The use cases for UiPath depend on the specific requirements of each department within an organization. We typically meet with small groups of employees to identify potential automation opportunities within their departments. How has it helped my organization?

UiPath integrates seamlessly with our existing products. Leveraging its AI capabilities, we're identifying new use cases. Additionally, UiPath offers a "bring your own model" approach, allowing us to utilize machine learning models from other vendors if needed.

As a team of six developers, we rely heavily on the UiPath user community for answers to our questions.

UiPath helps us significantly reduce our on-premises footprint. It provides an automated touchless environment that we use in the administration and finance departments to automate a portion of our business processes.

We incorporate UiPath Academy courses into our developer training program to ensure they achieve specific certifications. For instance, all developers must obtain the professional UiPath certification. Each year, we prioritize which modules to target based on relevant use cases.

What is most valuable?

The biggest advantage of UiPath is its user-friendly environment. Unlike Azure and Blue Prism, UiPath offers a robust orchestration platform that allows central management of our entire RPA ecosystem from a single orchestrator. Additionally, UiPath excels in automating web applications.

UiPath provides a comprehensive suite of solutions for robotic process automation. Beyond the core UiPath Studio for building robots, they offer a range of AI-powered products such as communication mining, task mining, and the Automation Cloud. These solutions seamlessly integrate within a unified environment.

What needs improvement?

The pricing is high and has room for improvement.

I find UiPath's development environment to be challenging. Ideally, I'd prefer a more user-friendly approach like Blue Prism's, which utilizes a building block concept.

What is our primary use case?

The use cases are quite broad.  UiPath is used in customer contact centers, supply chain management, operations, etc. It is useful for the intelligent automation of task-oriented processes.

How has it helped my organization?

It's easy to sell clients on a cloud-based solution like UiPath because it's the easiest to maintain and run. Some of the customers have already adopted a cloud-first strategy, so it's crucial for them not to have to operate their own data center. Others need to have a data center for privacy reasons. 

The solution helps customers reduce costs by about 20 percent. UiPath doesn't require any expensive or complex application upgrades. It has reduced human error. UiPath has improved outcomes like SLAs and customer satisfaction scores while reducing wasted time. 

UiPath frees up employee time, but the exact amount varies from client to client. It depends on your scope and your use case. You can obviously save time. It depends on how you design the process or whether you're automating one process or 10. 

What is most valuable?

I appreciate the stability of the UI automation, the studio, and the development environment. I also like the platform's rich capabilities. Stability and performance are always essential when automating through the user interface. This is what they definitely bring to the table. 

Regarding the ease of building automations, I would rate UiPath nine out of 10. It's the best tool in the marketplace. It's easy to build automations, and the interface is easy to use. I like how it integrates with the Orchestrator and everything works together. There are so many different use cases that we can easily connect through APIs, databases, and user interfaces to automate all kinds of applications. 

UiPath's end-to-end automation is critical. It's the most efficient way to automate. You automate mundane tasks so that people can focus on everything that requires expert skills or knowledge. 

The solution's user community is amazing. There's a lot of knowledge and experience, and it's easy to access that information. It's a highly active community. The UiPath Academy also has some attractive content that gives you hands-on experience with the product. The courses are easy to follow.

Deploying UiPath is straightforward. It's fast. You can deploy UiPath in five minutes depending on what you need and how everything is configured up front. You need to get a platform account and set up the machines that will be part of the solution. You also need to set up users and assign them licenses. UiPath requires some maintenance based on the types of packages you're running. One person can do it. It isn't too complex. 

What's my experience with pricing, setup cost, and licensing?

UiPath is relatively expensive. However, it's the leading product because it has so many capabilities. 

What other advice do I have?

I rate UiPath 9 out of 10. When implementing, I recommend sketching out your costs over multiple use cases and comparing them to an alternative solution.

What is our primary use case?

We managed over 500 global tasks worldwide, leveraging UiPath to automate procurement, financial accounting, customer service processes, and customer relations.

