Great online file/commenting system, streamlines communication and offers real-time updates

What is our primary use case?

We use the solution for organization and communication in our construction company - including file organization and storage. It is very convenient to be able to leave reminders or updates about each job in their own file. That way, we can come to one central location for each job.

It is also very vital to be able to update field workers quickly as new updates from homeowners come in. With Monday, we have been able to eliminate so many construction meetings as all the information we would previously need is found in the client's file on the system. 

How has it helped my organization?

We are more streamlined, we have better communication without having to talk directly to each other, and it's made the online file system and photo uploading easier. We can see progress and hold our subs accountable as well as protect our company. 

Updates from clients or the office happen immediately and each team member is notified of the information that is important to their job title. The integration and automation like sending emails to clients at certain phases have vastly reduced the number of communication complaints we get from homeowners. They are kept in the loop when phases are listed as completed. 

What is most valuable?

The online file/commenting system for each job is great. We can all see everything going on without scheduling a two-hour meeting. 

Auto emails to clients have streamlined communication with external emails so we can keep people informed without manually adding any hours or tasks to our day-to-day list. 

It keeps things moving without actually doing additional work. The time savings alone is worth every penny and man-hour it took settings up the business profile. 

It took us a few weeks to fully integrate, however, it has been so worth it. 

What needs improvement?

There are minor bugs that delete information or don’t autosave information placed. It doesn’t happen often, however, when it does, it is inconvenient. 

In a few instances, the dates and times of appointments were changed - which obviously caused problems. The amount of times this has happened is so few and far between like any other system that we can easily see the benefit despite the few bugs we encountered. 

What I do appreciate is Monday's quickness to respond to issues whenever I have submitted them. Any software we’ve used has had its issues. None have been as much of a "package” as Monday - so we will deal with the bugs.

I'm sure scalability could get better, however, it’s already very great. The capacity of memory is already very substantial for businesses of all sizes. For our midsized company that uploads multiple files a day I don't see scalability as a problem as of right now.

We used Save File. We switched as it didn’t do anything but electronically store files.

How was the initial setup?

The setup is straightforward for technically inclined people.

We did the setup in-house.

We've saved hours worth of meetings/emails.

What's my experience with pricing, setup cost, and licensing?

I'd advise new users to get the setup over with like ripping off a bandaid. It takes a lot of time, however, once it’s all up and running it’s amazing.

We evaluated BuilderTrend.

We'd like to see track appointment dates specifically in more than one area to ensure none or missed.

What is our primary use case?

We primarily make use of this solution to manage projects and collaborations between various departments.

We build various embedded Linux SBCs running a custom kernel and this as you may or may not know requires many developers to be involved, Monday.com has made project tracking and collaborating substantially easier with developers who are now largely working from home.

Feedback can be given easily along with some great record keeping. It has become the center of our organization's project management.

How has it helped my organization?

Overall we have noticed the following:

1 - It's easy to outline a project.

2 - It's easy to set up deadlines with reminders on various projects.

3 - Collaboration between developers, support staff and admin staff has become easier.

4 - Management of expectations with stakeholders becomes easy as you no longer need to hassle someone for an update. Monday.com sends you updates as they take place so it makes a PM's job a bit easier.

5 - It is easy to put a recurring project into a template/checklist making deployment substantially quicker.

What is most valuable?

The mobile application is an absolute breeze to work with. My team is able to provide updates on a whim even when remote. 

Being able to mass update items is a great feature to have, the UI has been well thought out and is intuitive to make use of, we found very little difficulty migrating from our previous platform to Monday.com as the learning curve was not steep and all our users were happy.

Being able to assign responsibility to a user for a task makes collaboration easy and clears up any potential misunderstandings, if there is anything that is unclear the user can then simply comment on the task and ask for clarity/assistance.

What needs improvement?

I would love to see better integration with Google Suite. It would be nice to be able to update/delete/move tasks/items from within a Google Chat window.

Built-in metrics regarding the performance of a specific user or project would be great so that we are able to accurately predict future delays or pitfalls.

I would love a Linux Ubuntu app for Monday.com and not just have it browser-based. It would be beneficial in our environment if I could tie Monday.com updates in with my Git push/pulls commentary. 

