Great board system with good automation and helpful organization features

What is our primary use case?

Before all of our tasks were sent by email and each employee took care of their own tasks and deadlines. This process was confusing as we had a huge amount of emails between the team. 

After the Monday.com implementation, we had an increase in productivity. All the employees reduced their time micromanaging all the tasks they were doing and had a platform already set up with automation to make the job easier and also the workflow between team members. 

Also, the organization of projects and being able to create boards for each project and have the team involved in this project and able to track down the process of everyone is a positive outcome. 

How has it helped my organization?

All of our tasks and projects are on Monday.com.  

This was the best solution we found in the market. We did a long search and did a lot of tests to choose Monday.com as our best option.  

The board system changes how we organize and execute our projects. After using Monday we saw gaps to improve on how we were executing the projects. We have team members in different countries having all in Monday is a perfect intersection point for all team members to collaborate with the project they are involved with. 

What is most valuable?

The automation process is one of the best. We can organize the workflow through different employees, and after they finishes with the task and updating the thread this goes automatically to a different team member making the project flowing more smoothly. 

The new pages feature also was a big one that all the team is using now. Having all of this features on computer, phone, or tablet makes to keep track even if you are out of the office because any reason. It made the team more put together and involved in the projects. 

What needs improvement?

I loved the new feature of the page document inside Monday.com. The only one that we don't use as much is uploading the files to be accessed on Monday. 

Now, we are using a cloud option and then we send the link on Monday to the other team members. It was too slow and with some bugs sometimes. We had to download a simple image to see it instead be able to check directly on Monday (the bug was that the image didn't appear when enlarged). Having a different section just with the functionality as a cloud service so you can organize and see the files better would be great.

What do I think about the stability of the solution?

Stability is amazing. We had only two or three days where it wasn't working just for a few hours. Two of those days were updates on their end. And other was an issue, they provided a link to follow up what happened and where the problems where located on the platform 

What do I think about the scalability of the solution?

I know they can improve a lot and hopefully will continue creating more tools like any other cloud solution. 

How are customer service and support?

So far we didn't have to use technical support too much, however, it was ok.

We used Trello. We changed it as it was too simple.

The setup was straightforward.

The implementation was with a vendor partly, which was pretty good, however, we practically did it ourselves.

Quality/time executing the project has been a positive ROI for us.

Knowing your needs is the main thing. That way you can select the best option. Don't go cheap if will give more trouble for your team/project.

What is our primary use case?

We use the solution for marketing and creative project management. 

As a marketing manager, we brief on tasks within Monday.com including all details of the project, such as vertical, status, delivery date, etc. Our traffic manager assigns tasks based on the studio team's availability and priority. 

Mainly, Monday.com is the main tool for our traffic manager to manage a variety of tasks between marketing managers and creatives. 

Once assigned, we can track who the assigned person is and then track the process. It is a very useful tool for tracking things. 

How has it helped my organization?

It made the collaboration between marketing and creative studio teams much neater and seamless. 

Previously, we've used normal Google Sheets. In the beginning, it was manageable. However, once our projects became bigger (alongside the employee count), it became hard to manage between lots of sheets. Then Monday.com came in and it's pretty much a super clear tool to streamline all project collaboration between marketing managers and studio. 

Also, as we can sync Monday.com with our Slack or an email, it's nice to get notifications on how our project is moving. 

What is most valuable?

I love how we can color coordinate between statuses and how statuses jump into their respective groups automatically once chosen. Although personally, I don't use it often, I like how managers can see the workloads of designers and editors in color coordination, and based on that they can let the marketing managers know who has the capacity or whether the team is full. It helps to be aware of incoming tasks. It also helps us to determine project prioritizing and planning ahead more efficiently. As a creative person, it's nice to see their timeline of jobs done as accomplishments. 

What needs improvement?