We evaluate resumes through the RPA and ChatGPT four. We also arrange service for customers who need repairs to their devices through automation we developed using UiPath.

How has it helped my organization?

UiPath enables end-to-end automation. The end-to-end automation is important because it allows us to reduce our testing and reporting time from 28 hours down to 15.

UiPath has helped us shorten the time for our supply chain and revenue report generation. By using UiPath Document Understanding the OCR can read the PDF documents and automatically drop the file into the ERP system significantly reducing our time.

UiPath has streamlined our operations by digitizing our documentation and converting it to easily accessible PDF files. This has significantly reduced our physical footprint, eliminating the need for paper storage and manual document handling.

As a partner of UiPath in our region we are required to take all the Academy courses so we can better service our clients and share our use cases.

We have 1,000 clients around the world, each with unique invoice formatting preferences. Our AI system efficiently sorts these invoices based on their specific formats. By automating more processes through AI, we've significantly improved efficiency. For example, while standard OCR takes a minute to process a PDF invoice, our AI system does it in just two seconds.

UiPath has helped speed up our digital transformation. We have created a large data lake to help with analytics.

The initial deployment was complex. Many settings within the orchestrator need to be set before running a job. Once we implemented UiPath we had our user team keep an eye on it for one month to ensure it was stable, scheduling only attendee jobs before moving onto more complex automation.

In our region, we have a team of 15 to 25 people for the deployments and a smaller team of five in North America.

We use UiPath to build attended and unattended automated processes for public and private sector clients. I try to make the processes as slim as possible so that they aren't as dependent on external applications. We have an abundance of documentation, and the goal is to have very little overhead. 

How has it helped my organization?

All the businesses where we've deployed UiPath were pleased with the solution. They saw immediate benefits to the bottom line, and employees were no longer stuck doing repetitive stuff. Organizations typically start realizing the benefits in the first month.

UiPath has reduced human error. It also offers visibility that helps build rapport between contractors like me and my clients in the federal government or other process owners we're working with. The solution cuts the costs associated with digital transformation.

UiPath significantly frees up employee time. On average, I estimate it saves between 50 to 100 hours per automation annually. The amount of money saved offsets the cost of licensing because you're saving time and reducing headaches. 

What is most valuable?

I like UiPath's Orchestrator. It's the core piece.  Automations are relatively easy to build. There is a learning curve initially, but I would rate it seven out of 10 for ease of building automation. The end-to-end automation is critical. It helps us develop a strategy where everyone has their things automated, saving time throughout the organization. The UiPath community forums are a helpful resource where you can contribute and get answers.

Which solution did I use previously and why did I switch?

Previously, I used Power Automate mainly for its API integration and cloud workflows. I wasn't using it as an RPA solution. 

How was the initial setup?

Due to the ridiculous nature of the government and the premium associated with adopting newer things, we can only do attended bot deployment right now. That means we publish new packages, send them via email, and deploy them on their type of system. In any other RPA shop, we would publish to Orchestrator and manage the process from there. The deployment is straightforward once you know what you're doing, but we need to maintain some oversight on the beginners to ensure they publish the processes correctly.  

I would like to see a GitLab model. In a CI/CD pipeline, it runs a series of tests after every commit to ensure that everything's functioning. It doesn't require maintenance so long as the engine keeps running, but we review the processes annually to see if there are any pain points or if anything needs optimization. 

What was our ROI?

There's an ROI despite the high cost. We save time, and many of the processes are much more robust than they could be if they were performed manually. UiPath can process an Excel file with thousands of rows. Human employees can do that by themselves, but bots can do the job so much faster. 

What's my experience with pricing, setup cost, and licensing?

I think UiPath costs too much. They know they're top dogs, and that's fine, but I would never recommend them for anything other than a large enterprise or the federal government. There are development costs and unattended bot licenses are more expensive. UiPath has additional apps you can purchase that all have separate costs. 

