What is our primary use case?

There are multiple use cases. For example, we have automated shipping process for the operations department, including shipping repairs, production line assembly, and line automation using attended robots. 

Using unattended bots, we have done Engineering, finance, accounts receivable, invoicing, invoice validations, and reconciliations. For sales, we have automated order management and order inquiries. We also have proactive monitoring bots for IT. So daily IT jobs are monitored, and the robot automatically takes action by triggering tickets in ServiceNow

How has it helped my organization?

Every human-dependent task has been automated and is now entirely done by a robot. Still, the people who formerly did the job are part of the process. They check if the robot is doing it right or wrong. And then, we keep on retraining the robot for any new exceptions that come up, so we are fully equipped to handle new scenarios. So this has fostered a culture change within the organization where people are coming up with ways to automate what they were spending several hours a day doing. Once these tasks are automated, they can focus more on the company's strategic initiatives. And that's a win-win for the company as well as the employees.

With UiPath in place, we are moving away from training people on the core applications, which are pretty complex. We've built a headless frontend (Touchless ERP), so it's really easy for anybody to join our company and be productive. A robot handles shipping, repair, and the assembly line instead of a human. Plus, these processes are executed with high accuraccy, removing human error from the equation. That's how we are mitigating a lot of our human-related problems.

Furthermore, the culture that we've built has helped in terms of the principle of retire, recruit or resign. So when someone quits, retires, or we need to recruit, we first determine if we can automate their job functions. The RPA governance team tries to digitize the person's tasks as well as their knowledge and experience in the organization.

What is most valuable?

The attended bots have helped a lot, and we have a leveraged concept of touch-less ERP. We can build a UI or a headless frontend, like a popup, that interacts with a human, and then the robot carries out its function. So the person doesn't need to be trained on any core applications like Oracle ERP or customer applications, which would entail additional screening responsibilities and the normal human tendency to make mistakes. 

So we have built a headless frontend that is technology agnostic. And it interacts with the end-user in a user-friendly, straightforward fashion. So it's only four or five steps, whereas it was formerly 30 or 40 steps. And that's how this way of implementing RPA has helped the customer heavily. 

What needs improvement?

Process mining is something that we are doing, but I think it needs to be more mature. UiPath is still new to process mining. They are decent in SAP ERP when it comes to process mining. But compared to Oracle's E-Business Suite and all, they are still pretty new. And they need to come up with some model templates for how to adopt process mining within your organization. For example, they could use some accelerators to help onboard customers. Right now, it's not that easy. So process mining is something that they need to improve on for Oracle ERP.

UiPath has an excellent strategic roadmap when it comes to features. So if it's not already in the works, one thing they could add is AI fabric, and if UiPath could bundle it into the primary licensing with Orchestrator, that would be great. Concerning artificial intelligence and NLP machine learning, we are getting rid of the requirement where a chatbot can integrate and synchronously interact with the robot in real-time.

The ability to listen to and reply things in real-time would be good to have. They are already doing it, but the ease of implementation and options to integrates needs to be flexible, and the license should be bundled into their current offering so that it's more cost-effective.

Another thing is UiPath's OCR we hope it has the same quality as FlexiCapture, a separate solution by ABBYY. That would be awesome if the UiPath had native OCR functions that were the same level of maturity as FlexiCapture.

For how long have I used the solution?

I've been using UiPath for three years now.

What do I think about the stability of the solution?

UiPath Cloud Orchestrator and on premise bots has 100% stability in last 3 years we have faced zero Product related issues. the Platform is rock solid stable robust also upgrades have been very easy to do with zero impact on existing running processes. 

We have around 34 RPA Processes built using UiPath have a very good execution success rate of 94-96% , rest 4-6% failures/exceptions are only due to data or network issues.  

What do I think about the scalability of the solution?

Scalability is great with UiPath. We have a distributed load for robots, so the long-running ones run on a different unattended bot while the fast-running and business-critical bots run on a dedicated VM. So that's how we have distributed the scalability. But if you want to add a new bot, it should take less than 30 minutes to host or create a new machine. And then, the deployment or deployment of the package or the code takes less than 30 seconds. So It's hardly 30 minutes. 