As a marketing manager, I'm happy with the current features that we're using now. Within our company, we use different software to proof tasks or amend them so it's no problem. We're using Monday.com more on a basic level of assigning and tracking tasks and probably are missing some of the nice features. However, it would be ideal if Monday.com had this feature within itself, for example, if an input PDF or image was within it, then with one click the person can review it within Monday.com without going to different software.

I've used the solution for about three years.

Which solution did I use previously and why did I switch?

Previously I've used Trello for managing freelancers and internal tasks. Then our company adapted monday.com as an official studio management tool, hence I moved to the monday.com. It's definitely easier to use and manage both internal and external stakeholders.

Monday.com was chosen by the upper management and we've gone with it.

We love the product and its UX.

What is our primary use case?

I use it pretty much specifically with a vendor to some of my other companies. They do have their own board to manage the business between them and those companies.

Since we use an inventory management tool and we're a hemp and cannabis solutions company, we integrate with a number of different software. It's definitely made it a lot easier and I've incorporated it into our SOPs, so it's fundamental to our business at this point.

How has it helped my organization?

I've incorporated it into our standard operating procedures. It is fundamental to every facet of the business, as now something as simple. I'm a little upset lately, since they changed for security purposes, the email function to the board, as I used to have my sales reps email their orders (when they got them) to a Monday board that goes to my office manager, where he knows to make an invoice and go ahead and move forward with things to invoice the client using QuickBooks.

Just the overall flow, once that client paid that invoice, I have an automation set up that, depending on what revenue bucket it falls in, it will trigger, to tell that project manager for that board that a new project has been paid and she can go ahead and start work and the team can start formulating or we can start ordering ingredients, or whatever the case may be. It's basically incorporated into every portion of our business now.

What is most valuable?

The types of columns that I'm able to put into a particular board and the data that that captures. I like the fact that I could drop in PDFs. I can't do that with Excel. I can just drop in different types of files which I couldn't necessarily do in Excel. I can drop images into Excel, however, I can't drop files that are PDFs. Most of the things that I'm trying to collect on a particular client are signed documents and working documents. 

It is user-friendly. I like the forms. I can have clients fill out a form. As far as making it easier, I would say the email feature, the automation really makes it special. The email feature where if say a status changes to complete, the fact that I can have a scheduled email to a client to say, "Thank you for doing business with us." I can a personal touch on it and have that go out on a timed basis so many days after they completed a project with us, they will get the message. Things like that have made life easier to be able to automate that stuff.

The sub-items have been incredibly helpful.

What needs improvement?

Monday is one of the more expensive tools available.

The columns don't have descriptions. I would love to be able to write an explanation for a column. I'm only able to label and title it. 

Based on each group, I wish each group could have a snippet. The top of the board has a little note section or a summary, however, sometimes I do it by vendor, where each group on a particular board is a type of vendor, where maybe we have co-packing projects or something like that going on. Therefore, it gets complex. 

If a new employee were to come in, it requires a lot of training to get them to understand the board, as there are things they just have to know. For example, a certain vendor is a type of lab to which we have to submit testing to, and we send specific types of products to certain labs. There's no way for me to write a little blurb about each group, rather than putting in a dummy or test item and having a comment section on that, which looks funny. The same thing goes for each of the columns. If you were able to hover over and be able to see it the way that you see a long text, if you hover over the long text boxes, you can see the whole thing. And if you were able to do that same function for one of the groups or column headings, it would be really helpful.

There wasn't much onboarding assistance. There are still things that, since we have a number of companies and I'm super busy going to these webinars, I sign up and I never can quite attend. It would be nice if there was a little bit of hands-on onboarding help. The same way that HubSpot, for instance, has its team reach out to you to say, "Hey, how can we improve?" I've organized it so that I could grab all kinds of KPIs and make my dashboard super intuitive and really gather a bunch of important information that I could use to improve the business, however, nobody really assists with that.