The more you want to digitally transform your business, the more expensive it will be. With UiPath, that means the solution needs to use more of the product offerings, like IDP, the AI panel, and other stuff like that. But even with the minimal architecture, it will still cost at least a little bit.

What other advice do I have?

I rate UiPath eight out of 10.

What is our primary use case?

At Aeyon, we use UiPath to develop custom solutions for our clients that drive innovation and digital transformation within the public sector. We work closely with the US Marine Corps, Army, Navy, Coast Guard, NASA and several other Federal agencies. We have built 50+ automations for a wide range of use cases, but the ones we see most often include financial reconciliation, data extraction using AI/ML Models, data entry, data manipulation/consolidation, downloading/moving files in bulk, data validation, and interacting with various web applications.

The business objective that our organization is trying to achieve with its AI-powered automation initiative is to greatly reduce the time spent on repetitive/clerical tasks and allow the employees more time to focus on the important tasks that grow their business such as collaboration and innovation. Aeyon successfully helps our client achieve this objective by using UiPath to develop solutions that increase efficiency, reduce operating costs, and drive ROI.

How has it helped my organization?

Our AI-powered automation initiative has fundamentally changed what our organization is able to achieve. It has made a huge impact on the way we process documents for not only ourselves but our clients as well. It saved a lot of time and money.

We use AI Center for data extraction on structured and unstructured document types. The pre-built models are very versatile and efficient, and the ability to train custom models makes it a great solution for almost any use case. I feel that AI Center and UiPath Document Understanding were pretty easy to learn. It only took me about a week to learn. There are tons of helpful tutorials and other resources online. I like how it has the prebuilt models as well as the option to be able to go and train your own data, so I would give it a ten out of ten.

It has definitely increased the accuracy of our operations. It has reduced the risk of clerical errors. Document processing has allowed us to be able to compare data for that extra layer of making sure that everything is extracted correctly.

It has freed up a lot of time because instead of having to manually go through and find ways to track data or manually look at it, we are able to use different AI technologies to fit pretty much any use case. For most of our clients, it saves them an average of about 100 hours annually on the smaller processes, and then we have some larger ones where they are even saving about 15,000 hours annually, which is a lot of extra free time for them to focus on collaboration and those kinds of things.

What is most valuable?

A lot of the prebuilt models that are on an AI Center are valuable. Being able to go in there and train your data, give sample data, label the fields, and different OCR methods are also valuable.

What needs improvement?

The improvement is not necessarily in the product itself. The main difficulty we have usually has to do with pricing and identifying the best solution for each specific use case on a long-term scale. If there was an easier way to track the AI unit usage and determine which pricing plan would best fit the need for each use case, then that would be extremely valuable.

UiPath is very stable. I have not had any issues in terms of that. The only issue we used to have was if a website were to change or an application were to change, but we have found ways to work around that and deal with those types of situations.

Overall, it is very stable. There is low technical debt and monitoring. After a process has been deployed, for the most part, it is stable after testing and everything.

How are customer service and support?

Their support is great. There are so many resources available online. There is UiPath Academy, and there is the ability to chat with them 24/7. I have never had an issue getting in touch with their representative quickly when I needed help with something. I would rate them a ten out of ten.

Which solution did I use previously and why did I switch?

I started off using UiPath, and then I got a job a few years back where I used a software called Kofax. I was able to see a lot of similarities, but I still felt that it was very limited in its ability to integrate with third-party software. I remember several use cases where I thought that if this was UiPath, I would know how to do it. I noticed a lot of limitations with Kofax. It was a bit of a learning curve going from UiPath to Kofax, and then I realized that there were a lot of things that Kofax was not able to integrate with in terms of third-party software. Based on my experience with Kofax, I definitely feel that UiPath is superior.