So about 20 attended bots are deployed. Some of them are in two or three shifts. In total, around 40 people are using attended bots, and there are only two unattended bots. So UiPath is running more than 30 processes for 30 different people. We also have around eight business analysts spread out across various departments who use this too. So you're talking about 50 plus people at least connected right now. And these are purely business analysts or  staff on the shop floor, like operators and repair technicians. But the processes that we have developed are helping around 60-plus business users that we use to do something.

So technically, with the deployment that we have done — around 24 robots—the utilization for the unattended robots is approximately 52 percent. So technically, what we have is sufficient for the next year, at least. We can develop more processes with the existing licenses that we hold. So definitely expansion-wise, we'll expand more on the process side.

How are customer service and support?

UiPath technical support is excellent. They have a good knowledge base, and the support team resolves issues fast. Once you create a ticket on cloud technical support, it's pretty easy. You get an email, start communicating, and then it is solved in a day or so.   

The UiPath licensing and product teams have been beneficial. They gave us an option of a free trial where you can download it free and use it for 60 or 90 days. And that trial is extendable. So we got six months of free usage for UiPath Enterprise Edition. And that's how we were able to do things confidently. We could implement things to show to businesses and get funding. UiPath has been flexible when it comes to licensing costs, including free trials. Their e-Team comes in, helps you deploy, implement stuff, and solve technical challenges you have on the ground. 

Which solution did I use previously and why did I switch?

We hadn't used any automation solutions before. It was always a human. 

How was the initial setup?

Out of all the automation solutions we tried, UiPath was the easiest to install and configure. Within less than 20 minutes, you can set up a machine with the robot and make it functional. For the initial setup, if the Windows machine is ready, you only need to install and set up the robot.

UiPath also has the simplest deployment versus all the other vendors. Deployment takes less than 30 seconds. It's just a click of the button from Orchestrator, where the packages are available to download for the robot. In addition, there is an auto-download feature that automatically installs the packages remotely on several machines.

So the implementation strategy includes unattended bots in data centers, which run on their own. They are in a secure facility and are very hardened machines. They only communicate certain out-call to Orchestrator in the cloud. There are also attended bots sitting all over the warehouses and people using them on their own laptops. So implementation strategy for the attended bots isn't complex because they are overseen by daily users on their laptops and desktops. So it's deployed on those machines. Additional security and hardening will be required on the unattended bots installed on the data center level.

For implementation, we used some outside consultants to set up the governance framework for RPAs and the discovery mechanism. They also helped us identify hotspots, determine ROI, establish the recovery cost in months, and do value realization.

So after going live, they helped us look at things like cost and time savings as well as the actual recovery costs incurred in the process. They also helped evaluate the solution in terms of automatability index, productivity, efficiency, and quality. So, we analyzed all of these factors, which helped to prioritize the processes selected. We did all of this first and then converted everything into a factory model. What we call the digital factory team is responsible for development. And then, the governance and architecture teams orchestrate the development by going out there and doing task mining and process mining. For maintenance, we have five or six people for 32 processes.

What about the implementation team?

Level of expertise with SI which is LTI is excellent

What was our ROI?

We have an Novigo automation framework that helps us to calculate ROI from UiPath. It calculates ROI based on the time a human would take to perform the task manually versus the time needed for a bot to do it. Then the hours are converted into dollars. Finally, we can get the cost per transaction per hour per dollar spent per record. That helps you calculate an accurate ROI when identifying RPA case, and we can see the value realized every month. We calculate the amount of records and hours saved through automation and convert that into a dollar amount per process. That's how we have been able to do a very accurate value realization based on the number of transactions processed by the robot.

What's my experience with pricing, setup cost, and licensing?

The license is around $40,000 yearly. Technically, that's the lease price. But UiPath told us to go through our distributor, and by doing so, we've saved at least 50 percent of the costs. So it's now around $24,000. That is pretty cheap compared to Blue Prism or any other vendor out there that offers a combination of the same features. 

You do need to purchase an additional license to get Insight licenses. We were the beta testers of UiPath's Insight application, which is purely on the analytics side. A lighter version of insights should be embedded into Orchestrator itself inside the standard offering of the UI without the extra license costs. So that way, we could track the number of processes, exceptions, success rate, and calculations in a single platform without buying any additional licenses. 