For how long have I used the solution?

We have been making use of Monday.com for about a year now.

What do I think about the stability of the solution?

It's based in the cloud and we have not experienced any downtime whatsoever. 

What do I think about the scalability of the solution?

This solution has scaled tremendously within our organization and is now a focal point of our project planning, deployment, and implementation. 

How are customer service and support?

I haven't had any need to engage with the support team and the sign on process was as easy as can be.

We made use of a free solution by another vendor which was unfortunately clunky to use. It filled the immediate need but had many limitations that were difficult to overcome.

How was the initial setup?

The setup is absolutely straightforward and quite easy to migrate from another vendor since you can copy and paste like-for-like.

What about the implementation team?

We did the setup all in-house.

What was our ROI?

I am unable to comment on this as I do not handle the billing side of things. 

What's my experience with pricing, setup cost, and licensing?

You absolutely get bang for your buck with Monday.com. Whatever package you select, pay it and enjoy it. We have had almost no issues since inception other than a few user errors.

Which other solutions did I evaluate?

We explored the option of developing an in-house solution and Jira, however, after demo-ing Monday.com we went ahead.

What other advice do I have?

Much like with anything new in life, approach it with an open mind and try not to outright compare it with your current solution.

What is our primary use case?

Our education team at our non-profit uses this site to assign each other tasks, to stay organized, and to sort out different categories of things to focus on. 

In addition to its support for a wide range of use cases, the site is loaded with functionality. 

It comes with collaboration features, timeline views, calendar views, time tracking features, and dozens of integrations. 

My boss usually will tag me in task items after our weekly meetings so that we can keep track of them together. When I have completed a task, I enjoy changing the tab from "working on it" to "done". It is so satisfying! 

How has it helped my organization?

It has drastically helped me to get organized in the office and for personal to-do lists as well. 

Our whole nonprofit uses it to tag each other for meetings and tasks to work on and focus on. Whether you want a big-picture view or want to see daily tasks at-a-glance, you can easily switch views and drill down or zoom out as far as you need. 

The satisfaction that I receive from completing tasks pushes me to want to complete the whole list. 

With the right integrations, you don’t have to bounce back and forth between platforms, you can build workflow automation to eliminate repetitive administrative tasks, and keep everyone in the loop on autopilot. 

Monday’s project management software syncs up with just about anything you’d need it to, including Slack, Dropbox, Zoom, and Google Calendar.

What is most valuable?

I love being able to "check off" a task by changing its status to "done." It also disappears off the list when you complete it. 

Monday.com is one of the few project management tools on the market with built-in time tracking capabilities. Most project management tools only offer time tracking as an add-on. When the time tracking and project management tools play well together, you get a deeper look at how long tasks take, the entire timeline of your projects—down to the minute, and identify your most time-consuming tasks. You can turn the tracker on or off with a click or enter time manually. You can even track time from anywhere using the mobile app and a few taps. 

Thanks to Monday.com’s automation, you can eliminate repetitive tasks, like notifying your team or moving a card from one column to the next. It's great!

What needs improvement?

I don't have any feedback for improvement - I love the site. The idea behind a project management platform is that it makes your lives easier rather than adding yet another tool your team doesn’t know how to use. 

In less than an hour, you and your team will know all you need to know—without relying on professional training. There’s an extensive knowledge base with hundreds of video tutorials to help you get started, troubleshoot problems, and get your crew up to speed. When we were introduced, we loved the concept and didn't even need training for it. 

Monday.com has tons of features and capabilities. However, you’ll need to upgrade your plan to actually benefit the most from these tools. For example, Gantt charts and timeline views aren’t available with the entry-level plan. To access time tracking and private boards, you’ll need to upgrade to a higher level.

I have been using Monday for about a year now. It was introduced to my team at work.

Which solution did I use previously and why did I switch?

I used a regular planner and my smartphone before. I now have Monday on my phone as an app and it's great.

If you want all of the features, be willing to pay more, however, the basic levels are great.

Great formulas, good time tracking, and excellent customization

What is our primary use case?

I am a project manager at a digital design agency and I use this to plan out all of our projects for the team.