I have used Microsoft Power Automate for a few processes. We use that for some of our smaller projects. We just started looking into that as an option as well for certain use cases. It is important to us that UiPath has orchestration whereas Microsoft Power Automate does not because orchestration gives you a way to run processes in the background rather than on your local machine. You can also do event triggering and time schedules. UiPath definitely gives a lot more options and freedom to be able to do things without having to manually run the process.

How was the initial setup?

I was involved in its initial setup. I pretty much came in when it was coming from the ground up. I have helped install it. I have helped customers set their licensing plans and install everything on their local machines so that they can run the automation and get set up with orchestration and all that.

Its initial setup was pretty straightforward. You need to have UiPath Studio installed. They now offer automation. They have UiPath Cloud. You just sign into that, and you have access to Orchestrator and all of those services just right off the web. It is pretty easy to set up.

Our implementation strategy includes getting on a Teams call with the client so that we are able to look at their screen and walk them step by step through various aspects, such as:

  • Where to save specific folders?
  • How to get signed in to the appropriate account?
  • How to access Orchestrator and the logs in there to see if there are any issues with the process?
  • How to monitor it?

We look at their screen and walk them through various things. We keep that communication line open if they ever have issues or questions in the future.

What about the implementation team?

We did not take any external help. Our company did it through our own team members.

What was our ROI?

We try to calculate ROI for all of our clients for projects that we deploy. We usually calculate it in terms of total cost savings annually and also in terms of how many hours of labor are being saved annually. It is cool to see those numbers continuing to grow.

What's my experience with pricing, setup cost, and licensing?

The licensing is very affordable, especially when you compare its benefits. However, I know that AI units are purchased separately and can be costly depending on the specific use case. We are still trying to figure out how to track our usage and which tier or plan to go with, but overall, it is affordable in comparison to other options.

Which other solutions did I evaluate?

I evaluated Automation Anywhere as well as Blue Prism. At my last company, we were trying to figure out between those two and UiPath. After comparing everything on a wider scale, we realized that UiPath was going to be the better solution for us.

What other advice do I have?

I would rate UiPath a ten out of ten.

Easy to implement, use and optimize redundant processes

What is our primary use case?

We're focusing heavily on document understanding processes. We use it to extract invoices, data tables from PDFs, budget, and PITBULL automation that's heavily focused on UI navigation and PDF manipulation. That's our main focus at the moment.

We've had a few calls with UiPath where they've shown demos on how they use the AI Center, but we've yet to find something that we can look in and see because we are a financial institution. We want to trust AI. We need to build our confidence in that before we actually implement it. It's at an experimental stage for us.

How has it helped my organization?

It started off as optimizing redundant processes to make sure that we enhance department abilities. We moved into the research sphere last year, where we focused on taking large datasets and throwing them up into data tables, and getting that data from PDFs or web pages. We started using data extraction and table extraction, and that's what drove our projects from that point. 

What is most valuable?

Document Understanding is a key feature for us. We find that really useful because the OCR technology, the RedJack extraction that it uses, is easy to implement with a very level structure involved, even for unstructured PDFs and structured PDFs. 

We mainly use Studio and Action Center. 

In some cases, we use Task Capture to build outflows.

We started off as pure RPA, focusing on building out a citizen developer program with low code person-by-person automation that users can trigger by themselves. That then evolved into unattended automation. We started looking into document understanding processes and trying to get involved with the AI Center as well. 

From the start of the citizen developer program, it went really successfully. We moved into the unattended sphere, and we're looking into big data.

What needs improvement?

The document understanding has room for improvement. The handwritten documents need to be optimized further on the OCR extraction, making sure that we extract accuracy above 80% because we do see a lot of failure rates when it comes to handwritten documents. There's a lot of room for improvement there.

UiPath has referred to the fact that they are still building upon OCR and document understanding. But with the use of Generative AI, we're hoping to see improvements. We're hoping that might be something that we start later on.

I have been using UiPath for four years. 

What do I think about the stability of the solution?

The stability of UiPath really depends on who builds the automation. 