Which other solutions did I evaluate?

Automation Anywhere, Blue Prism, WinAutomation, and UiPath were four we considered. We used Novigo Automation Framework Reports to test and evaluate each solution to see which one best suits our requirements. That's how we chose UiPath over the rest. It included deep-dive reports from Gartner, Forrester, Nelson Hall, and many other third-party analysts. These reports featured a highly detailed heat map as well as information about the cost-effectiveness of the deployment model, the development roadmap, and the maturity of the product.  So that helped us to easily compare UiPath to the others.

What other advice do I have?

I rate UiPath nine out of 10 because it's easy to develop, manage, and maintain. That's what sets it apart from Automation Anywhere, Blue Prism, or Power Automate. It's a simple drag-and-drop interface, which allows for low code automation development. And that makes it pretty much different from other options that we have. For example, developing basic automation can take few hours in UiPath versus a few days in Automation Anywhere. Implementation-wise, this is a pretty easy model when it comes to having a cloud orchestrator versus on-premise. Going on the cloud has reduced the burden of needing dedicated administrators to manage and maintain the platform. Minimal administration is required to manage and maintain Orchestrator in the cloud.

So that's the fastest way to onboard UiPath. But there is a lot of groundwork on the governance piece. So before even investing in UiPath or any other RPA platform, you need a solid governance framework and a foundation that will help you do the correct automation at the right time. Versus just doing anything using the tool. The tool is designed to do all types of automation but they need to be beneficial for the organization with good ROI and value realization.

What is our primary use case?

The solution is primarily used in a few pilot projects. I don't have too much production experience just yet.

What is most valuable?

I like how they handle process work. It's amazing. It's very customizable, and you can visualize different items. 

It's very useful in turning raw data into actionable information.

I was surprised at how many possibilities the solution had in terms of removing bottlenecks from various processes. It can help you with a lot of things. 

The solution integrates well with other features. You can create simple RPA bots based on your process filing or task filing.

It's very comfortable to work with in terms of dealing with big data. You can easily visualize it by building charts, graphs, or tables. You can add fields for your data and feed into it. The product makes it easy to quickly modify, transform, and visualize your data. 

The solution can possibly help free up employee time. You can easily decide which processes can be simplified and create a bot to handle the work. It helps create automation opportunities. It can free employees from repetitive work. They can then do something more intellectual and valuable. 

What needs improvement?

Process planning to utilize for streamlining processes is difficult.

The solution has its own language to process the data, so it can be difficult for people to start using it quickly. It can be difficult to handle the first project until you understand the product a bit better. 

Data manipulation could be improved. It can be very hard to manipulate or work with data sometimes, especially at first, when you are not familiar with the solution. It can be hard to learn the solution. 

UiPath could provide more AI and machine learning tools to analyze processes. 

They could also improve the UI experience. For example, how graphs and charts look and how they can be placed in the dashboard. 

For how long have I used the solution?

I've used the solution for almost a year. 

What do I think about the stability of the solution?

The product is pretty stable. I'd rate stability seven out of ten. 

What do I think about the scalability of the solution?

The solution is scalable. I'd rate the scalability seven out of ten. I'd rate it higher, however, there are some limitations to scaling projects and uploading data. 

How are customer service and support?

I've never used technical support services.

I did not previously use a different tool.

How was the initial setup?

I was a part of the initial implementation. The setup was straightforward.

Maintenance depends on the model of delivery. It can be done without involving developers, or it can be done with support.

What's my experience with pricing, setup cost, and licensing?

I don't directly deal with pricing. 

What other advice do I have?

I'm not sure of the overall transparency offered by process planning in our end-to-end processes and I don't have much experience with the solution. 

The time to value depends on the process and the people who work with it. If you can understand the process, and pick things up quickly, or have a good analyst to analyze the process, the time to value is quick.

Automation is cost-effective. When you compare numbers before and after, you'll be able to see the difference automation can make. 

I'd rate the solution seven out of ten.

I'd advise users to learn the solution. UiPath has a great Academy for studying the solution. It's important to do some online courses and learn the ropes. Start a project and try it out in real life.

This solution can be used for all finance processes. It helps us identify inefficiencies and to see where automation can be useful in processing. I'm managing executive client coverage.

