Collaborative tools have improved team communication and file organization across projects
Before I was in a Microsoft environment, which had its own software that was not website-based. When I moved to Google Workspace, it was not seamless because I have to access it through a web view in the browser. Most of it does not have stable connection because it is based on web view. It would be great if Google Workspace had its own application built into the PC or a desktop application. The operation is a bit different from Microsoft, which makes it difficult for me. For example, with Microsoft, we could easily access the shared mailbox with one URL and have access to it. With Google Workspace, we have to set it up by ourselves inside our own mailbox, which is a bit difficult because of how it operates differently. I think it can be improved more. Currently, guidelines are just in the form of a document that we can read by ourselves. It would be really helpful if the guidelines themselves were built into the environment itself. Since Google Workspace is in web view, maybe that would be possible. That would be more helpful than just reading a document.

I'm not a network expert, however, there must be some room for improvement. Perhaps there could be a notification to users about their bandwidth or network packet loss. If users receive such notifications, they can understand any disruptions are due to issues with their network or bandwidth rather than the site or Kiteworks. Additionally, I work from offshore India, and I told my client manager to communicate with the Kiteworks forum salesman regarding one feature. I noticed the Kiteworks login UI is very basic, lacking customization. Allowing more HTML tags to add hyperlinks or user-friendly information on the home page would be very useful.

Quotes from Members

We asked business professionals to review the solutions they use. Here are some excerpts of what they said:

Pros

"From information security, that is, confidentiality, integrity, and availability (CIA) as well as stability and reliability point of view, G Suite is the product to go for."
"It has saved us money."
"I like the capabilities for collaboration on any platform; for example, I might be on an iPad whereas the person next to me is on a laptop and the person next to them is on their phone, and we can all collaborate together and update documentation in real-time."
"Ability to co-edit and collaborate on content."
"All the Microsoft Office features are available in Google Workspace."
"Google Mail lets you link a task to a specific email and add a reminder. That's helpful for reviewing your schedule. It's based on Slack, so you don't have these folders like in Microsoft mail. Using Slack instead of folders is a bit more intuitive. It's easier to find again a specific email than using Microsoft Suite. If you misplace things, it's much easier to find them because of Google's search capability."
"The most valuable part of G Suite is the integration among all of the components."
"I like G Suite, it's more open than Microsoft and easy to use."
"The benefits that Kiteworks has provided to its customers in terms of data sovereignty."
"The most useful feature of this solution is to share files with external parties and we can use this functionality to share files internally too."
"The best part of this solution is that we can generate multiple reports about how the data is transferred and about user information or IP."
"The most valuable feature is the ability to allow end-users to manage their own information and data with minimal administration. That's the best feature from my perspective."
"I like Kiteworks or Accellion because it's continuously upgraded. I also know that it probably works with a lot of clients."
"We could see whether the customer with whom we shared a file had downloaded it, which was not available with GitHub."
"As a file-sharing application, it's an absolute 10 out of 10."
"The most valuable aspect of Kiteworks is undoubtedly the private content network. This feature is particularly beneficial for us. Furthermore, it serves as a centralized platform that enables us to track and manage our information exchange."

Cons

"With Microsoft, you can use it on the web version, and you can use Microsoft Outlook. Google has the web version."
"I found that there is no desktop application for this solution, and that's a major fault of this application."
"Google Meet is a very good product, but it's not up to the mark if you compare it against other products like Zoom or Microsoft Teams."
"I would rate the stability a five out of ten."
"When I compare with Office 365, G Suite has fewer features."
"I have had issues with my Google Address Book. I have an address book and it is available to everyone, but I cannot add additional users. In Microsoft Outlook, I could easily share certain contacts with other members of my team, but I cannot do so on G Suite."
"The stability could be improved, such as the issue of Google meetings being disparate from those on Zoom platforms."
"G-Suite is excellent for what we're trying to do, but it could use some extra features. For example, it would be helpful if we had a seamless way to convert Excel macros to Google Sheets."
"There is no offboarding process for end-users in Kiteworks. It's a manual process. There is no automated syncing with LDAP and checking to see if the account is still active. It's a manual process to get people out of here, which isn't the best way."
"In my experience, their technical support can be a little slow."
"We mainly had stability issues with kiteworks, where we were pushing the limits of its capability."
"Kiteworks could benefit from enhancing the proposal knowledge base section, specifically regarding the type of work involved. Currently, the knowledge base seems insufficiently dedicated to this topic, making it challenging for new users to access the relevant administrative law. Improving the visual aids and providing clearer explanations could alleviate this issue."
"There is one particular thing that is a nuisance."
"We have experienced a few hiccups and bugs when using the admin console and from a user perspective."
"The one feature, which I have also requested directly to Kiteworks, is to have a scheduled upgrade function. Currently, one of my engineers logs in after hours for the upgrade. We're a hospital, and we're 24/7, but the primary users are seven to five. So, we log in the early evening just to push a button to tell it to do the update. It would be nice if that could be very easily scheduled."
"We have experienced some issues with stability due to bugs."

Pricing and Cost Advice

"Pricing is something concerning. We find the solution very expensive."
"We receive value for the price that we pay."
"Traffic management tools may be required for larger setups and should be included in any pricing calculations."
"I give the pricing an eight out of ten, with ten being the most affordable."
"The main challenge regarding startups with identity services is you could be on a platform that works well but the services are expensive. For example, Microsoft Azure costs approximately $30 per user which is expensive. You end up choosing a different platform, such as G Suite Enterprise because it is priced reasonably and is less expensive than other solutions."
"The pricing of Google Workspace, so far, has been reasonable."
"It's cheaper to run a couple of users in a Google platform than what it would be with Microsoft Exchange."
"The price of G Suite Enterprise is reasonable compared to HotSpot. I'm not going to say G Suite Enterprise is affordable. It's valuable, you find value in paying your gas bill or your electricity bill, because of what it allows you to do."
"The license management is changing and confusing. If I could make one change to it, it would be better license management through the API."
"The price of Kiteworks is reasonable."
"The solution is very expensive because we are buying with Malaysian Ringgit and it's sold in US dollars."
"They changed it midstream. We were being charged a certain flat rate for SFTP traffic. For whatever reason, at the beginning of the year, our pricing changed, and we are now being charged more for using a feature of the product than we were when we first bought it. That has been our experience with billing. It turned out to be more expensive than when we started with it."
"It is not really expensive. I mean, to me it's obviously expensive, but it's worth it."
"I believe it's a little costly, but given the faith that we put into it from a security perspective to maintain the integrity of our patient information that is being transferred through this system, that's a small price to pay. So, on the surface, it might look like a lot of money, but depending on the need for security, which is where we feel it shines, it's okay price-wise."