There are learning modules where I could go in, however, I'm very specific about the things I need to accomplish, and sitting on an hour-long video that doesn't pertain to my exact situation, where I have to play around with it more. Surely, I play around with things and I'm better than most at software stuff, as we have a software company, therefore, I'm used to dealing with this kind of thing. However, with the setup time, it would be really cool if they reached out to say, "Hey, if there's anything that I know you know that this software can do, that you're not utilizing since you just don't have the time to watch a bunch of videos and play around with it."

It was difficult to get to adopt it, however, it's fundamental now to how we run the business. We couldn't function without it, at this point, unless I adopted something new and applied the same, just I've invested so much time into creating processes around Monday.

With automation, I've gotten to the point where managing the boards is somebody's half of their job. Managing a Monday board is half of somebody's time. While it's a lot of work to use it, it does a lot of things that eliminate a lot of work that would need to be manual if we were using Excel or something that's free.

The clocking in and clocking out for people who are doing projects could be improved. I know that there's an integration that I could do with something called Time, or there are a number of others that I can connect to, however, it's got the functionality to do it. We're trying to use just Monday to do that clocking in, and clocking out, on various projects, however, it could be better. 

For how long have I used the solution?

I've used the solution for about two-and-a-half years.

What do I think about the stability of the solution?

It's pretty stable.

Every once in a while, there may be some downtime, however, I just assume that is when they're making a lot of changes. Sometimes it's really slow, which sucks, as I have my employees clock in using it. 

Right after I moved a lot of our people over to hourly, we kept having some connection issues or it was slower than other websites were, due to an update or something like that.

What do I think about the scalability of the solution?

The solution can continue to scale.

How are customer service and support?

Technical support has been great.  

When you make requests, sometimes they say no. Like with the email change, I had to change up my process. They said it was for security purposes and they simply said that no, it's just going to be these long jingled things that make no sense, instead of whatever the old one was. They just simply said, we have to change them now to be a bunch of mixed letters and numbers and symbols for security purposes. I'm not sure why, and it is what it is. I'm fairly used to software people saying, "Your request, thank you for submitting it, but it is what it is." However, they're fast to reply.

I was using Teams to try to organize everything. Monday ended up being able to solve pretty much all of my problems. I've now incorporated it into all of my SOPs. 

I wasn't quite able to organize the flow of things and it didn't have the automation set up, and it was just difficult to visualize projects. As I couldn't do everything on the project management tool, I was doing some things on Excel. The fact that Monday is very similar to Excel, it made it a lot easier.

How was the initial setup?

I had to basically get rid of my entire old team and onboard a whole new team. It was actually pretty intense. It was a very difficult thing. The old team was just stuck in their ways. We moved from being a smaller company and we were growing at a really fast rate, and I was the only one who was really organizing things. Now, I have a whole operations team, however, for a couple of years we were in a growth phase and it's just that the old team wasn't able to adopt the Monday change.

What was our ROI?

I have seen an ROI. I incorporated it into my SOPs. My business pretty much runs on Monday. My whole team actually is able to use this, however, I did have to have a lot of turnover to get people to use it. Of course, adopting change is always difficult, however, now my entire team does know how to use it and does use it, as it's a part of their job. That said, that was difficult to onboard originally.

What's my experience with pricing, setup cost, and licensing?

It's one of the more expensive tools. 

Which other solutions did I evaluate?

I looked at a few others, however, I feel like Asana is very similar. I've worked with other companies where I'm able to log in to a particular board the same way you can on Monday. It's very, very similar and people like that just as much. I just went with Monday as it felt right to me.

Other software have very similar programming. I was pretty set on it. I went looking for a new tool and it met all my needs in a demo, and with a 30 day demo they were promoting that month. It worked out and now I can't not use it. I'm pretty happy with it, even though it's really expensive.

What other advice do I have?

I'm a customer and end-user.