All of the features are very helpful. This is clearly a mature project product. When it comes to process mining, it has a very strong suite with all the features in terms of being able to read data from various systems and have them analyzed according to certain parameters.

What needs improvement?

I'm not involved in finance but I know this is an expensive solution. It would be helpful if licensing costs were reduced.

I've been using this solution for about two years. 

What do I think about the stability of the solution?

Once it's set up correctly, this is a stable solution.

The solution is scalable. We currently have several users but are likely to increase that in the future.

The initial setup is straightforward and took a couple of days. I worked with our SQL engineers and we were able to deploy in-house.

I am using UiPath Process Mining for receiving the financial ledger details from the system because of the end-to-end payment posting. UiPath Process Mining's posting on the account written solutions, we are only using the schedule for process mining.

What is our primary use case?

We use this solution to get deeper insights into the process and to see if there are any opportunities on how we can improve the processes. In most of the cases,  Process Mining would actually throw out analysis or insights which are already known to the users, but in some cases it would be more granular and backed with data. 

Those database-backed insights are very valuable for the business partners or the operations teams. It allows them to make decisions about how they can improve their process, like whether there's any process changes or technology changes required. Do they need to change the workflow systems or the technology assets which they currently use? Is there a better way they can perform the work or is there any scope of automation? Are there any compliance issues which wouldn't have been visible to a human eye just by viewing the process or the reporting?

For process mining, we understand some of the hypotheses they have, like what is that they want to understand? Are they looking to gain insights around how their teams are performing? I think you gain value about how the process is overall behaving. Is there any kind of rework or are they looking at automating or redesigning their own process?

This is a hybrid solution.

What is most valuable?

One of the reasons we have gone with UiPath is because it was a business decision and because our company subscribes to the UiPath automation suite, which includes RPA, etc. We thought it would be efficient to keep everything on the same platform. 

The cost was the other part of it because we compared it to Celonis. We are using UiPath mostly for strategic reasons. It was easy for us to get onboarded with Process Mining rather than setting up a whole new infrastructure for a different tool.

What needs improvement?

We faced issues with the data sharding process. UiPath has its own limitations in terms of the number of rules of data it can actually handle at a given point of time. As a tactical step, they provided the data sharding approach, but that was not the best. It kind of complicated the analysis rather than making it easy for people to analyze large data sets. So, the handling of large data sets is a major problem we want them to improve.

I think they can improve their overall feature set around the visualizations, which they can provide out-of-the-box. Some of these visualizations are not already there. 

Finally, it is about the ETL process. I think the ETL process could have been much simpler compared to what we do right now, which consumes a lot of time. If I talk about a typical project life cycle, I would spend about 30% of the time getting the data into the system, which is obviously not ideal compared to some of the other tools we have in the market.

Their ability to create out-of-box integrations and solve for the ETL problems could be an improvement, and their ability to help us scale and do parallel processing when handling large data sets. They could also improve their overall look and feel on how the analytics will show up on the tool. They just do the job, but when I'm showing an analysis to a very senior leader, I would obviously want that to look better than how it does now. I'm not sure what the product roadmap looks like right now, but I'm sure they would have something on the product roadmap. If these are not already a part of the product roadmap to improve the product, then I think they would be missing the bus.

For how long have I used the solution?

I have been using this solution for seven and a half years.

What do I think about the stability of the solution?

It's stable. We haven't seen any issues.

What do I think about the scalability of the solution?

We haven't seen any issues with scalability. The problem is with the handling of large data sets. If you're using smaller data sets, then I think it's good enough to manage parallel activities. But if I am working on a project with a large data set, that's where we would run into problems where the other projects would have to be stored or they cannot be run parallel. It's scalable, but they would need to solve for handling their data sets internally to allow parallel processing.

From a traditional process mining, they allow for everything a process mining or platform would need to give. But if we're talking about using this for other purposes like execution management, getting more automated data feeds, etc., I think that's where it would probably have a problem. When we're dealing with process mining, especially in a banking organization where we are dealing with millions of rows of data at a time, I think that's where we would probably want them to be able to scale or allow us to scale much faster on that.

I would rate the scalability 3 out of 5.

How are customer service and support?

We have a full subscription for technical support. We have on-demand support at all times.

