Tungsten TotalAgility Reviews

I usually recommend Tungsten TotalAgility to any company with a business process that involves large scale capture of unstructured or semi-structured content across a range of processes that need to rapidly implement and evolve those processes in line with regulatory or competitive pressures in the marketplace.

I find the integration with Kofax and now Tungsten to be the most valuable features in Tungsten TotalAgility. They have been integrating the features of the various Kofax capture suites with the process engine, which was obviously acquired from a Northern Irish company. The fusion of those products gave them an entree into the process market and into the low-code market.

It's difficult to say what I'd improve in Tungsten TotalAgility because we haven't been actively marketing that particular product in the last probably six to nine months. The speed of product development means that my experience with it is likely out of date in terms of the product suite capabilities.

The difficulty with customers nowadays is that they are subject to the winds of change in terms of the adoption of cloud technologies and the offerings those cloud technologies bring. Microsoft, for instance, is rapidly filling in the spaces between various product areas that other vendors typically owned.

That makes it difficult for customers to settle on their functional requirements because the offers are competing in the same space.

I look for more integration with mainstream subscription based platforms, more security integration, and possibly some more lifecycle management features. However, the difficulty with that is the competition with existing options that people have in their subscription library.

I have been dealing with Tungsten TotalAgility for a long time. I believe it was first introduced around 2017, possibly even a little bit earlier than that.

I would say their technical support is pretty good; I would give it an eight.

I'm familiar with Tungsten TotalAgility and I will share my experience with the solution. My review rating for this solution is 7 out of 10.

The difficulty they face in the marketplace is that historically from a legacy perspective, they intruded into a workflow space that was occupied by people such as Pega. The difficulty there is that given that Kofax was pretty strong as a capture vendor, many of the workflow and document management vendors had typically not really concentrated in that area and therefore used Kofax.

Kofax faced the challenge that as those vendors matured and as the market moved towards particularly email capture and other electronic forms of capture, the traditional market was drying up, while the future market already had email connectivity. The acquisition of what became the KTA product gave them an entrance into that space, but they never stressed the lifecycle document management aspects of regulated processes effectively, which I think possibly represents a weakness. They still market it as a kind of capture plus product, which is difficult to navigate in today's market with a lot of AI products emerging.

Tungsten's pricing is based on an active user license model rather than a named user license model, which provides an advantage. In a large enterprise, if only a relatively small number of people deal with the capture part of the process and document entry, it can be extremely competitive. However, if you're competing in a marketplace where people have already committed to a subscription-based product with free entry level components, it becomes very difficult to leverage those customers away from that vendor.

The AI-powered features are incredibly important for operational efficiency; they are a game changer in terms of the accuracy of OCR and ICR. While OCR and ICR have been fairly good for a long time, the challenge lies in the fact that even with a 98% recognition rate at a character level, errors can still occur. AI enhances this by providing a learning base that corrects issues from a semantic perspective rather than just character recognition, which I experience as a significant game changer.

I assess their intelligent automation features for improving document-intensive workflows as very good. They have an illustrious history in this area and a deep understanding of it. However, their focus seems more directed towards specific industry sectors, particularly accounts payable processing with invoice recognition due to recent acquisitions.

I have been both a partner and reseller for Tungsten.

Kofax is primarily used for extraction and classification, as well as for business processes. In our case, it's used for transaction history and payment information. We also have integrations with other services like CMA, SharePoint, and Documentum. I am the assistant vice president at a bank and we are customers of Kofax. 

This is a great product, a BPM tool with capture facilities. KTA is great with recognition and gives us a high level of confidence in terms of its extraction capabilities. If we want to connect to any web services, we can get our own WSDLs and connect to other systems. It's quite easy to convert to a cloud platform. In cases where we need to create our own analytics platforms, KTA provides some of the analytics. It gives us everything we need to create for our processes.

I'd like to have better inbuilt features so that we could see some added value. We sometimes struggle to get the information from databases and it can be quite complicated so improvements would be helpful. There should be some feature where the separation of documents is feasible just by using keywords. The way things work now requires us to build a separate code to get what we need. There could be more configuration in that regard. 

I've been using KTA for close to seven years and Kofax solutions for over 10 years. 

We initially had some challenges with stability due to a few bugs in the system so we couldn't initially achieve what we wanted but the solution has greatly improved and the recent versions are much more stable.  