However, the latest version releases, such as 2023.4.4, have been known to contain bugs. For example, we recently upgraded to 2023.4.4 and faced a lot of studio bugs, which forced us to downgrade to 2023.4.2. 

The upgrades on other orchestrators were fine, but there was a bit of a change to the UI that took some time to get used to.

Upon their version releases, there should be a bit more due diligence before they are pushed to customers because almost every time we're given the opportunity to upgrade, there are issues where we have to scale back, wait a while, and then upgrade again.

What do I think about the scalability of the solution?

Scalability depends on the team. It depends on your vision, but UiPath definitely opened the doors for making sure that the framework is in place and that they are aligned with our vision so that they can help us in terms of scaling the automation to the degree that we want. 

When we are looking to scale up the automation that we have, the customer support guys are very much on hand to give us the technical support that we require. UiPath's scalability is pretty enhanced. 

How are customer service and support?

When you buy the enterprise licenses at the tier that we're on, you're provided a technical or client manager, and we find that we can easily contact them. 

We have a weekly call with our team, and any support question is rerouted through them because their portal can be a bit slow at times. 

UiPath's endorsement of the community has helped drive the success of UiPath because no other RPA vendor really has the community of support that UiPath has. That's a big one for us.

UiPath does have a good community, but the support portal is probably something that they need to work on.

We use Power Automate as well. It is something that we try to marry with UiPath, especially when it comes to office app integration and things like that. Power Automate is simpler to use. 

We previously had some free Prism automation, and then we decided to switch over to UiPath simply due to the fact that the cost savings were a lot better.

Orchestrator was a selling point for us because our control room is something that we would be very interested in in terms of monitoring insights and transactional items. That's why we switched over to UiPath.

We've tried to take both tools and get the best out of both worlds. Anything that any of our automated processes involve Microsoft Teams, SharePoint, Outlook, or anything like that, we tend to use Power Automate simply because of the ease of use. 

How was the initial setup?

We're using the local installation. Everything is localized to our premises. We have a lot of strict protocols, being a financial institution, so, we don't really want to open ourselves up to any sort of cloud orchestration.  

What was our ROI?

We tried to utilize Automation Hub to predict our ROI. The reason that we're using automation is to assist teams rather than just kick the task away from them. It's just very robust. 

We haven't seen any major cost savings, but we're an early team at Cowen. Maybe later on down the line, we'll get some solid figures.  

What's my experience with pricing, setup cost, and licensing?

The pricing is a bit convoluted. We have an overallocation of licenses at the moment. Citizen developer licenses are something that we probably need to refine. 

They probably oversell it a bit to the point where we would propose that we may use x amount of licenses but in reality, we're probably only using a fraction of that.

There's room for improvement in how they sell their product.

What other advice do I have?

I would rate the solution a ten out of ten. Out of all the RPA vendors that I've had access to, UiPath is the easiest to use. It's the most in-depth when it comes to being able to have automation and it works in the way that you want it to work. Other vendors like Automation Anywhere, Blue Prism, or Power Automate have rigid models. Some of them are web-based, which we don't really like because we're a financial institution, so we like local installations. UiPath tops them all.  

For anyone looking to enter the world of automation, UiPath should be the first point to call. They have a much better idea of how to generate a productive automation team for companies.

What is our primary use case?

The use cases for UiPath are mostly based on SAP products, web applications, and APIs.

What is most valuable?

UiPath is a tool which is mostly used for process automation. It's not like a normal automation tool. We have different kinds of process automation tools in the market. UiPath provides the best integration between multiple applications. It has supportive technology for all kinds of applications. It supports all kinds of products like desktop products and web applications.

So, integration is the best feature of UiPath. UiPath provides attended and unattended robots to do automation. It provides a use case for scanning invoice processing. So, these are some of the useful features provided by UiPath.

What needs improvement?