I'd rate the solution nine out of ten. There's a few things that would be great, however, I don't know if it's me not giving it the time to be able to do it correctly or if the program just simply can't do it.

Great customization and time tracking with excellent communication tools

What is our primary use case?

I have a three-person team (plus myself), where my team works offshore and I'm US-based. We use Monday.com primarily as a project management tool. However, I also use it heavily as a CRM and personal task management tool. 

I love that I can integrate it with our Google Workspace accounts efficiently. We're a design team, so sharing drafts of work is constant. 

I plan my team's daily workload with detailed steps, often up to 75-100 customizes steps, and respond to drafts across the project journey. 

For the CRM, I am manually entering leads that come through a combination of Dripify + LinkedIn + LI Sales Navigator, although I do wish there was better optimization and integration with that. 

How has it helped my organization?

Communication and file organization are centralized (instead of emails and file share via Google). I chose Monday.com over Trello, Wrike, or other competitors due to the user interface and ease of customization. 

Emails alone were becoming extremely challenging, especially with finding specific files or emails. We just started sending emails to boards as well which has been a game-changer. I know these are somewhat standard project management solutions, however, Monday.com does it in a way that's far more intuitive and easy to customize. That's the key difference for my team. 

What is most valuable?

Customization is #1 for me. Since I'm using it for a variety of purposes, not just project management, I can customize boards and workspaces based on the needs of that particular workflow. 

Communication tools have been fantastic, and my team has adopted them well. 

Time tracking is pretty good. It could be more robust, however, it's been fine so far. Previewing of files has been fantastic as well. I love not having to download every single file to see it. 

I live in the notifications; it's what I visit first thing every morning to see my team's updates. 

What needs improvement?

I'd like better CRM integrations. It currently does not stand up to HubSpot or SalesForce when it comes to integrating well as a CRM. Improvements there would be huge. 

I'd hugely appreciate a more price effective solution to scaling up and down my employees as well. It gets very expensive to scale. 

Also having a "lite" version of the application for executive user's who just don't have the ability or time to dive into the full version of the platform. Something like a customizable view link for either execs or clients who just need snapshots of specific things. 

I could also use the ability to separate companies. I run two companies in Monday.com and it's very challenging to separate notifications for different users and companies. 

Also, I need more features for mobile. I can't seem to delete action items on mobile or have other basic abilities that would allow me to be more independent from my computer. Also, I'd like better integration with iCloud for managing files on mobile. 

Lastly, they should offer PDF annotation directly in-app would. I could provide feedback without the need to download the file or use external applications.

I've used the solution for about two years.

What do I think about the stability of the solution?

The stability is not so great. It needs improvement for sure. When it goes down it is dead in the water until fixed and brings my business to a grinding halt. In terms of day to day the web version is generally not very buggy, it's more about the times where everything just stops working. The desktop version is quite buggy because it's essentially just pushing the data out to the web version on the fly. So I often find things don't update, or the desktop app in general can be buggy. I will sometimes add detailed items then they won't save. It's not often, but when it does happen it's quite frustrating. So I abandoned the desktop version in favor of the web version which is generally a lot more stable (when its not down that is).

What do I think about the scalability of the solution?

From a cost standpoint it's not ideal for smaller businesses like mine. Technically the platform is easy to scale team members and section them off. 

How are customer service and support?

Support is very good, fast, and knowledgeable - especially with more custom "what if?" kinds of questions that are more about custom workflow solutions. They are quick to provide potential workarounds or integrations that could work.

I've used Trello and Wrike in the past with companies I worked as an employee of. I never liked them. Once I started my own company I wanted something way more customizable. I went with Monday.com and have been very happy.

How was the initial setup?

The setup offers plenty of videos that are easy to understand and I also like the sample boards a lot. Support responds fairly quickly with answers so I'd rate the ease of implementation very high. 

What about the implementation team?

I personally handled all setup, training, and implementation. 

What was our ROI?