Our agency has many project managers and many teams. Each project manager sets up boards/tasks for their own team members. I usually use my own templates while other project managers set up their own templates based on how they like to use Monday.com.

We are an online-only agency and fully remote. We all work in different time zones around the world and all have different schedules/working hours.

How has it helped my organization?

I love how I can customize so many items on the boards to fit my exact needs. I've been able to figure out how to save time and brainpower just by creating the right templates, automation, and formulas. 

It also reduces the number of questions the team needs to ask me as so much is programmed into our Monday boards that everyone can see.

Something we've been working on is trying to make sure all of our team members are efficient with their hours. I was able to make an overview board to see everyone's hours/what they are doing at a given time. It's not perfect and has a lot of filters, however, it's a start.

What is most valuable?

The formulas are great for pulling data from many boards into one board. The time tracking has been helpful.

All of these items allow me to properly track time for my team and figure out how many hours we have used, how many we have left, and what all team members are doing at a given time through pulling data into one board.

The formulas are probably my favorite (although it took some learning to figure out how to use them) as it takes the work off of me to have to manually do the math and flag when we're going over hours. The team can just see it automatically.

What needs improvement?

I have to use a ton of filters to get the exact data I want on an overview board. My goal is to see everyone on my team's projects/capacity. My team is not the entire organization/not inclusive of everyone on a given board.

Also, I can't total up hours or anything on sub-items. It just counts them. I want to be able to add numbers as I can in normal items and see the total at the bottom of a group.

I also wish I could more easily see a list of tasks for a given team member for the week. I can see my own tasks, however, it's hard to filter through everyone to see my team's tasks. I wish I could just add everyone on my team to a team to only see what they are doing each week.

For how long have I used the solution?

I've been using the solution for 1.5 years.

What do I think about the stability of the solution?

It's a stable solution due to the fact that it's so amenable.

What do I think about the scalability of the solution?

Monday can continue to grow seamlessly. I like the emails with the new features.

We haven't had to deal with them at all.

What is our primary use case?

In my case, I have worked on two SaaS products as a PO with Monday.com. It helps me with the product roadmap of my product. It also offers a product roadmap of the whole company. I used it for managing projects and being able to see the specificities of a project.    

We also used it to manage onboarding, as a personal to-do list.   

We use also integration with Jira, to see the updates so the CSM team can see the update from Jira.         

It was used by sales so we could see the sales information directly there.

How has it helped my organization?

It improved the communication between all the teams and the company, especially during remote work due to COVID. There is also remote work in this new company, where my work is 100% remote. It has helped to have data stored somewhere and be accessible by everyone at every moment.           

For the onboarding it allowed the newcomers to have a good base to work on, and the colors and ergonomy of the tool are helping a lot. We have more motivation to complete the information on Monday.com.             

What is most valuable?

The subtasks were super useful to have in order to define actions plans.

The link between the boards and do not need to copy-paste information and not need to update at different places is great.

The llama farm is super fun and helps the team to want to work on issues.

The colors and the style are amazing on Monday.com.

The dashboards are super useful for presentations to the other teams and to follow.

The Kanban view is great for organizing the common roadmap with other teams.

What needs improvement?

We'd like more automation. I would like more automation between Jira and Monday. To be able to have modifications in the status on Monday when the Jira tickets are updated for example.    

I like the automatic change of status when all subtasks are done. The main task is also done so we don't need a last action from the user.

The translations sometimes are not OK when you change the name of the item. For example, in French, if the item is masculine or feminine, the sentence is not correct so it seems weird.

I've used the solution for four years.

What do I think about the stability of the solution?

The stability is very nice too. 

What do I think about the scalability of the solution?

The solution's scalability is very nice.

How are customer service and support?

The solution is very friendly and the answer quick. Maybe a chat function could make it a little bit more user-friendly.

We are a manufacturing company and we use Monday.com to keep track of our production log. It has simplified our work and all employees can access it from anywhere. 

We also use it for our sample logs, employee holidays and to see the invoice statuses.

How has it helped my organization?

All employees can access it so everyone is in the know of what jobs are coming in and what jobs are going out.

We can see what date something came in to our goods in, what we received using the description column, when invoices have been paid and what date the goods are expected to be delivered back to the customer.