UiPath is currently lacking a Citrix environment, mostly on remote desktop applications. The banking sector is more concerned about security. To open an application, we need to enter some token authorization. Such kinds of processes or technologies need to improve in UiPath.

I have been using UiPath for three to four years.

How are customer service and support?

When we face technical or product issues, we raise a ticket to UiPath support and get technical assistance from Uipath regarding the products and services.

The solution's initial deployment is easy, and it's not that difficult.

For the solution's on-prem initial deployment, we need the license and installation of the Orchestrator and the robotics machine.

Since it's a single-contribution project, I did the solution's development, deployment, and post-deployment support all by myself.

What was our ROI?

UiPath has helped streamline most standard processes, and it has also made the rule-based decision-making process stable. The solution helps us save a lot of time and manual effort. It has improved the accuracy and speed of processes like approving tasks, processing tickets, or the expenses of the employees. Most things that were very slow when done manually have become very fast nowadays with UiPath.

What's my experience with pricing, setup cost, and licensing?

Comparatively, UiPath's pricing is higher than other tools. Since it provides the best services compared to other tools, UiPath's pricing is reasonable. Nowadays, they also provide cloud robots that don't require any infrastructure in our organization.

What other advice do I have?

UiPath is a very easy-to-use and scriptless tool. Since it doesn't have any code involved in it, any nontechnical person can also use it for their professional work. They can automate any kind of workflow as per the business knowledge. UiPath doesn't require much technical knowledge and is very easy to use.

In most service-based or manufacturing organizations, UiPath can be used for processes that deal with a good cause. In the service-based organization, it provides employee benefit services like the recruiting process and retirement process. The solution also does monitoring tasks like license validation.

If you talk about social services, the solution also helps with passport scanning, which mostly happens in the airport. With the help of UiPath, we can immediately scan the passport and get the required information from a security point of view. So, it provides all kinds of the most relevant use cases in real life.

In UiPath, multiple stages are involved, like requirement gathering, business analysis, preparation of the process design documents, implementation of the perfect automation, and then deployment of that automation. After the deployment, we provide post-deployment support to the end users. This end-to-end process involves all kinds of stages, from requirement gathering to production and deployment. So, UiPath provides end-to-end automation.

UiPath provides a trial version of 60 days, which is the community edition and is completely free to use to learn. They have their own academies to learn the courses, which are also completely free. It also provides a certification of UiPath as a developer. UiPath has the best forum community edition where you can raise your questions and immediately get support or answers from the community. UiPath's user community is very user-friendly.

With UiPath, we have reduced a lot of manual work and saved a lot of time. It helped us reduce the most complex activities involved in the finance and HR departments.

I have used UiPath Academy courses and completed my certification program as a UiPath developer. Since UiPath is a scriptless tool, any user can learn the tool very easily by using the UiPath Academy courses. UiPath Academy courses are completely free. They don't have any charges and provide all the practical sessions and environment.

The UiPath Studio is also available for a 60-day trial version. You can install this tool on your machine, practice, and become an RPA or UiPath developer. So, UiPath Academy is the best tool to learn the UiPath tool.

Currently, UiPath has a lot of things like machine learning, artificial intelligence, and natural language processing. We have integrated all these things with UiPath. We also have AI Fabric in UiPath. By using AI, we can automate the more complex processes where decision-making is involved. The solution's AI functionality is mostly used in invoice processing or approving budgets.

UiPath's AI functionality has enabled us to automate more processes overall. AI gives us more leverage on process automation by reducing manual work and saving a lot of time in complex situations where decision-making is more complex. Based on historical data and previous experience, our UiPath bots can learn many things and give the best solution in AI.

UiPath gives more features to digitize your current business from manual to automation. It also saves lots of manual costs and real-time employee costs.

Although not 100%, UiPath reduces human error and provides more accurate results. It is very fast in terms of processing, and we can automate any kind of process. It works 24/7, even on weekends and holidays.