What's my experience with pricing, setup cost, and licensing?

It's reasonable. It provides you with all the basic features that somebody would expect. If those basic features are what you're looking for, I think UiPath is reasonably priced compared to some of the other tools.

Which other solutions did I evaluate?

We compared the solution to Celonis. Celonis provides you with more out-of-the-box functionalities and drag-and-drop features which are user-friendly, and it has a very powerful execution management system, but that is something we weren't looking at because we wanted to familiarize the audience with what Process Mining can do before we moved to execution.

What other advice do I have?

I would rate this solution 5 out of 10.

It's good for doing traditional analysis, but if we have to do more, I think that's where they would lag behind their competitors.

A flexible and adaptable solution

What is our primary use case?

I am a project manager and have been working on projects for UiPath with some of their clients. I was using the most recent version with our internal developers. The project was managed using Azure DevOps.

The teams I worked with would average between four and seven team members. It requires a couple of developers, a BA, a project manager and a scrum master.

UiPath is used for a variety of purposes such as, invoicing, automating, scanning documents, data collection, and data driven type of applications. There are more than one use case depending on what the client was trying to accomplish through automation. They were automating repetitive steps. We had commercial uses, government uses, financial services and investing uses. 

What is most valuable?

The features of UiPath that I find most valuable was working with Abbyy scanning. We created some unique ways to work around any document that couldn't be scanned. It was very flexible. Whatever bug that was produced during use test cases, user acceptance testing, was very flexible. We did not find anything that could not be fixed. There was always a workaround or a way to create another process that could be automated.

Flexibility and the adaptability are very good with UiPath.

UiPath is always upgrading and fixing their product.

What needs improvement?

For me, the only improvement needed is how to manage the actual project. This does not have anything to do with the solution itself, it's about managing customer's expectations.

UiPath could improve on how it works with the project management process and flow. 

I would like to see UiPath add an RPA that handles project management. I would  like to see the solution do as much as possible. There are so many turning wheels on a project that is complex.

For how long have I used the solution?

My company has been working with UiPath for about a year.

What do I think about the stability of the solution?

The solution itself is stable. The challenging part is the developers themselves. It's still a new industry. People are still learning and sometimes people miss things.

What do I think about the scalability of the solution?

There are no problems with the solution scaling.

How are customer service and support?

UiPath's technical support is very responsive. The customer service desk is really good. I was impressed with how fast and capable they were.

The initial setup depends on the project. The deployment goes from simple to complex. I have taken a few courses, so the setup is very easy.

We require a couple of people for deployment  and maintenance of the solution.

The product is affordable. It depends on if you are looking for some capabilities from time to time. 

What other advice do I have?

My advice to anyone looking to implement UiPath in their organization would be to really take a look at what processes do the organization have that are highly repetitive and manual and  provide value. 

This application is best for high value projects or high value initiatives. Automating something that doesn't matter is not worth it. Take a really hard look at the ROI of what you want to automate and see if it  makes sense, and focus on  the ones that generate the most ROI and value. 

UiPath will handle the rest and do a very good job.

I would rate UiPath a 10 out of 10. Where the industry is at right  now, there is plenty of growth. Everyone is trying to better, but where we are at right now, UiPath is at the top. Having seen UiPath work on projects, the flexibility that it allows developers to fix bugs among other things, makes it a 10.

A solution that works well with several smaller tools and helps its users automate important processes

What is our primary use case?

While we haven't extensively used the solution, our experience with the solution has been good, and we believe it has the potential to meet the needs of our other clients as well. Currently, we are utilizing UiPath Process Mining with several small solutions without facing any issues or hiccups.

One example of this is how we have automated the process of logging in to a website and checking the transaction status of our clients. Our firm specializes in chartered accountancy, which files tax returns and monitors the status of these filings for our clients. With the help of this solution, we ensure that our client's database is automatically synchronized with the login credentials for the respective websites. This allows for the automatic updating of the status of their income tax returns in Excel.

What needs improvement?

Since we haven't faced any hiccups or issues using the solution until now, I won't be able to provide any constructive feedback about the solution.

Regarding an area in the solution needing improvement, I want the interface to be better and easier. The solution's UI and UX could be made better.

For how long have I used the solution?

