldn't see a demand, a colleague of mine could see it and could help. So besides enabling collaboration between teams, Pipefy is a very practical work model.

      What is most valuable?

The best features Pipefy offers are the visualization. Nowadays, people have a lot of difficulty with many things, so a clearer, cleaner, more objective visual is great because then we don't need to spend much time training anyone new. I really appreciate objective things, and I think this is great because then we don't need to spend much time training anyone new. It's all kind of intuitive, and as I mentioned before, this kanban visual is very practical, with colors highlighting what each thing should be. I believe that from the most basic position up to management, everyone can use Pipefy perfectly because of these characteristics.

The visualizations in Pipefy are very good. From the most basic position to the most advanced, everyone can understand what is being done and what can be done. We don't waste much time teaching anything to anyone new because it's very clear, direct, and objective. I appreciate things that are clear, direct, and objective, so the visualization in Pipefy, because it uses this kanban model, is very practical.

      What needs improvement?

I think Pipefy is great and very good; but there is always something to improve and enhance. I believe that at some point it can enhance some aspect much better, which probably no one is even identifying right now. For me, it worked well, but I heard reports from other people that it didn't work very well or that they didn't understand it very well. However, I won't speak with authority about other people; I'll speak about myself.

For how long have I used the solution?

I used Pipefy for four years while I worked at the company BIP Saúde.

What do I think about the stability of the solution?

Throughout the whole time I used Pipefy, I liked it a lot. It's very practical and very fast, and I never had problems. All the operations I created through Pipefy always worked, and all my forms that were also created with Pipefy worked perfectly. I don't remember any moment when something had an error or when something froze my operation. Pipefy always worked perfectly for us.

What other advice do I have?

I believe that Pipefy is secure because it is a highly reliable tool, and I believe that it doesn't have data leaks or all these security problems that we have. I would rate my overall experience with Pipefy as a ten.

Centralized payment workflows have improved control, accuracy, and on‑time supplier management
      Pros and Cons
      • "Pipefy had a very positive impact, mainly in terms of productivity and control, as the company started to have far fewer errors, much greater control of documents, and centralization of all processes within the platform, making it much more practical to use."
      • "In other departments, I had the opportunity to observe that there was a high volume of cards and many phases, so navigation got a bit slow and even required excessive scrolling to locate them."

What is our primary use case?

Pipefy was used to manage payments to suppliers and contracts in the operations area for travel management. On a daily basis, I used Pipefy to control payments to direct suppliers, contractors, hotels, rentals, monthly contracts, and one-off contracts with other service providers, as well as other platforms that required oversight of all payment dates, amounts, and manager approvals.

The control was very easy with Pipefy. The platform is very intuitive, and the adjustments made by the company were positive, allowing us to use it with ease, which helped significantly with our productivity and necessary control.

      What is most valuable?

Regarding the positive points of Pipefy, I believe the first point would be the issue of autonomy, one of the great advantages that allowed the finance team to create and change flows and forms without depending on the IT queue or technology, while already complying with the rules defined by the company. The team made all the adjustments and everyone ended up benefiting, and whenever possible, we provided feedback and input so that something could be improved and scaled. This resulted in less friction, less noise, and more fluidity and agility in processes.

Another positive point is the issue of visibility and SLA control. Centralization in Pipefy helped us significantly in controlling deadlines, allowing each user to see the status of each request and each card instantly. I had my own controls, for example, being responsible for payment order requests to our suppliers.

Among the features of Pipefy, I believe the adjustment that each company can make in the fields to personalize them according to their needs is notable. The cards are created with the configuration and information needed for each one.

Pipefy had a very positive impact, mainly in terms of productivity and control. The company started to have far fewer errors, much greater control of documents, and centralization of all processes within the platform, making it much more practical to use.

A much greater control of processes was noticed with Pipefy, where emails stopped being used to send something directly to departments, for example to finance, to provide a payment or other related issues. Everything was centralized within the platform, and each user uploads a document there, which is recorded within a card, and the department that receives it immediately follows up and makes payments within the deadlines defined by the user. This control is much greater and much better, and as users we can track the deadlines from the creation of the card to its correct completion and follow it at each stage.

Time savings and much greater efficiency were achieved with Pipefy. The company has a high volume of contracts, payments, and other documents to manage, and Pipefy facilitated this centralization of information. There was a reduction mainly in time that used to be lost, greater efficiency, and productivity gains on the part of the employees.

