What is our primary use case?
I took care of the deployment process of Zoho in my company because my company is a major partner with Zoho.
It is a SaaS product. We mainly use it for collaboration in organizations. This is the main use case: Collaboration b/w internal teams and external teams.
We can also add a chat function to Zoho Mail.
How has it helped my organization?
There are several benefits to using Zoho Mail. First, you get the email functionality itself, with plenty of storage.
Second, since Zoho offers a whole suite of products, you can leverage other tools like chat, meetings, and others within the same platform, avoiding the need for multiple providers. This consolidation is valuable for me.
Another benefit is the good local support offered by Zoho. Not everyone can afford the expertise required to provide such good technical support in-house, and Zoho provides that.
Finally, since I was already using other Zoho applications, it wasn't difficult for me to adapt to Zoho Mail. Overall, it's a good value.
It also offers the search functionalities. For end users, the search is quite easy to use. There are a few tabs to select to find exactly what you're looking for. It's pretty simple. As long as the data is available, you can use filters like from whom, to whom, subject, attachment, and even use advanced settings. It's pretty nice.
What is most valuable?
Integrations with all the applications are a good feature. Zoho is an ERP solution, and in most cases, there's no third-party application that I want to integrate with Zoho Mail. It's comprehensive in its entire area.
Where an organization wants to integrate their mail with another application to get notifications when it is down, you can't separate the SMTP from Zoho into the application. But for something simple, you just need the SMTP server details from Zoho to bring to the application, similar to any other platform.
For me, it is all about the hosting. Beyond that, there aren't any particularly fancy features that catch my eye.
There can be delays in image loading at times. Moreover, for clients transitioning from platforms like M365, who face financial constraints due to currency exchange rates, Zoho Mail presents a viable alternative.
The process is simplified as we don't have to deal with intricate integrations or the hassle of migrating users between platforms. This simplicity is perhaps why integration with the ADAInu platform is non-existent.
Additionally, I use IMAP migration, which tends to be stressful on the IMAP platform. With Zoho Mail, the process is less cumbersome, and I don't have to go through the stress to create the IMAP protocol.
What needs improvement?
The interface isn't quite good. Everything looks a little low-quality. And maybe because they just started. For example, there's network disconnection. And by the time you send an email before it is delivered, it takes a while.
I've also had some clients complain that it freezes at times. So, it's frozen at times and can be a little difficult to update. And sometimes you have to uninstall and reinstall it, and all that.
Fr a cloud-based service, it's not quite seamless. But the only thing is that the UI is not very user-friendly. Everything just feels clunky. It should be more user-friendly.
For how long have I used the solution?
I have been using it for quite some time.
What do I think about the stability of the solution?
It is very stable but there was a time they had some challenges with a client because of updates. And if you want to open something, it would take a while to load, and it kept crashing.
What do I think about the scalability of the solution?
Zoho Mail is very scalable. You can add as many users as you want, as long as it's within your license and not for multiple businesses.
My organisation had around 200 end users, and I was responsible for managing it all.
How are customer service and support?
The customer service and support are not good. A client reached out to them and they didn't get any good response.
How was the initial setup?
The deployment time and complexity depend on different factors.
It depends on how many users you're looking at and the number of mailboxes. Are you creating a fresh setup for an organization with no existing email platform? Or are you migrating from one platform to another? It depends on the organization's needs. For a fresh start, they might just want to jump right in and begin using it.
What about the implementation team?
I deployed it. So, the setup is actually quite straightforward. Just make sure you have the requirements in place already. For example, the domain name must be available, and you'll need to ask your domain service provider to handle verification records. When you add your domain to Zoho Mail, you'll be able to verify those records. Then, you can set up your security. Do you want to do the automatic setup with us for the thirty included features, including administrator settings?
But before that, you need to upgrade the user licenses. This allows you to configure organization settings, like how many users you want to add and their mailbox size. These are the basic steps to ensure users can log in and access settings. The whole process typically takes 20 to 30 minutes, and then you should be good to go.
What's my experience with pricing, setup cost, and licensing?
One of the reasons people use Zoho in Nigeria is because we can pay for it in Naira. It's very affordable already. For example, we can get Zoho Mail for somewhere between 1000 naira per user, which is less than one dollar. In my opinion, it's very affordable.
We are subscription-based. It depends on which plan you're interested in. We can pay monthly.
What other advice do I have?
Overall, I would rate the solution a six out of ten.
There's no one-size-fits-all solution for clients. It depends on their requirements and budget. But, it depends on things like user-friendliness and support availability. These are things I need to look at, along with the client's project and needs. Then I can give them proper advice.
Another thing is, if a client uses Microsoft PCs or something similar, Zoho has its own office suite, but I'm not sure it's the best fit for every client. Ultimately, depending on your exact requirements, I can tell you what solution to go with. You want a single console to do everything without needing to move to another platform for higher traffic. It also depends on the size of your organization - small, medium, or enterprise. Each customer is different, so I can't give a blanket recommendation.