The solution is scalable. There is an active directory option where users can be added or removed as required without a problem. We process around 100,000 documents per day. 

The technical support is quite good. There is sometimes a lag because they don't always deal with problems immediately. If it's a production issue, we might need to wait. They do have a strong knowledge base and they have shared that with us.

The initial setup is easy. If you follow the steps it's straightforward. Once you activate the license, you can start using KTA immediately. Deployment generally takes less than an hour. If you have all the prerequisites in place, it's a matter of following the implementation notes, and entering the server setups.

The greater the number of licenses reduces the cost per unit. The licensing cost will depend on the use case and elements such as classification and extraction of documents, scanning and processing. A calculation is made depending on the number of users. For 10,000 concurrent users in a basic setup, the cost was six cents per page.

Datacap and Captiva, as well as other platforms such as ABBYY FineReader were evaluated.  The company opted for KTA because the extraction and processing time is quicker. 

When it comes to machine print, this is an excellent solution with features you don't find in other tools. When dealing with handwritten text they have provided some A2iA locators that require a separate license. Even after implementing that, the handwritten text extraction was not great. Microsoft Azure does better at text extraction. If an organization is looking for OCR without the need to extract anything, then I would suggest a product such as Textract or another free software. If data extraction is needed for additional processes then I would recommend Kofax. 

I rate this solution eight out of 10

Our customers use Kofax TotalAgility daily, and the solution has different rules. In addition, large businesses use this solution as they have to create many CO reports and get several invoices by email.

Kofax TotalAgility is also creative. For example, approximately ten percent of information goes to the manual system if it is not extracted correctly. In this scenario, it automatically forwards it to the manual system and assigns it to someone to verify the data. After verification, the solution provides an acceptance and goes to the finance department for processing.

Our clients get approximately 10,000 to 12,000 invoices daily, and it is challenging to handle them manually. So Kofax TotalAgility is a great design tool for reading handwritten invoices.

This solution directly connects to Outlook 365 and automatically reads emails. It also automatically extracts data from PDF files and verifies it with invoice numbers, purchase order (PO) numbers, total amounts and taxes. After confirming all the information, it stores it in the database. First, Kofax TotalAgility measures the existing information in the database and supplier's invoice and then matches the information sent by the supplier.

A valuable feature is the automated verification capabilities. For example, a business that sells insurance can automatically set its rules and processes. The solution automatically verifies invoices and extracts information from client cards and identity reports. The AI system works automatically and reduces manual intervention. And in situations where manual intervention is required, the devices are likely not in a proper format. 

For a bank that receives thousands of applications daily, the solution helps to handle the applications, verify the applicant and approve them quickly and automatically. Once a business can define the rules, Kofax Total Agility works automatically. It also helps check the accuracy of the application. For example, if you receive invoices on the same day you approve a loan, you can check if the applications were approved correctly.

The solution helps to reduce human intervention. Some of our clients previously spent about ten dollars per invoice for processing, but after using the Kofax Total Agility, I believe they are spending only about one to four dollars.

There needs to be more accessible certification and better pricing for Kofax TotalAgility. Kofax launches a new version every year, and we experience some issues. We've worked on versions 7.2, 7.3, 7.5, and 7.9, and we are currently using the 7.10 Kofax Total Agility version.

The solution also provides several extraction features, NES quality, and VRS profiles, giving the front-end soft utilities. A downside is that the tools are very costly and challenging to learn. You will need to purchase a Kofax License learning tool and certification to learn about the Kofax Total Agility. It is expensive, and if training could be provided on YouTube, there may be no need to get the certification and invest that much money. The learning tool shows you how the use the application and how you can improve your business by using the tool.

There are limitations to the software. For example, it does not support G-Queries, you can write in only C Sharp, and there is support only on the Windows server. There are also limitations to the hardware, probably due to Kofax's policies. For example, because of the number of applications, you can only do LEMCAD and can't do LEMCAD designs for other forms.

We have been using this solution for five years.

The stability is very good, which is why it is probably costly. If you want to create with this solution, you need to purchase it, install it, try it out, then you can decide. They have also divided the number of certifications, tools, and small configuration tools.

