Team collaboration has improved through shared access and real-time synchronization
I find the synchronization feature most valuable in Box. When I use multiple devices, it syncs them together and gives excellent results. I can assess the benefits of Box's file sharing. Box's integration with third-party apps is valuable, especially with Outlook. Box has helped my team's productivity by being very helpful with team collaboration when we are sharing certain shared documents between us. I mostly value Box's automation capabilities. They have helped optimize my business processes by saving time for sharing or sending files between the team. This gives us a shared workspace to work together on the same document or the same ideas. Box's security features have helped my organization meet compliance needs.

User finds integration useful but seeks improvement in interface intuitiveness
I am satisfied with OpenText Documentum so far; it has great integration capabilities. The connection with our API and SAP is useful, as you can use their SAP interface. The key point that my company decided to go with OpenText Documentum is mostly because you can integrate it with many other tools such as Salesforce.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"The sharing feature, with its various permission settings, such as viewing or uploading, is convenient and helpful."
"The system's performance is impressive, and file sharing is notably straightforward."
"Box is very realistic when it comes to sharing capabilities."
"Box had a very easy-to-use search feature and a good user interface on its website, which was faster and better than SharePoint."
"The solution is used for data storage and any kind of visualization."
"We've never had a penetration. We've never had a security issue that their support didn't solve. We love their audit trail. We can know exactly when a collaborator opens. We love how you can define a collaborator."
"Governance and ease of use are why I think a lot of people like Box, including ourselves. Basically, we're concerned about what information is being sent to Box, so we use a lot of the Box governance features to make sure that what is being sent to Box is appropriate. If it is not appropriate, it is not allowed to be sent. It is also pretty easy to use. It is the easiest to use for customers and for technologists."
"Box is extremely stable, they have not been hacked or lost any data in the past seventeen years. I am very impressed with it."
"The most valuable feature is that it's a central repository for everything, whether it's videos, documents, Excel sheets, etc."
"It has reduced the amount of paper documents; reducing time and errors in the process."
"The stability is very good."
"The most impactful thing is the size, which is almost 25 TB."
"I appreciate Documentum's scalability, allowing for vast volumes of content storage."
"The most valuable feature is the management."
"The most valuable feature is the good automation engine, which helps in reducing the development cost and allows easy development of applications."
"It stands out for its impressive records management capabilities and the ability to handle an extensive volume of documents, even reaching into the billions."

Cons

"The UI should be faster. Sometimes it lags when switching between documents."
"Improvements in speed - Box's high level of security impacts performance, especially when compared with other similar services."
"One thing that Box would benefit from is a records management component."
"Tasks and comments could be easier to see, report, search, and manage."
"It could be cheaper."
"I don't like the low level of role-based security it provides – it's very cumbersome, and the support is ordinary at times."
"I recommend doing the trial first, because it's not cheap ware. It's not overly expensive, but it's not cheap ware, and enterprise has a minimum number of users."
"I find their API to be quite complex and it could be more straightforward."
"The BPM side should be improved."
"OpenText Documentum's user interface could be improved a little bit."
"The documentation often leaves customers feeling somewhat frustrated, as OpenText seems to expect customers to remind them constantly about the need for better documentation, as they don't provide clear guidance on their documentation practices."
"The licensing model should be changed."
"The BPM side should be improved."
"One area for improvement in OpenText Documentum is its handling of outdated documents, especially technical ones."
"Sometimes DocBroker cannot see the DocBase."
"They should develop something so that bugs don't happen in our project. We make changes manually and some bugs happen."

Pricing and Cost Advice

"Box's pricing is excellent."
"Box needs to improve with their pricing in terms of licensing costs."
"I'm in Higher Ed, so we purchase through Internet2-Net+. I absolutely recommend going that route for Higher Ed customers."
"It is expensive per head, as you need the enterprise license to get full security and tools. So negotiate a discount!"
