What is our primary use case?
Passportal is designed to manage and securely store passwords in the cloud using encrypted storage, addressing the vulnerabilities of storing passwords on local devices. Local storage risks exposure if the device is compromised or becomes inaccessible.
Passportal offers secure cloud storage for passwords and enables safe sharing through encrypted links that expire after a set time. It also incorporates two-factor authentication for added security.
In addition to password management, Passportal helps track and manage assets. Users can store detailed information about infrastructure, such as routers, including model numbers, operating systems, expiration dates, and licensing. It allows linking assets, like associating a domain with a web server, and can detect domain expirations and license renewals, sending timely notifications.
By accessing an asset in Passportal, users can view comprehensive details, including licensing, domains, SSL certificates, and related knowledge articles. It provides a centralized location for managing credentials, devices, software, and applications.
What is most valuable?
Passportal offers the capability to automatically rotate passwords, allowing users to set customizable policies for expiration dates and password strength. You can define requirements for the number of letters, symbols, numbers, and case sensitivity, and the system will generate passwords accordingly. Policies can be updated as needed to maintain security.
As a comprehensive password and information management solution, Passportal supports the addition of assets, licensing details, SSL certificates, domains, articles, and documents. When referring to adding assets, this means documenting relevant information, not monitoring them.
For example, when we onboard a new engineer responsible for managing clients, we create a user profile for them in Passportal and grant access to the pertinent client information. This centralized access ensures they have all necessary details in one place, streamlining their workflow.
What needs improvement?
Passportal is a multitenant solution designed primarily for MSPs but is also suitable for end users. Through its dashboard, you can create multiple clients and sites under each client, and provide clients with access to their own portals. As an MSP, you can manage client passwords securely while allowing clients to manage their own passwords as needed.
However, I would like to see an enhancement that allows clients to access both credential management and documentation management. Currently, clients only have access to manage credentials, and expanding this functionality would provide a more comprehensive solution.

I've been working with it for about a year and a half.
What do I think about the stability of the solution?
It is a stable product. We didn't face any technical issues or outages.
What do I think about the scalability of the solution?
Passportal is very scalable and flexible in terms of data size and the number of clients you can manage. As an MSP, I can add as many clients as I want and create multiple sites and users for each client. Client users are not chargeable, which adds value for our clients.
It's a flexible and scalable platform, and we haven't faced any scalability issues since we started using it. It's also very stable; we haven't experienced any technical issues or outages.

The customer service and support are good. It is amazing. They have a good team.

How was the initial setup?
From a technical standpoint, I haven’t encountered any issues during the year and a half I’ve been using Passportal. Being a SaaS solution, it requires no installation—just a username and password to access the Passportal dashboard and begin managing your passwords, clients, and documents.
Passportal provides browser extensions for Microsoft Edge, Google Chrome, and Firefox, enabling users to save passwords directly from the browser to the Passportal dashboard.
It also integrates seamlessly with Active Directory, requiring a simple agent installation. Once integrated, users can manage Active Directory accounts through Passportal. The installation process for both the extensions and Active Directory integration is straightforward, and we’ve experienced no problems.
While Passportal integrates with both Active Directory and Microsoft Azure, there’s room for improvement. The Active Directory integration is fully two-way, meaning changes in Passportal are mirrored in Active Directory and vice versa, enhancing security by allowing you to monitor changes. However, the Azure Active Directory integration is currently one-way: changes in Azure AD are reflected in Passportal, but changes made in Passportal are not reflected in Azure AD. I would like to see this limitation addressed in future updates.
What was our ROI?
Passportal offers substantial time, cost, and effort savings by centralizing the management of all assets, both for your organization and your clients. Before implementing N-able Passportal, managing sensitive client information, such as infrastructure details and passwords, was challenging. Now, we benefit from a single, secure, and encrypted location accessible through one dashboard.
We no longer need to sift through multiple documents to find critical information. Passportal links all related data—assets, passwords, licensing, domains, and more—so that everything associated with an asset is available with a single click. This includes articles, passwords, licenses, domains, certificates, and additional details. It provides peace of mind, knowing that our information is secure and access is tightly controlled.
What's my experience with pricing, setup cost, and licensing?
For its value, Passportal's price is affordable.
What other advice do I have?
For managing credentials and documents, Passportal provides a comprehensive solution that meets all our needs. I would rate it a ten out of ten. It also offers mobile access for both Android and iOS devices, allowing quick access to credentials on the go.
Passportal includes several valuable features. When presenting the product to clients, they often need to import extensive information, such as user accounts, documentation, and infrastructure details. Passportal facilitates this with import templates, enabling bulk import of credentials and related data with just a single click, which is highly efficient.
Additionally, Passportal supports customizable workflows for alerts and notifications. Users can set up notifications for expiring licenses, password changes, password sharing, and other important events. The platform also provides detailed reporting on assets, credentials, licensing, and more. A crucial feature is its deep audit capability, which tracks all changes and actions taken by users on the portal, ensuring transparency and security when handling sensitive data.