Different competitors and technologies are also available in the market and are doing the same thing as Kofax. For example, Google has a tool to extract the image and data but is not a close competitor to Kofax. This is because Kofax has created a powerful tool. However, most companies choose not to proceed with Kofax because of the cost.

Some maintenance is required. The tools and applications run on a server with a database, and jobs are created automatically. Sometimes, some jobs are suspended for no reason, so we need to verify why. For example, the system sometimes processes 10,000 jobs daily, and about 20 or 50 jobs could be suspended, so you need to investigate why these jobs are suspended. It could be because the data sent by the supplier was incorrect, or the solution could not insert the data accurately.

Sometimes the servers slow down because everything runs on the system, and the system suddenly stops working. Some maintenance is required from time to time to ensure this does not occur.

The team responsible for maintenance is divided into different teams, which comprise the infrastructure team and the software and development team that provides the configuration if required. For example, the teams take care of all the servers and the database if a new supplier configuration is needed. We also have a team that maintains the database files and engineers that oversee maintenance. Some are software engineers, and others mainly work on the database.

Our team has experience with Kofax TotalAgility's integration with different environments, capacity, and the necessary frameworks in the system. In addition, we hire experts, and a different price structural team creates Azure. An infrastructure network security team is required to prevent the hacking of the system. We also have a vast database and different types of environments.

The product is scalable. Kofax has launched different features, and the applications can see API in different tools. Before, the system was deploying applications at the server manually, and you needed to configure and could only recreate the package and deploy it. However, they currently try to implement and connect with different technologies such as Microsoft Azure, Cloud System, and CICD. Hence, continuous integration is available, but some things are still unavailable in their systems. Microsoft also has CRTD integration systems.

Technical support from Kofax is very good, and we can create requests directly. Kofax also has different partners. They provide similar support but are not as good as Kofax technical support.

Because the Xerox license was not as expensive, we purchased it. However, after one year, we noticed that if we submitted a ticket to Xerox, it took approximately one to two months to be resolved. So we suspended it and directly purchased the support maintenance from Kofax, which has been great. Kofax has expert engineers to help if you face issues, and they will ask for time and provide a specific solution. They also note the problem and try to resolve it in the next version.

The initial setup was average. Before configuration, you must complete a couple of certifications. The certifications are divided into different parts. For example, if you want to learn about administration, there is the Kofax Total Agility Administration. There are also different certifications if you want to know the basics of software installation. You can complete the online training in the online portal.

I rate this product an eight out of ten.

Regarding advice, whoever uses this solution should get support directly from Kofax and not purchase software from a third party. If they purchase everything from Kofax, they will get the best support.

You also need to gather all your information before you use this tool and utilize experts. Engineers can provide the configuration, and they will set up the entire infrastructure after installation, create the servers, and the engineers will help to directly connect to Kofax.

When I entered the business, my company partnered with Kofax, so they provided the portal, which was paid for. I completed several certifications, each costing more than one lakh rupees. Many people don't know about the availability of this tool, and if you want to learn anything about it, you will need to take training.

I feel people are not aware of this solution. For example, when Microsoft launched Windows 10, they made it free to raise awareness. They probably did this, so customers benefit from features and purchase the new version. However, I have also noticed that people are unaware of the Kofax tools, and if they don't have an incentive, they may not pay for it. 

Some industries are not using Kofax TotalAgility because they cannot provide the training, which is too expensive.

The product is really good, and it is easy to use. It comes with multiple integrations. The solution keeps up with the trend of Microsoft Copilot and AI. The tool's digital mailroom feature can handle documents from multiple sources. This includes incorporating documents from scanners, multifunctional devices, email attachments and various importers. Kofax TotalAgility's OCR capabilities process structured, semi-structured, and unstructured documents. Additionally, it supports both on-demand requests and batch scanning.

The main feature I find exceptional about Kofax TotalAgility is its ease of use. While many business process management tools offer similar features, the solution stands out for its simple setup for KPIs and easy configuration of processes and forms. Additionally, it provides auto-generated forms. The solution was also easy to integrate with existing systems and workflows. 

The tool provides insights into document extraction and classification, including confidence percentages. The system can automatically proceed or route documents for validation based on these metrics. In HR systems, Kofax TotalAgility enables the creation of workflows for employee requests, such as leave approvals, based on predefined criteria like tenure or behavior. Similarly, KPIs can be integrated into customer care to monitor agent performance, tracking metrics like ticket volume and resolution times.

