What is our primary use case?

In our current business context, we are part of the retail industry. Normally, we purchase products from overseas vendors, and then we resell those products. We may do DLP (Delivery Processing) and all. But after that, we store the products in the warehouse. Finally, we have a Salesforce automation system, which collects the sales orders and transfers them to SAP Business One. It is an integrated system with SAP Business One. Then, to process sales, our users raise the invoices. At the warehouse location, we deliver the goods to the end-users. This business operates as B2B (Business-to-Business), and we handle a considerable volume of transactions. We deal with automotive items such as spare parts, tires, and other products in our portfolio.   

In the backend, the finance team prepares the financial statements through the SAP system. They book payments, process bank transactions, and more. So, this is an integrated process, and we use all the modules of SAP Business One, except for the production module, as we don't have any production requirements in retail. However, we have one subsidiary. When we implement SAP Business One for that particular aspect, we will use the production module. 

Currently, we have a small area where we assemble sales kits for combining items into one particular product. So, with the new implementation, we will use all the modules, enabling us to get comprehensive financial reports. That's the background of our usage.

What is most valuable?

SAP has taken some steps for improved usability and product innovation, and they have capabilities in integrations, for example, RPA, artificial intelligence, and machine learning, which can be integrated with SAP Business One. So, they are expanding their capabilities and scope. 

SAP Business One has to compete with Oracle NetSuite, Microsoft Dynamics. But when comparing the user interface and the cognitive behavior of the system, SAP Business One stands out as the best. 

Also, the documentation part and the user manuals provided by SAP are quite comprehensive. They give detailed instructions that are easy to understand and offer good guidance to users and consultants. So that's the strength of SAP Business One.

What needs improvement?

I have seen some limitations. For example, in Sri Lanka, I implemented SAP Business One in the fashion industry, specifically the footwear industry. Currently, the system does not support creating size-wise items with a size grid, which would be a beneficial feature to have. 

Additionally, in some areas, particularly in budget preparation and cost accounting, there are certain limitations that could be improved. Specifically, the budgeting side needs enhancement. 

When comparing SAP Business One with Netsuite and Microsoft Dynamics, Netsuite has a feature that allows easy integration with email, whereas SAP Business One lacks this capability. Users need to log in to the SAP Business One application separately to access emails, unlike Netsuite. 

These minor features make a difference, and if SAP Business One can include and improve such aspects, it would become the ideal product for SMEs.

One another thing is SAP Business One consumes a lot of network resources and bandwidth, especially when accessing the web solution, B1 Web Access. While NetSuite is a completely cloud-based solution that can be accessed via a web browser, SAP Business One has this facility but faces some constraints, especially in terms of top performance and speed at the browser level. 

However, in the network, there are issues regarding application slowness. This could be a major concern with SAP Business One. These are some areas of improvement for me. 

For how long have I used the solution?

I have been using SAP Business One since 2020. Currently, we are working with version 10.1.

What do I think about the stability of the solution?

It is my 13th year with SAP Business One. Actually, I have been using SAP Business One since 2010, starting with an early version in 2005. So, it's been a stable product. I have been using SAP B1 for more than ten years now. It has minimum bugs compared to other tools, especially when comparing it with products like SAGE and SHS, which have more bugs. 

SAP Business One is stable, meaning that when we enter data into the system at the front-end level, we can get accurate financial reports at the back end. It ensures the accuracy of the data, and we don't face struggles with financial reporting due to inaccuracies, unlike some local ERP systems where ledger accounts may not be right, leading to discrepancies in balance sheets and other issues. However, with SAP Business One, I don't experience such struggles; it works smoothly. I can confidently recommend it as a stable product.

How are customer service and support?

In the support team, we normally have access to the support portal in SAP Business One. At the first level, we can use the check facility to detect and resolve the issues ourselves. If needed, we can create a ticket and then pass the problem to them, and they will attend to it within twenty-four hours. According to that process, they attend to the job. 

Additionally, SAP Business One has the Remote Support Platform (RSP), which allows them to connect and easily rectify any issues from their side. To use this feature, we need to install the RSP first. 