I'd say I've seen an average ROI. I cringe when I get the bill each year, however, I know I need it. If it were much more though, I'd have to reconsider out of sheer survival. 

What's my experience with pricing, setup cost, and licensing?

I'd advise new users to expect to pay a lot more than you're used to. Also, that scaling is a pain. However, if they need something more user-friendly and customizable, it's the only way to go. 

Which other solutions did I evaluate?

I had already evaluated Trello and Wrike through direct experience. 

What other advice do I have?

The system has been pretty buggy as of late. I've abandoned trying to use the desktop application and the iOS app is super buggy as well. I will add items, with detailed comments, and they will just disappear. Stability should be a priority over enhancements in my opinion - at least until they are solved. My business comes to a grinding halt when the platform goes down, which has been nearly once a week this past month.

Great color coding and trigger notifications with helpful management capabilities

What is our primary use case?

We're a virtual events company that provides custom events for colleges and universities, employers, non-profits, associations, consortiums, and more. 

We use this product for project management of sales leads, marketing, social media promotion, and event setup and implementation. 

Monday helps us to track varying stages within each area and move event projects from stage to stage beginning with a new lead all of the way through the event day. Monday is also useful for tracking tasks that are associated with each event.

How has it helped my organization?

Monday has given us a process around how we manage sales leads, marketing, social media promotion, and event setup and implementation. 

Prior to using Monday, we were using cumbersome Excel spreadsheets to track this information. Monday has made everything easy. With the click of a button, anyone on a board can see updates and status changes to sales leads or event tasks and projects in real time. The interface is very user-friendly, and it was easy to get everyone on board (even our less tech-savvy users). 

What is most valuable?

I like how easily you can add items and move items between boards. 

It is great that everything can be color-coded and that you can update pre-defined types of items and statuses within varying categories. 

I also like how you can trigger notifications and reminders automatically when different statuses are changed or updated. 

It makes it easy to move projects along from different stages or from department to department within the organization. 

Monday has been really key in helping us to manage events and properly track all of the steps along the way.

What needs improvement?

Sometimes, I had difficulty moving items from board to board and would have to move them twice to get them to successfully move. 

We have an older email system with Outlook (2012) so we are not able to have our email synced to the site. This makes it manual for us to track email communications that go along with the sales leads.

The statuses on the boards don't copy over when I move an item to a new board and that category was not previously on the board. This makes more work as I have to go in and manually add those categories to the board using the proper colors and labels.

We began using this product in June of 2020.

My impressions of the stability are positive.

Versatile and intuitive with great time tracking and mention features

What is our primary use case?

I use Monday.com as a CRM and a project management tool for my business and my client's business. I've been using Monday.com to create my own to-do lists, manage the performance of my investments, and as a journal of sorts.

When I take a call or a meeting, I can use the time-tracking feature to log the duration. Then I write an update to remind myself of the meeting details. I can highlight any action items for myself and quickly recall what was discussed at a later time. I can house countless meetings and notes under one line item ("communication") and keep things super organized. Even if I can't remember all of the details and deliverables from meetings and calls, I know where to look!

How has it helped my organization?

Monday.com has so much versatility I almost can't think of anything that it doesn't have a use case for. This has allowed me to house business and personal information in one single place, which has automatically improved my organization. 

The reason I feel so comfortable with Monday.com for personal use as well is due to how seamless and intuitive the app experience is. Knowing I can access all of my data from my phone really helps me stay organized. 

For me, it's the little details that just make like easier. Things like dialing a phone number or sending an email with a click of a button on both my computer and my phone. There's no need to right-click or press and hold to copy and paste. You can do it in just a click! I love that. 

What is most valuable?

I love the time-tracking feature. It allows me to see where my time and energy are going, line item-by-line item. When it's time to reflect and make adjustments, I can be definitive and decisive. I wish the time-tracking column integrated with the workload widget so I can manage my team based on the actual time they've worked rather than estimated time [they will work].