The product's console version is old. It should also improve its forum. 

I have been working with the product for more than 10 years. 

I rate the solution a nine out of ten. It is good product that users can trust. 

Kofax TotalAgility is mostly been about growing as a tool. With every release, it adds new features. It's a growing tool that offers a complete package of BPM, case management, and capture capabilities. 

It has those associated capabilities, and it's also very user-friendly. It is a light version, based on feedback from all customers. It can be used on the browser for both developers and users. As a result, it is a very user-friendly tool in the market with a complete package. 

There are very few options with all-in-one capabilities, but individually, there are several  options available, such as case management tools on the market. And we capture capabilities.

There are a lot of tools available in the market, but as a whole package, there are not many.

Certainly, a major release will include new features that will introduce bugs, which will be addressed with patches. But I don't think there's any feedback from my experience that this will be a good feature or not. 

There are no fixed features or anything else that I can think of that should be included. Every day, new features are added. There is a once-a-year major release. As a result, we are constantly adding new features.

I have been working with Kofax TotalAgility for almost eight years.

The most recent version is 7.10, and we are using 7.9.

Kofax TotalAgility is very stable. That is what I mean when I say that the cloud one is also very stable and the on-premises one is also stable. New feature thread and new release. For each major release, they have a major release and a new feature added, and once a new feature is added. There will almost certainly be some bugs around it. They keep repairing it. However, the tool's basic functionality, or what is expected of it, is very stable.

When you move the application to the cloud, it becomes scalable. It is scalable on-premises as well, but the cloud adds flexibility to scale.

Current customers. I'm not sure because I don't oversee production, I don't know how many users are currently present, but from previous organizations. It used to be used by a couple of thousand users and 350 concurrent users of the license we had; I'm not sure about the current organization, but I've been here since I arrived. I'm not in charge of production, so I don't have that knowledge.

They provide sufficient but not excellent technical support. Perhaps there is a point where they could use some improvement.

They keep asking me questions. I should mention that once we open a case, they keep coming back with a lot of questions, all of which have been answered. Maybe it's just my perception of how they work, but I believe they could be more proactive and supportive. They are currently supportive; as I previously stated, they are good but not excellent. There could be improvements.

It is currently on-premises, but the team intends to migrate to a private cloud. I was in various environments. It's currently on-premises because we will change to a private cloud, but I've also worked where it was previously on-premises. I've also worked on solutions that use private clouds.

The initial setup can be simple or complex. It depends on who is doing it and how much experience they have with the tool. While the internal workings of the tool are a little complex for a new beginner, there are multiple options. Start with the basics. You have automatic mode and manual mode. You can manually run all of the installation queries. There are different modes, but they range from a completely blank installation to a basic setup that is simple to install, much like an EXE install if you have the data set checked.

On-premises installation was relatively simple and took about a week, including installation verification, port opening, and spinning up the infrastructure, but there were a few challenges when we moved it to the cloud. Maybe a couple of them took the initials because it was our first time. It took a couple of months to set up the cloud environment, especially moving on-premises application data from on-premises to the cloud.

I am not sure what the exact price of the Kofax is, but it is on the higher end.

It is slightly more expensive than other tools.

My suggestion is to evaluate based on their needs, such as whether they require a complete end-to-end solution in one tool for case management and capability, processing OCR on documents, and approval processes. It's all BPM case management and capture in one, and it's a good tool for them to use.

I would rate Kofax TotalAgility a nine out of ten. It's not perfect. I wouldn't give it a 10, but it is a really good tool for use cases and also a tool, especially for banks and financial organizations. Most banks prefer the tools provided by Kofax, which is why I rated it a nine.

The use case that we are trying to solve using Kofax is the automation of the insurance business. There are around 100 sub-processes, which require some data extraction and hence the KTA intervention. It's basically an automation project, and KTA is a leader in this.

The use cases are varying in complexity. Some are very simple, including data extraction from a single-page document and just passing the data to the VP bot. Some are very complex.

There is an expectation that we can use the solution for extracting data from email content. With emails, they can be replied to directly from the clients. They can view items and information we seek from the clients. The content becomes unstructured, and the data extraction becomes difficult; Kofax helps deal with this. There are a lot of use cases for the solution, actually.