Overall, I think if there are any inconveniences or instances, SAP have Business One's RSP (Remote Support Platform) along with a special KBS (Knowledge-Based System) that contains support nodes. If something goes wrong, we can refer to those notes and manage any issue with that information. Most of the time, we can find solutions by referring to these notes. 

Additionally, SAP B1 have a huge community where we can search for answers if we don't know something. By simply going to Google and typing our query, we can usually find the information and support we need. They provide excellent support and guidance in terms of security as well.

How was the initial setup?

When comparing SAP Business One with other products, the initial stage can be challenging. The first thing is to comply with the standards and best practices. If we can apply those and define good process flows, along with setting up the necessary configurations, then the implementation process becomes smoother. 

In the beginning, there might be some uncertainty, but it's not a big issue. The key is to follow SAP's recommendations and guidelines. They provide helpful guidance, and if we adhere to those, we will succeed in the implementation process.

It's totally an on-premises one. So we installed the HANA server, and this is a Business One server.

We have several office locations in Sri Lanka. So there are some remote users who access the system through KES Plus. Also, we have warehouses, and the warehouse users access the system through the KES Plus, where they do printing parts and refer to reports, among other things.

What's my experience with pricing, setup cost, and licensing?

The initial cost for on-premise installation was around 50,000 USD for the licenses, including HANA database and other components. After that, we pay an annual maintenance cost (AMC) of 20% of the initial value, depending on the number of users. 

For small and medium-sized enterprises (SMEs) with ten to twenty users, it could be around 10,000 to 20,000 USD. However, if you move to the cloud and choose subscription-based licenses, the costs can vary depending on the service providers. 

Additionally, if you use integration modules or third-party applications, it may incur extra costs. Compared to other products like Microsoft Dynamics and NetSuite, SAP Business One is cost-effective for SMEs.

What other advice do I have?

My advice would be; first, you should have the right consultant to implement the system. SAP Business One is a good product, but it needs to be properly mapped with your business requirements to gain maximum benefit. Customization may be required, such as developing reports, writing queries, and making small customizations, so it's crucial to get support from the right consultant. Some consultants may lack experience and knowledge about the product. 

In my 13 years of experience with SAP Business One and over 15 implementations, I recommend applying the right solution, mapping, and complying with SAP's recommendations and special amendments. If there's a gap between the Business One ERP system and your business requirements, it may lead to failure in the ERP implementation.

SAP Business One is almost perfect. I can give it a ten out of ten. It has been a stable and reliable platform for me.

SAP Business One is a very easy solution for SMBs (small and midsize businesses). SAP Business One is a good product for clients moving from the ERP to standard ERP.

What is most valuable?

The most valuable features of the solution are reporting, a dashboard, customized reports, and third-party integration. The other good features of the solution are Excel reporting and Power BI integration.

What needs improvement?

Compared to SAP S/4HANA, the solution has user limitations. SAP Business One would be a great product if more customization is available.

Many clients rely on Apple products, and SAP Business One does not provide any Apple-based solutions. They are only able to connect on reliable browser access, but clients want applications like Windows. SAP Business One should provide Apple-based solutions.

The solution's main competitor is Microsoft Dynamics 365. SAP Business One is a great product. If a client does not understand SAP Business One, they can choose Microsoft Dynamics 365.

What other advice do I have?

The solution's reporting and analytics features are helpful for a quick understanding of the margin and a quick overview. The solution provides many IoT-based integrations. Generally, SAP Business One is capable of running manufactured machines from integrated services.

I suggest using a hybrid model if the client has more than 450 users. If the client has 50 to 100 users, they must go with the cloud version.

I recently implemented integration for a big client. They have integrated with Amazon, AWS, IoT, and third-party end-user analytics services. All are SAP-certified services. SAP Business One does not come with total availability. Sometimes, it needs a two-hour downtime.

I would recommend SAP Business One to other users because it’s a great application.

Overall, I rate the solution ten out of ten.

The initial setup of SAP Business One is simple.

Once we have signed a contract with the customer for SAP Business One, we mobilize the team and follow the SAP ESET methodology. The team begins by collecting requirements through multiple sessions. Two documents are then prepared, one technical and one functional, followed by the compute configuration step. Once the configuration is complete, training is provided. We then prepare the checklist, followed by the reports, before finally activating the system. This process follows a five-phase approach, known as the five-phase methodology.

