Automated workflows have transformed document handling and support daily approvals and billing
The best features Hyland OnBase offers in my experience include being a robust storage solution that integrates well with the Epic solution, allows Unity Forms to be easy to create and use, and has Distribution Services for sending email notifications as reminders.Out of those features, the workflow engine has made the biggest difference for me because it is excellent for automating approval processes, and we use Hyland OnBase for legal requests, hardware requests, travel requests, corporate credit card requests, and file transfer requests. WorkView is an incredible module for gathering and displaying summary information, and we utilize it highly in our subsidiary to manage our legal contracts, their financial billing process, and their travel. We also use the Document Import Process coupled with Unity API for writing custom code to automate processes to send and receive data from other systems that are not yet API enabled. The impact of Hyland OnBase on our organization is that automating manual processes has had an incredible effect on our return on investment, and the man-hours saved by automating processes pays for the system, ranging from one to five hours. I measured the man-hours saved through the tracking of workflows and automation processes. Additionally, Hyland OnBase has allowed us to move away from moving paper around various departments, providing workflow management to keep approval inside the system and out of the email boxes, eliminating the need for paper storage, and saving storage costs with other vendors.

Automation platforms streamline processes and offer flexibility, but AI integration and version upgrades pose challenges
In the technology world, there is always room for improvement. Technologies evolve day by day, especially with the emergence of artificial intelligence and generative AI models. Although IBM BPM is a substantial product, adopting and integrating new technologies quickly is not easy due to the migration and upgrade paths involved. Every time new versions are released, we face business and production challenges that make rapid adoption challenging. The main concern bothering me today regarding IBM BPM is the integration of AI components.

Pros

"OnBase is a remarkable tool; it is a well-done product with amazing stability that can grow horizontally and vertically and is built for growth, with technical support that is quite good and available throughout the year."
"The most valuable features are that it's very secure and provides audit trails for our documents."
"Hyland OnBase is valued for its security, especially for those in the finance domain who require data confidentiality."
"OnBase is a remarkable tool. It is a well-done product. Hyland has a lot of experience in building it and looking for new things for clients in terms of functionalities. It has amazing stability, and it can grow horizontally and vertically. It is built for growth. Their technical support is also quite good and available throughout the year."
"The product's initial setup phase is not difficult."
"The solution's most valuable features are integration and flexibility."
"The solution is very developed and we are not taking full advantage of its functionalities."
"We found the setup process to be okay since they do offer a troubleshooting guide."
"When you use it for the right use cases (e.g., a loan origination process for a bank, claims processing for an insurance company, or a healthcare provider accepting a claim and settling it), processes which typically range from hours to weeks, then when you apply BPM, you bring the processes down by an order of magnitude to minutes to hours, respectively."
"We have used a lot of out-of-the-box reporting on the process performance metrics. We have been able to make suggested changes to staff for this role or streamlining by eliminate some activities where people were not requiring a lot of work in the first place."
"It has brought huge benefits to our organization."
"Our clients were previously using Excel sheets for processes, and it has changed their whole life as now the processes are all automated."
"We started four years ago with one or two process apps, but now we've got close to 40, so that's a lot of incremental development in the last three years."
"While the installation of the solution itself was straightforward, the customization wasn't straightforward for us."
"This solution has streamlined our operation and improved the TAT of sales, operations, and underwriters."
"The process creation."

Cons

"The dashboards do have some room for improvement as compared to the other vendors which are there in the market."
"For user experience, they would have to do more with the interface. It is not easy to work with and is a little messy. It is getting better, but it is not yet good enough. Other products are comparatively doing better in terms of the user interface. I have been hearing about Box, which is very easy to use and learn for the users. OnBase has to work on this aspect. It should have BPM capabilities. We compete with tools that provide the BPM feature and support those standards. They can do better in terms of the pricing model. It is a really expensive tool in Latin America. They should have different prices for different regions."
"The migration is a bit difficult in the tool."
"We found the size of images to be a restriction, though this may have been due to the API used rather than the Hyland application."
"An area for improvement would be the training - getting our people up to speed on how to use it required more training than we expected due to the complexity of the solution."
"Hyland OnBase could be improved in terms of service support response time."
"I find OnBase's monolithic architecture to be expensive, and adopting microservices could be beneficial."
"As an ECM solution, there are a lot of improvements needed. For example, the web client should address the next generation of web technologies such as HTML5 and stylish layout."
"This is technology, and there's always room for improvement. It would be better to have a single solution. Trying to have an overview in terms of this solution brings together the concepts of BPM processes, customer journeys, and an automation part for KPIs. All of this working together and coming up with a single solution with privacy is more commercial than anything else."
"The constant switch between Eclipse and its web versions can be annoying and confusing."
"They don't have a mechanism to achieve processes, data sources, and data."
"Except for the Lucene the index - we had a couple of issues in the Process Portal where the Lucene index went out of sync, and we had to work at least 15 - 20 hours to have it back in sync with the database."
"One area for improvement is the scripting languages used within the solution. They could integrate other languages such as GoMango or Python than JavaScript."
"From the testing perspective and minor enhancements perspective, customization is something that is a little tedious as compared to new tools. In addition, various open-source tools that are available are not working with IBM BPM."
"From the testing perspective and minor enhancements perspective, customization is something that is a little tedious as compared to new tools."
"We need to make changes quickly, and sometimes the IBM team is very slow with the product evolution or changes to the tool."

Pricing and Cost Advice

"The solution costs around $6,000 per month."
"OnBase is reasonably priced."
"They can do better in terms of the pricing model. It is a really expensive tool in Latin America. They should have different prices for different regions."
"The tool's price is high."
"There are a number of different types of licenses. There are concurrent licenses, individual licenses and imaging licenses."
"Licensing is managed by the client, but we know it is yearly. Camunda is relatively cheaper. There is not much difference in pricing of IBM and PEGA. For large licensing, there are discounts as well."
"IBM BPM cannot be considered a cheaply priced product. IBM BPM is a really expensive product compared to other companies. One needs to opt for the perpetual licensing model offered by IBM."
"It may be cheaper for organizations to pay for the Viewer licenses that are immediately up and running in the cloud, rather than paying for someone to administer publishing to an intranet."
"We have definitely seen ROI. When we first kicked it off, we said it had to pay for itself within three years, and it did."
"The solution is highly-priced."
"I think it's a reasonably priced tool, but it's important to consider which customers should buy this solution. It's designed for enterprise customers, not small ones."
"I rate the tool's pricing a seven out of ten."
"We have a yearly licensing model. It is not expensive. There are no addition costs to the standard license."