One feature I like is that it makes the matrix easy for an unstructured document. I have experience with other tools, and there is a feature in Kofax wherein you can use your pre-existing data set. That actually helps when we deal with unstructured content. You can define your own data set, and you can try customizing the content. You can do many kinds of things, including segregating some text into alerts or for data extraction with client details, addresses, and email replies.

The Transformation Designer of KTA can be made better. There are certain things that you cannot do in the same module. You have to go to the web designers to tend to certain properties. Everything should be incorporated in one place so that Transformation Designer, which is a very good tool, can be made more user-friendly.

By deploying packages to a different environment or downloading the package from one environment, you are deploying your code to another environment. The deployment process is simple. We just need to export it from one place and import it from another place. Yet the options that you see on the deployment screen and the warning messages that come down are not very clear.

They need to keep adding new features. It's an ever-growing market, and you need to maybe look at the other tools to see what Kofax is lacking. There might be something someone else has that might be useful here. I’m not sure.

They could include some team types called groups and do sections similar to what ABBYY has. It really helps us to solve the extraction challenges in complex documents. In Kofax, we do have a table, so we need to extract everything in a table. Instead of having a table, like in Kofax, it would help if it was an area or a field.

I've been working in the IDP domain for around eight years now, and Kofax TotalAgility I have used for around four years.

They have done very good actually in making it stable. In other merchants, I expect a lot of crashes to happen in the transformation design and that the application will close. However, this solution is stable, and I have not seen any issues so far. The memory requirement or the CPU requirements are higher, however, if you are using it on a very good machine, it doesn't lag, and it doesn't crash. Is a very stable product actually. It's been in the market for quite some time, so it's supposed to be stable at this point.

Scaling is a straightforward process. It's very simple to give access to the users and access itself. It's very simple to expand as needed.

Right now, we have about 100 users. They are mixed. Ten or 12 will be admins and then the remaining are developers and business users.

We do get support via another vendor and I have dealt with them. They’ve helped us solve some very complex use cases. They were very helpful and provided a lot of great information.

We have five professional Kofax support consultants within our own team and they are great.

A client chose this solution. We also have an internal tool with us for this particular use case, called a WNS internal tool. We also proposed that the client was already using Kofax TotalAgility in a couple of their engagements. They decided to go with KTA since they had good experiences with KTA in the past.

The initial setup is a bit complex - more than other OCR tools available in the market. That said, it does offer more features. It is a trade-off. If you just want to use the OCR capabilities of Kofax, you'll still have to build up processes and do certain things, which can be easily done on other OCR tools. However, if you're trying to solve a use case where you require your business process management as well, maybe interacting with a human and sending them emails, then Kofax is the best option, as it does give you all those options.

The deployment time depends on what kind of deployment you are doing. If it is just a big bug fix and you are simply sending some components to the other environment, it'll not take more than two or three minutes. However, if it is a whole new project that you're deploying, for example, your classification group extraction, or your associated training, it can take up to 15 to 20 minutes. That’s due to the fact that, in the other environment, it'll try to import all the items, calculate all the items, and try to match if there are any conflicts. Therefore, it does take time. I have seen it taking up to half an hour in some of cases when the deployment package is very big. For example, if the deployment package was around 500 MB, it will take that much time.

We have a vendor that helps us with implementation and migrations and they are very good. We do handle implementations for our clients, however.

The license is not based on users; it is on volume. A yearly license is not required. However, you will have limited pages per volume per year. You have, for example, a license that allows you to use one million pages in a year, and if you exhaust all those one million pages, you will need to obtain and purchase an additional top-up on the license.

We’re a partner and we handle implementations.

If you are using it for the very first time, you will have to undergo Kofax training. Otherwise, you will struggle with the tool. There are a lot of components. It's a very big universe. Therefore, if you don't do their training properly and if you use it, while the ease of use is fine, you might not understand what competencies are there. Therefore, get yourself well-versed with KTA terminology and modules. It’s a pretty quick learning curve.

I’d rate the solution a seven out of ten.

Most of the time, it'll be used for some invoice processing and AP (accounts payable) processing. I worked on some insurance company use cases, including claim processing, new business documents, and data extraction. Primarily, it is used on invoices processing and AP processing.