The time it takes to implement the solution large caries on the environment, such as size. In some complex environments, the process can take six months.

I rate the initial setup of SAP Business One an eight out of ten.

What's my experience with pricing, setup cost, and licensing?

The price of SAP Business One is high for smaller businesses to afford. The currency plays a large part in the fluctuation of the solution's price when we convert the USD to our local currency. $1,400 is for a limited license and $3,700 is for a professional license.

Regarding scalability, SAP Business One is easy to scale. Adding a new solution or business or customizing the solution to fit a specific company is easy. SAP Business One is very scalable, so it's a five out of five.

How are customer service and support?

As a partner, my company provides customer service 24/7 all over the globe. My company has support in eighty-eight countries, and the support my company offers is a five out of five, but for other partners, it's a three or a four.

The number of technical support staff my company assigns to each customer depends on the company size. For example, one support was given to a specific company, but it was too much of a headache for just one staff member.

How was the initial setup?

The initial setup for SAP Business One is straightforward. It's the easiest solution to set up, so it's a five out of five for me.

The deployment strategy I used for SAP Business One is called the ASAP methodology from SAP, or the accelerated implementation methodology. It starts with blueprinting, then realization, and then fine-tuning or the go live. After going live, that's when support happens.

The deployment usually takes three to six months.

My company is a service provider for SAP.

I recently provided SAP Business One to customers. I've always offered the latest version of the solution to my customers.

SAP Business One is hosted on the cloud, on-premises, and by subscription. It has multiple options for deployment.

Outside of the MENA region, the solution is on the SAP cloud, but within the MENA region, there's no data center for SAP for the cloud version, so SAP Business One is hosted on a partner-managed cloud.

One consultant can deploy SAP Business One from end to end, with assistance from multiple teams from multiple stakeholders from the customer side.

The number of users of SAP Business One varies. Some companies have three thousand users, while some have five users. It's based on the company size and business processes rather than the company's revenue.

The solution is suitable for small, medium, and large enterprises, depending on the business process.

My rating for SAP Business One is nine out of ten.

Choosing a solution for whatever purpose, for example, adjusting the procurement cycle, looking into the costing for your manufacturing company, or integrating invoices, requires a reliable solution, one that you can implement quickly and securely, and that could be SAP Business One.

What is our primary use case?

The solution is mainly used by customers in the manufacturing industry, particularly in areas where there is no need for extensive maintenance and quality control modules. Maintenance and quality control modules are not a part of the core SAP Business One. In short, we serve those businesses that are involved in core manufacturing and have a supply chain but don't need quality control and maintenance. The modules that come with SAP Business One are typically used for procurement, sales, or finance, and we, as implementers, are involved in the implementation phase.

What is most valuable?

The graphical view of connections between different transactions is a valuable feature of the solution.

In SAP Business One, customization can be made easier. Even though UDF is available in the solution, form creation and all such related activities should be made easier.

My company is a service provider and acts as implementers for SAP, including SAP Business One. So, we implement SAP ERP, and we have been involved in the implementation work for SAP since 2014. As time progresses, new modules or versions get introduced in the solution, and we take up the implementation process for them.

It is a stable solution. Stability-wise, I rate the solution an eight out of ten.

It is a scalable solution. Scalability-wise, I rate the solution a nine out of ten. Around 100 users in my organization use the solution.

I rate the technical support a seven out of ten.

How was the initial setup?

On a scale of one to ten, where one is difficult, and ten is easy, I rate the initial setup process a seven.

I rate it a seven because they recently came up with the browser access, while many other solutions were already on the browser access for a long time.

Some clients prefer the solution to be deployed on the cloud, while some prefer it to be deployed on-premises. Also, the deployment process takes place in less than a day.

What's my experience with pricing, setup cost, and licensing?

I rate the solution's pricing a six or seven out of ten since it is expensive.

What other advice do I have?

I would tell those planning to use the solution that though it is a good solution, it might not be a complete solution since there are some missing features in it. Overall, I rate the solution an eight out of ten.