My company is a consulting firm, and we implement solutions for our customers. As a part of a business, we explored whether UiPath Process Mining would help any of our customers. So, even though we are not authorized partners, you can consider us in line with partners. Our organization has successfully implemented a solution to automate small manual processes for three or four clients. So, we haven't extensively used the solution. Also, we have been using the solution in our organization for the last two or three years.

What do I think about the stability of the solution?

I rate the solution a nine on a scale of one to ten, where one is not stable and ten is stable.

What do I think about the scalability of the solution?

I rate the solution an eight on a scale of one to ten, where one is not scalable and ten is scalable.

Those using the solution are SMEs, better known as small and medium enterprises.

Only one user is using the solution.

How are customer service and support?

In our organization, we did not need to reach out to the solution's technical support team. Basically, I don't have any experience with customer support.

How was the initial setup?

I rate the solution's initial setup a nine out of ten.

Since it was a very simple solution we gave our clients, the deployment process took less than a couple of days for us.

Two business analysts from my team were involved in the deployment process.

What is our primary use case?

We work with many SAP-based clients, ninety percent of the time. Any P2P process, or purchase payment process which takes or consumes a lot of time, you can put through UiPath Process Mining to understand where the bottlenecks are. Any of the applications will serve as a good use case to understand where the bottlenecks of the application are.

What is most valuable?

UiPath Process Mining platform works very well with process mining. Process mining connects to SAP, and other applications, giving you the output desired. You need other applications to support what you have found out.

What needs improvement?

I think they need to look at pricing. Since acquiring Process Gold it was stable on process mining. But now in the market, there are other process mining applications that are far cheaper. I think subsequent versions should focus on reducing the price.

I have been using UiPath Process Mining for the last year.

UiPath Process Mining is definitely stable.

Ui Path Process Mining is scalable, once you have Process Mining, you can tie it up, or stitch it with any applications that you have in your company.

They have always been supportive and given us the assistance we need.

If it has to be done at an enterprise level, I think it would be slightly complex. But with the trial and the learning part of it is very easy.

Which other solutions did I evaluate?

We are UiPath partners, so it was straight out of the box. We did not explore anything else. But we have consultants who have worked on Celonis. And most recently, we have consultants who are working with SAP Signavio, which is also a process mining tool.

What other advice do I have?

Explore and do not look only from a technical side, but also have sufficient functional consultants who know the application and the processes in and out, to support the deployment. Together, they can deliver the final output. Otherwise, if you are too dependent on just the technical people, I do not think process mining will succeed in the company. I would rate UiPath Process Mining an eight out of ten.

What is our primary use case?

I mainly use UiPath Process Mining for our internal financial processes, which need insights into the process workflows. UiPath Process Mining allows us to align our workflow to have a better result rate in terms of the APA processes.

How has it helped my organization?

There were a lot of gaps in our process, and UiPath Process Mining allowed us to find and fill those gaps, so now the process takes less time, and the customer outcome delivery has been improved.

What is most valuable?

UiPath Process Mining's most valuable feature is its integration with RPA's bots.

What needs improvement?

The configurations on the ERP platforms could be improved. In the next release, I would like UiPath Process Mining to include better integration with some of their other offerings, more ERP platforms, and more legacy systems.

UiPath Process Mining is pretty stable because it's highly resilient. We've seen little to no downtime in the past four-and-a-half years.

How was the initial setup?

The initial setup was quite straightforward because we used the SaaS offering, which integrated easily with our internal applications. Deployment took around a month. I would rate the setup experience as four out of five.

What about the implementation team?

We got direct help from the UiPath support team.

What was our ROI?

We haven't yet calculated our ROI, but our projections show we'll be able to reach out to 100-plus users, with savings of approximately more than $1 million over three years.

UiPath's licensing is based on how many documents we process using this solution.

Which other solutions did I evaluate?

We evaluated Celonis.

What other advice do I have?

I would advise anyone considering implementing UiPath Process Mining to go for the cloud version instead of the on-prem. On-prem requires a lot in terms of specification and management, and the cost will eventually rise. However, the SaaS model is cost-effective and very easy to maintain and manage because UiPath takes care of infrastructure and so on. I would rate UiPath Process Mining as nine out of ten.