The training is very helpful. You can train the document. There is a machine learning feature inside the solution. When the documents come in next time, it'll actually try to extract the data with minimum configurations.

Even normal business users can train on the Kofax system. That is one of the features which is very good in Kofax TotalAgility.

The image announcement features are really good. For example, with the conversion of the documents from color to black and white and the after-image conversion, the quality of the document really increases sometimes. The size reduces. That way, it can help to store the documents for the long term.

It's not so complex to design what you need to. Even for developers, it’s very easy. I have worked on a few other products wherein workflow configuration and other things were really difficult. There will be a lot of customizations required. However, in this product, there is not so much customization required.

A lot of out-of-the-box features are available. We can reuse those, and there is an out-of-the-box RPA integration. You can integrate Kofax RPA whenever you want to do something with your legacy system. You can use that RPA integration, and you can perform the operation using the robot.

In terms of OCR, if you see the OCR currently is using some omni reader, such as ABBYY OCR engine. There is a lot of OCR technology. It is all really good now. If you look at the OCR by Google or the other Microsoft OCR we have, we get a good OCR result compared to the Kofax OCR engine. There should be some integration allowed so that we can use the OCR results from any other good OCR engine. While the image, the field extraction, is really good in KTA, the OCR result is not so good.

The handwritten aspect is not so perfect. It’s still maybe 40% or 50% accuracy. It is not easy to read handwritten text since the handwriting will differ from one person to another person. It needs improvement. When you look at the Google OCR engine, the OCR result of your handwritten data is not so good.

There is something called Quick Capture. Quick Capture is something that is helpful for the end user. With it, there will be less dependency on the developer. However, we can't do table line item level extraction. Table line item extraction is not possible through Quick Capture. We’d like to have this capability.

I’ve been using the solution for more than six years.

It is a stable solution. I have worked with many big companies where they scan millions of pages every year, and hundreds of users are using it every day, and it is a stable application. It’s reliable. There are no bugs or glitches. It doesn’t crash or freeze.

The solution’s scalability is excellent in terms of adding more users to the system. It is capable of handling hundreds and thousands of users. I have worked with a company where maybe there were not just hundreds if not thousands of users using this.

Recently, we completed one project for an Indonesian customer. They have a mobile application that is developed using Kofax mobile SDK, and we have a KTA on the server side, and thousands of agents are using it. More than 100 users are using the data verification on the server side, and more than 3,000 or 4,000 agents are using the mobile app.

Sometimes we involve the technical support team if there are any issues we cannot solve. Most of the time, they are very helpful, and if there are some scenarios where we need to involve the technical support team.

There is no specific reason I started working with Kofax. I started working with the product called Intelligent Capture, which is similar to Kofax Capture. Initially, I started working on that 16 years back. Then, Kofax was an enterprise-level product. I wanted to work on this and then that's how I got into Kofax Capture and then gradually, I moved to Kofax TotalAgility.

It's not so complex to set up. It is straightforward. I have been working on this OCR data extraction for a very long time, I felt it's not so complex. It is easy for a business user who may not be technical. It’ll be easy to configure. It's not as complex as other products.

The deployment depends on the number of documents. For example, if you want to process invoices, the installation development requires a little bit of customization. The deployment with the production and user training can happen within seven to eight weeks. When there's a different type of document when you have a company-specific document, then the time it takes may increase. However, for standard invoice processing, the deployment should be completed within eight weeks.

In terms of customization, maybe you may have to have some web services to integrate with your core system or need to export the OCR field data and the documents to the core system. All these things can happen within eight weeks.

There are different sets of licenses available. There are concurrent user licenses. There are different options. However, I'm not involved much on this sales side. I'm more involved in the implementation of the solution.

It is a bit expensive. However, it is worth the money since it can be used for multiple processes. For example, a company can use the RPA capabilities and the integration with their core system, and if they use invoice processing, with invoice processing, they can use any other documents processing. The cost will be worth it, however, if an organization just goes with invoice processing, it may not be worth it.

I'm currently working as a freelancer. I am not into any company, I do freelancing on Kofax. I work with multiple customers - it's not just one customer.

I’d advise potential new users that Kofax is an expensive product. It’s not a cheap product. I have been in this industry for a very long time. I can share that users will get excellent field extraction features. They can get out-of-the-box RPA capabilities, and they can get the enterprise-level, good product for OCR.