      What needs improvement?

At the time when I used Pipefy, it did not end up being the case for me in my travel management area. However, in other departments, I had the opportunity to observe that there was a high volume of cards and many phases, so navigation got a bit slow and even required excessive scrolling to locate them. Even with the system of searching by word or term to find the cards, this was an issue. In my area, we had an average number of cards, and we could manage them with relative ease.

For how long have I used the solution?

Within the company where I worked, at EstrelaBet, we had already been using Pipefy for a little over a year.

What do I think about the stability of the solution?

Pipefy is stable. We had very few issues of unavailability or failures in use, very occasional, but they did not interfere at all with daily use, and it had very good stability.

What do I think about the scalability of the solution?

As far as I could see, the scalability of Pipefy was positive. Even with the increase in the volume of processes or user access, it remained good and the company was able to scale this access internally.

How are customer service and support?

I personally never needed to contact Pipefy support. When it was necessary in very specific cases, the contracting department and finance department took that action and made contact, but practically all cases were resolved in a very short time.

Which solution did I use previously and why did I switch?

At the company, at least I only used Pipefy and did not use any other solution previously.

Which other solutions did I evaluate?

I do not have information about whether the company evaluated other options on the market, as that whole negotiation and evaluation was done by other departments.

What other advice do I have?

Pipefy is a platform that I consider very good. It is practical and intuitive, and it has the possibility of configuration and customization of fields, which makes it easier for all information to be accurate and appropriate according to each client's needs. It is a stable platform and serves all areas of the company very well.

Based on my experience and use of Pipefy, the gains in efficiency and control were clear, as it allowed tracking everything through a single platform, ensuring that flows occurred correctly and deadlines were met. We avoided forgotten emails or loss of documents, and for the company, it was very positive, as it ended up being the biggest beneficiary with the evolution of internal management. I recommend Pipefy to other customers. My overall rating for this product is 8 out of 10.

Structured onboarding has reduced implementation time and provides clear daily customer priorities
      Pros and Cons
      • "Before Pipefy, there was no process at the last company I worked at for the onboarding process, so with the arrival of Pipefy and the standardization of processes, we achieved excellent results, such as the implementation SLA, which used to be six months and went down to thirty days."

What is our primary use case?

My main use case for Pipefy is during the implementation process, specifically for customer onboarding.

Pipefy has a function very similar to an agile methodology called Kanban, which is very necessary for the implementation process, so I use it to track all the steps and all the phases of the implementation process for each customer.

With Pipefy, I can have a broad view of each customer in each phase, so every day, I can go into Pipefy and understand the phases the customer is in, whether they are late or not, and whether I need to take action that day or not.

Pipefy gives me information about the phases the customer is in, allowing me to take action that day if necessary, especially if I identify some delay or lack of some data or information.

For some time, I have been working on the implementation of enterprise customers, where I need to work with several areas at the same time, and Pipefy gives me a view of which phase the customer is in, if they are behind schedule, if they are following the checklist, and all those involved as well; so it gives me autonomy, freedom, and security in the implementation process.

Pipefy gives me the autonomy to keep the flow going, ensuring I have the customer's history about everything that is happening so that I don't miss any phase of the schedule or any part of the checklist, which provides me more security that the project will run well until go-live.

How has it helped my organization?

Pipefy gives me a broad view of everything that is happening, allowing me to know what the day's urgencies are, where I need to act, and where I can wait, so I can have a practical and safe understanding of what is happening with the customers in my portfolio.

Before Pipefy, there was no process at the last company I worked at for the onboarding process, so with the arrival of Pipefy and the standardization of processes, we achieved excellent results, such as the implementation SLA, which used to be six months and went down to thirty days.

        What is most valuable?

The best features Pipefy offers include having the phases defined and being able to customize these phases according to the company I work for, being able to send automatic emails, and keeping the customer's history; all of this helps me a lot to have more time in my daily routine to manage the onboarding process.

For how long have I used the solution?

I have been using Pipefy for three years.

What other advice do I have?

I believe Pipefy is the best tool today for monitoring customers in the onboarding process, especially enterprise customers who require more critical care because we work with several areas, different people, and the schedule and the checklist need to be very well updated, which is something that Pipefy provides us.