I love that we can mention anyone on our team and everyone on our team from anywhere within the product. If this feature wasn't available, we'd have to all work from the same board to communicate. I'm becoming overwhelmed just thinking about it. I'm glad we have this feature.

What needs improvement?

The workload widget should work with the time-tracking column for more accuracy in managing team resources. This would allow us to take preemptive measures against team member burnout by seeing who is putting in a vast amount of hours at a glance. Conversely, we would also be able to see who isn't working very much, at a glance. We could check in and see if they need additional direction, resources, or support.

It would be phenomenal if Monday.com could support voice notes like What's App and Instagram do. This would take team communication up a notch for sure.

Great features, various views, and a helpful kanban tool

What is our primary use case?

I work in multiple areas in design, consulting, and managing health businesses, and enjoy my environments being diverse across the board. 

I often will add my clients as guests and sometimes also as collaborators. I am often remote and not office based so having a tool that has a well-functioning app is integral to retaining me as a customer and the clients usually say they love the easy app also. 

I am also a visual/design-motivated person so the aesthetics and UX side of a tool is integral also. 

How has it helped my organization?

Monday.com has really improved the professional presentation of information and the ability for me to be able to facilitate transparency on the progress of a variety of jobs. 

I also use it for personal use with budgeting and helping me with day-to-day life as the deadlines functions keep me on track. 

The kanban tool is great when working with teams. My personal subscription when shared has usually resulted in clients signing up themselves as it is so user-friendly. Obviously, it's well developed and tested prior to release.

What is most valuable?

I have really appreciated the many features of Monday.com. The most valuable are usually the ones I repeatedly use time and time and time again. 

I really really like the sort by name or dates functions as they toggle and make being able to offer super-quick organization a breeze, especially when client-facing. 

The ability to have timeline and calendar views is simply magnificent - they really help too especially when partnered with the useful alarms functions to remind us when stuff needs to happen.

What needs improvement?

I have never not found a feature I want. Monday.com is intuitive to use, and color coding and groups make tracking tasks a breeze. The calendar and Kanban features are aces. Being able to store files in tasks also makes organizing and finding large volumes of information so easy, especially over time.

The phone app is awesome and any clients I have ever added to my boards have gone on to subscribe themselves following access. 

I have tried other tools since first subscribing but have always ended up coming back to Monday. Who thought you could ever love Mondays so much?

Good visibility with helpful automation and filters

What is our primary use case?

This is one of the primary services that we use daily. 

We use it to organize our new customer requests to tell us where they are in the application process. 

Any issues we have with our other systems can be monitored through this. 

It lets the user update where they are in the process and also what needs to be done still. 

It allows us to monitor communications about customer inquiries and what stage they are at. It is helpful in allowing us to communicate efficiently with other teams in the business. 

How has it helped my organization?

This is a great way to see what has been done and what needs to be done on any issue that we enter. It will automatically notify the correct person which helps remove a step in the process for the user and saves time. 

We use it for customer requests to show us what we may still need for the customer and allows us to monitor where they are in the application process easier. 

It lets us organize tasks between us and teams that are not in our immediate facility so that all parties know where the task is in the process. 

What is most valuable?

The feature that I find most valuable is the personalization of the pages. This allows us to decide what is needed for each page and section. 

The automation makes moving items around the boards easier and saves us time. 

The automatic notification saves the user time by removing a step in the process. 

It provides a section for anything you may need to add to each board and enough options to use. 

The filters on each board help to narrow down exactly what we are trying to look at at that very moment.

What needs improvement?

I have not found many things that need to be improved. The biggest thing that I have seen is that the automatic animations are sometimes delayed or slower. If the user is moving too many things at one time the automatic animations may not work at all causing the user to manually move the items between sections on the board. This is not a big issue at all as it just causes the user to have an additional step in the process. All other functions seem to work well and it is easy to navigate.