I’d rate the solution nine out of ten.

It is an OCR software that can be used to extract the data from PDFs, add input channels, or PDFs that came from email. You have scans configured so that you can extract the data from the scanned image and fax. There are several input channels. It's all different according to your business and how you will extract that data from your input channel.

There are several use cases, from simple to complex workflows, as per the customer requirement. If you are talking about the BPM capabilities, Kofax is clearly a winner in that area. Other software tools have basic OCR. However, if you want to use some complex business processes, then Kofax is excellent as compared to other tools.

Kofax TotalAgility is a single package. They provide you with OCR capabilities, BPM capabilities, and case manager features. Apart from that, now they have RPA and some other tools, which are very clearly integrated with other solutions. They have a very good ecosystem.

If you need invoice processing, it suits account payable systems. Or in medical trial tasks, it can also be used there for the insurance sector and banking. There are several use cases where you can apply Kofax TotalAgility to different domains or areas.

It has knowledge-based learning. For example, if you have implemented accounts payable solutions for your company and you are getting different invoices, every organization has its own format of invoices. Therefore, invoice processing is quite complex. You have to deal with the end number of vendors; every vendor has their end number of templates defined for that invoice. It can process these easily.

We divided it into three categories. One invoice is very basic, and we can send it in a fixed form. Second, when you structure it, some data might be changed. However, it is still a fixed form. Then there is a third, unstructured, and you don't know where the data will appear. For the same supplier, sometimes you get the data from the top date, invoice number, or maybe on the bottom. However, in any case, this solution will handle the information quickly.

It has very good learning capabilities. It will learn from the user feedback. For example, if you have some documents which come to your system and are quite complex. Maybe the date format is slightly changed, or some amount is changed, and you cannot extract it. A typical user will manually learn via that data and enter it. It'll also ultimately learn. That way, the next time, it'll automatically extract the data, and that process will no longer require any manual intervention of the user.

When I'm talking about low-code development, they are consulting on a new product with low-code. This means that now you won't have to build that script. It's just a simple single centralized development tool where you can drag and drop things. You can just drag and create your form using drag and drop features, and you can implement your own business logic.

It’s not truly low code yet, as every two or three projects, you will have a situation where you have to go behind the essential things. You will definitely still need to customize. You cannot yet really rely on low-code development. If you have a complex business requirement, you must build that complex script.

Previously, it did not support all browsers. However, it’s my understanding that they have since changed that shortcoming.

They have to create a few different packages. For example, let's say we are in the insurance sector. The insurance sector will have a specific set of processes. If they could give us a framework where I don't have to be concerned about how to build the form, something already heard towards insurance, that would be ideal.

At least 80% of my time will be on implementing business cases rather than building software processes. I just want this to have some use case differences and some pre-built solutions based on industry. That way, a user can directly apply their business cases to that and it'll be like a ready-made solution - or at least 90% ready-made. The last 10% we can feed our inputs into more easily.

I have around five years of experience using Kofax TotalAgility.

The solution is very stable.

They are the leaders of BPM. We get lots of fixes as needed and their support is very good. It’s reliable. The performance is great.

Scalability, as compared to other software, is excellent. We have active cluster testing also involved in that project. Therefore, you have multiple instances of application servers in a very secure environment.

There are various different transitions, and we require that system to be very scalable. It's very good in terms of scalability. It can support the failover as well. You can configure it as per your requirements.

It requires some additional cost in terms of hardware. However, active clustering is also supported. If one node is down, it'll definitely pick up another server with only a few seconds of interruption.

Technical support has been good, and we have been happy with their capabilities.

I had started my career as a technical consultant with another OCR tool, and initially, it was with Dell, now OpenText. Later I moved to the Kofax.

We have two pieces of software that we use. We are using accounts payable software, and we have OCR software. If you're talking about OCR, we are not only dealing with Kofax.

Some clients also have ABBYY. Somewhere we are using Captiva also, for a few of the government organizations, and now we have some small tool which is called Xtracta which we are using with some very small accounts, where we need invoices for maybe 50 invoices or 100 invoices per day.

As compared to other software, and I'm not saying it's complex and easy, is that Kofax gives you the OCR capabilities plus business, including BPM capabilities, case management, and data management. Therefore, it has some additional components which we need to install on the server. It came with an applicant server and with a web server, and it has its own SQL database on the back end. It has its core designer, Transformation Designer. It definitely came with different components. In terms of the installation, I consider that the installation will be a little bit complex as compared to other software since we are dealing with more components here.