UiPath helps us to reduce or avoid some manual, repetitive tasks that most of our employees do on a daily basis. We have automated such tasks, and it saves a lot of employee time. So, employees can contribute their time to new innovations, new tasks, or new projects.

Nowadays, time is money. With UiPath, we save a lot of time and money in real-time employees.

RPA has multiple automation tools like Blue Prism, Automation Anywhere, and UiPath. We chose UiPath in our organization because it has more features than other tools.

I was involved in setting up the infrastructure for my current project. I was involved in the installation of the robots, the installation of the Studio, the connection between the Orchestrator and the Studio, and the deployment of the robots on the machine. I was involved in such activities, apart from the development.

Overall, I rate UiPath a nine out of ten.

What is our primary use case?

We use UiPath to automate business processes.

We use UiPath Orchestrator and other products in the cloud, but we deploy the robots to our own internal network. The robots are managed by the cloud, but they run within our applications on-premises. The UiPath administration system and configuration are also done in the cloud.

How has it helped my organization?

The ease of building autonomous automation depends on the design. In our organization, we have developed a good design that recognizes the business process and the design features. We want to develop it in a way that is easy to follow. If we do this well, it will be easy for the developer to understand what needs to be built. The studio product, which is UiPath's development product, is also a very easy product to use to build the automation.

UiPath enables us to implement end-to-end automation.

They have a large and active user community. If we are a large enough customer, UiPath assigns dedicated account managers, pre-sales staff, and developers to work with us. They also organize community events, such as the one where one of our senior managers was invited to give a keynote speech from a customer perspective on their experience with UiPath. These events are positive and beneficial. UiPath is a large company and is probably one of the top three RPA vendors. As a result, they have a large and active user community.

UiPath has helped us reduce our on-premises infrastructure. We used to have an on-premises administration or orchestration system that consisted of databases and application services. We no longer need that system, as everything is now in the cloud. This is beneficial for managing upgrades, capacity, and costs. UiPath costs us less overall, even though their cloud licenses are slightly more expensive than on-premises licenses.

We use certain UiPath Academy courses to train our developers before they start working on projects. The Academy offers consistent and quick training in all the core elements of UiPath. This saves us time and resources, as we don't have to tie up valuable staff in maintaining training materials or delivering training. The courses are self-paced, so new employees can complete them at their own pace. They are also up-to-date with the latest features of UiPath, ensuring that our developers are always learning the latest skills.

UiPath does not speed up our digital transformation as much as it reduces the cost to a level where we can afford to do our digital transformation. I always consider the RPA solution to be feasible until such time as we can properly transform the business behind the scenes. I refer to it as system automation rather than RPA automation which is a true digital transformation.

It reduces human error by automating repetitive tasks. This means that we no longer have to train people on how to do these tasks, and they can be performed consistently and accurately every time. This is especially important for tasks that require data entry into fields or applications that do not have validation. By automating these tasks, we can avoid the cost of hiring and training people, and we can also reduce the variation in the process. This leads to a more efficient and error-free operation.

UiPath has helped free up our employees' time by automating repetitive tasks that were previously done manually. For example, employees were previously responsible for entering information into multiple systems, which was a time-consuming and error-prone process. UiPath robots can now perform these tasks much more efficiently, freeing up employees to focus on more high-value work. In addition, UiPath has helped us to eliminate the need for some contractors who were previously hired to perform manual data entry tasks. This has saved us money by eliminating those contractor positions. In the last four years, we have used robotic process automation in 90 percent of our processes and fully automated ten percent. This has saved us the equivalent of 200 full-time employees.