What is most valuable?

All of it is great. It has a section for everything and you can create automation so it fits your needs perfectly.

What needs improvement?

It does everything we need it to, so I would say no improvements are necessary.

if I had to say something .. a link between boards that takes you to the board in question when you click on it.

e.g. board 1 for samples - related to board 2 production. If I could add a link from the sample to then take you to see what job it relates too (similar to when you click the link on the message area).

We use the product mainly as a project management tool. We need to provide an impact report every year to different stakeholders. These reports have different deadlines and usually need the participation of several members of our organization. We are a large organization and we close several partnerships year after year, and the amount of reporting that needs to be produced and coordinated is very high. Also, these reports are crucial for the continued success of our unit.

How has it helped my organization?

Monday.com has helped us to automate processes and develop a space where different members of our team can communicate and share information. 

Monday.com has helped us to meet all our deadlines by allowing us to be proactive and develop the different reports way in advance. 

Monday.com is able to show us on one page all the different commitments we have in the future, allowing us to assign responsibilities and manage our resources efficiently. Ultimately, Monday.com is a tool that has improved our internal communication.

What is most valuable?

The number one feature is the ability to automate pretty much everything. This feature has allowed me to save so much time by avoiding repetitive tasks. 

I love how flexible and easy to customize it is. I have been able to build a different board for different projects, and every single time Monday.com has been able to provide the right tool to build something that works for my team. 

Monday.com is a user-friendly platform. It is very intuitive and easy to use. I am able to build new tools or boards in no time.

What needs improvement?

I have small criticisms since it's excellent and simple to use. 

I would recommend developers to continue focusing on the user experience and putting the consumer at the core of their functionality. Due to the fact that it is so comprehensive, it can be difficult to understand each functionality at times. 

The tool is beneficial for some businesses yet prohibitively expensive for others. 

Something that would be beneficial for me would be the ability to download or export many of the graphs or boards so that I can quickly share them with other colleagues who don't use Monday.

Monday.com helps us streamline our documentation and asset creation process. We also have integrations in our social media environment to assist with the content scheduling and cross-functional communication between the marketing and sales departments. 

Monday has helped us track our open projects, and complete projects more efficiently for our marketing and sales teams, it also provides visibility into the work we are doing and the cycle time from when a project is opened to when it is marked as completed. 

We also use Monday in our weekly team meetings to discuss our upcoming focus areas for the week and prioritize the work we will be doing. 

How has it helped my organization?

Our sales team felt 'out of the loop' when it came to upcoming social media posts and newly published sales collateral. Thanks to Monday.com's many integrations, we were able to establish a new channel within Microsoft Teams and Slack where the sales team can go to preview upcoming sales and marketing content, thus streamlining our communication process between the marketing, communications, and sales departments. 

It also provides visibility for our leadership team as to how much time we spend responding to cross-functional requests versus marketing communications projects/pieces. 

What is most valuable?

Our team uses the platform for many different functions, and the ability to have multiple Kanban boards that are integrated into various other platforms our team uses has helped us become more efficient in our content creation strategies. 

We also use dashboards to track how our projects are progressing and view how many open requests we have to complete. 

As I have mentioned before, the integrations between Monday.com and various other software platforms have allowed us to streamline our communications and content creation processes, thus reducing the amount of time our team spends dedicated to these various tasks.

What needs improvement?

It would be helpful to have a direct comparison table/spreadsheet for Monday.com versus Asana and the many other project management software platforms. Our department recognizes that Monday.com is the right tool for us to use given our team size and use case, however, our IT department has been pushing us to consolidate software platforms and the use case for Monday.com has been brought into question since they are most familiar with Asana

It would also be helpful to have a social media connection between the Monday.com platform and the various social channels (i.e. Facebook, Twitter, LinkedIn, YouTube, etc.). It would eliminate our need to use Monday.com and a social media management tool when publishing social content.

It is highly stable and we have never had any technical issues.

Monday is a highly scalable solution. It has helped us when we were at our peak business and as a growing organization, it also helped us when business was slow and we had to reduce our workforce.

We have never had any technical support issues, however, the customer support team was very responsive when we were looking to add more user seats.