Deployment is very fast. Now they have this very centralized development tool. You can create a package. We have a list where you created the process, forms, and different scripts, so there are some processes that vary. You can create a package directly and just select whatever form you need.

We’ve seen an ROI. They're charging you more as compared to other options. However, they give you more features. There’s more value.

The price depends on how your relationship is with Kofax. Sometimes you get a discount. However, I’m not aware of what a standard price is.

The market is really competitive. ABBYY is also one of the leaders in the space. Apart from that, there’s IBM Datacap, then there are some small vendors which have their own tools.

We are resellers.

We have some existing clients using it, and they are happy with Kofax. That said, currently, in the market, I'm seeing that it is very competitive now. There are some other very small vendors. That might beat it in terms of costs. These competitors are pretty cheap.

However, if you want different capabilities and other things, then definitely, Kofax is the very best tool.

I’d advise potential new users to consider the use cases and the kinds of documents you will be processed with your Kofax TotalAgility. Consider items such as the expected volume and number of users. Do you really require the BPM process? Are processes complex?

Kofax is very good for complex business processes. However, it may not be necessary if you don’t have complexity. With Kofax, it can support any end number of possibilities and end number of use cases if that sounds like what your company needs, then it is perfect.

I’d rate the solution nine out of ten.

We use the solution to just capture the loan forms and the insurance request or request for coverage.

They're trying to do a digital transfer. So the benefit is the cost of not having to use paper transactions versus electronic.I would say they are saving about twenty percent of the cost- based on the fully manual database process that they had before.

The tool is low code which saves you from a developer. 

It would be nice if the tool has more connectors to different systems. It is an expensive solution.

I have been using this solution for one year.

It is a stable solution.

It is a scalable solution.

The technical support is good. The only thing is that we paid for the nine to five support. Within nine to five, we got the support. We had a problem on the weekend, but we really didn't have nine to five. But on other days they responded within two hours.

The initial setup was straightforward.

We didn't have to bring in anybody external to help us.

I would advise others to just plan because if you do your planning with any product, you shouldn't have any problems. I know we did a lot of planning before. We read all the documentation, and then it went smoothly. You know, the only advice is that if you're budget or cost-sensitive, don't expect to find a solution out there. If you're really tight and you can't afford the code in front of you, maybe you should look and see if you can get it cheaper. I rate the overall solution an eight out of ten.

We use TotalAgility in the loan approval process, such as during car loan approvals. In this case, when a client needs to buy a car, we have to process a lot of documents regarding the car and the client, and we need to match documents. We use middleware to get this match, and we use TotalAgility to orchestrate the process. 

We built a website portal to consult TotalAgility APIs because we need to start the documents, for example. We need to use ECM in this case; however, TotalAgility does not integrate well with ECMs. It's a BPM. It stores documents and files and consults the files to match the data that exists in TotalAgility with the content in the ECM.

It is user-friendly and has good documentation. It's good for developing communication and has a lot of the APIs needed for this purpose. There aren't a lot of software options available from this time period; this is the only one from 2013 that has this concept of microservices.

TotalAgility needs to improve communication with ECMs or other file storage systems because TotalAgility does not have file storage. A good improvement would be to create file storage or integrate with other file storage tools that are currently available.

I've been using Kofax TotalAgility since 2013.

It is more or less scalable. We had some problems to resolve. It's difficult to make it troubleshoot to understand why we have some problems. APM observability is something that doesn't exist in TotalAgility.

We don't have Latin American support, and it was difficult to get support when we had scalability issues.

Kofax TotalAgility is easy to setup and can take about two or three hours to deploy.

In our case, we needed more than one instance running at the same time, which involved more detailed configurations. We needed to prepare clusters.

Kofax TotalAgility is very expensive.

I recommend training your people because your team may need to support this tool. If you are in Latin America, you may not have Latin American support or resident support. In this case, you will need to become specialists in TotalAgility and resolve a lot of problems through troubleshooting. So, I recommend training all your people to get this knowledge and enjoy the features that you have.

On a scale from one to ten, I would rate Kofax TotalAgility at nine.