We have saved approximately $18 million over the four years we have been using UiPath. These are real savings, as people are no longer doing those tasks. In particular, we have been able to eliminate 100 full-time equivalent contractors. These are hard savings that we can actually measure. UiPath has a tool that allows businesses to identify a process, enter the key steps, and calculate the amount of time spent on those steps. UiPath then magically calculates the potential savings. These savings are real because they are based on the amount of time that people would have spent on those tasks if they were not automated. The results of this analysis are then stored in the Automation Hub tool. This tool allows us to see which high-value processes should be automated first. UiPath is smart enough to tell organizations they don't need to analyze all of the processes themselves. They can let UiPath do it for them. The Automation Hub tool does not go into the details of the design or the automation of the processes. It simply captures the processes that the business has identified as being manual and in need of automation. This gives us a pipeline of work that UiPath can then sell us licenses to automate.

What is most valuable?

The ability to recognize screen elements and their robot technology are both very valuable features. The ability to recognize the screen element that we want to input or extract data from is very good. It is also very extensive. We also like the way that the unattended mode allows us to run it as a background process on a desktop. We can run these things quite well. UiPath's robot technology is very reliable. 

What needs improvement?

I see UiPath as a practical product that is trying to achieve end-to-end automation or end-to-end processing. They are playing in this space and bringing their AI connectivity or components into their product. However, I think the only downside is that, as we have seen recently, for some of the processes we have automated, we have documentation on the technical elements that we have automated, but people have forgotten the business rules. UiPath has a task capture product or a process mining product but it could be improved by capturing the business process and then how the automation that we have developed feeds into that overall business process, and making that available to the business so that they know what the business processes are. UiPath does not have a delivery product. For example, when we go into Microsoft DevOps, UiPath does not do that. Once we have identified the process and have coded it in UiPath, there is nothing to tell us about how we deliver that process, and who is assigned to a task to build the components. There is no project management or DevOps delivery pipeline model inside UiPath, so we cannot manage the development.

How was the initial setup?

The on-premises deployment of UiPath is complex. We had a lot of network issues because we have a secure network architecture. We had to split up our database elements, application server elements, and virtual machines that run the robots. This was complex. High availability was also complex to achieve, as we had to set up load balancing and failover. Finally, upgrading the system was a nightmare. It took forever, and UiPath releases a major release every year. Deploying in the cloud is much more straightforward.

What's my experience with pricing, setup cost, and licensing?

The license cost for UiPath is about $500,000 per year.

I always say that the price of UiPath is too expensive. But if we identify a high-value business process to automate, UiPath becomes a very cost-effective product. A robot license costs $6,000 USD per year, or $10,000 NZD. This is about one month's salary for one person. If we can automate a process that would otherwise require ten people, the investment in UiPath will pay for itself quickly.

Which other solutions did I evaluate?

We evaluated Automation Anywhere and Blue Prism before deciding on UiPath. We are a large organization and can afford the cost of UiPath, but it was more about the functionality of the product at the time. UiPath consistently ranked ahead of the others in terms of functionality, according to Gartner and Everest. I believe we made a wise choice. It is also easier to get developers for UiPath because of their Academy.

What other advice do I have?

I would rate UiPath nine out of ten.

UiPath's AI functionality can be used to help developers build automation processes, but it can be expensive. We use the open-source TensorFlow technology from Google, which is the same technology that UiPath uses. Our developers are willing to build and manage this technology themselves, which is a cost-effective solution. However, if we use UiPath's AI functionality, it will be managed by them.

I am an architect. I have worked as an integration architect, infrastructure architect, and network architect. When I first saw UiPath, I thought it was just for scripting the front end, but it is much more powerful than that. I really like it because it allows me to find slow, expensive, and inefficient business processes and automate them. This can lead to real savings for the business. With traditional applications, there is often a business case that needs to be made before the application is built. But with RPA, we can see the savings every day. For example, if we automate a process that used to take ten full-time employees, we can see that we are saving ten FTEs every day. I enjoy using UiPath because it is a real solution within IT that can drive out real costs from the business.

I recommend that those who want to use UiPath do not treat it like any other IT system. Do not simply implement it and expect it to be of high value. The most important thing is to understand the business well enough to use the tool to its full potential. In other words, automate high-value or high-benefit processes.
