Great mirror column and guest access with great flexibility

What is our primary use case?

We primarily use the solution in our digital marketing agency. We provide services in design, video production, advertising, and web development. Also, our team is often trying to launch our own projects. 

On Monday, we manage our human resources, our equipment as cameras and lamps, distribute the workload, and plan tasks. In addition, we have automated our financial statements, and keep records of sales, contracts, and communication with customers.

I really do not know of any process in our business that does not go through Monday, except that we sometimes communicate in Telegram.

How has it helped my organization?

Now all our processes are in one tool. This saves the team time and energy.

Before that, we tried different systems, including industry solutions, however, they did not bring so much pleasure to the work. They were enough for a couple of months, after which they turned into a garbage dump.

Monday is so flexible that even we are not as flexible as it is. Any idea and change in the organization are implemented in a couple of hours. It helps a lot to try more, make more mistakes, and come to the right decisions faster.

What is most valuable?

The most valuable aspects include:

1) The mirror column which turns Monday into a serious interactive database that can cover all our processes. We have linked all aspects of the business together and there is no more duplication of data in the tables. This is difficult to do if you have never designed a database. In our case, we immediately realized that the mirror column allows you to make boards and powerful systems.

2) Guest access for the client significantly increases their loyalty and understanding of the value of what we do for them.

What needs improvement?

The solution could improve: 

  • Messenger-based communication with clients in CRM
  • Telegram integrations and notifications
  • Diagrams that better understand the timeline column (as Workload does). I really need an option to distribute the values from the "number" or "formula" column by all the days that the timeline column covers
  • Date-based diagram view (as workload or timeline view, with the diagrams)
  • Item group as a Kanban separator - not only a status column
  • Automation of timezone settings
  • More options for board-view sharing by links

At first, we didn't understand the full depth of the product. After a while, we realized that everything is possible and more.

I'd advise people to use the pro version only. It's pointless to buy the others.

New users should find a person who understands database design. It will help you use the capabilities of Monday 300% more.

What is our primary use case?

We use the product for managing all the projects and tasks of a non-profit association. 

We have several groups and task forces, and all our board members and volunteers live around the globe. We also have guest members who work on occasional projects and need access for a short period of time. We also have service providers, with whom we share several projects which needed to be on time. 

We have projects ranging from short to longer-term, including our strategic planning, which is also done on Monday.com.

How has it helped my organization?

After we started using Monday.com, the benefits were clear. We could centralize all our demands and responsibilities in one place. We have several service providers, board members, volunteers, and guest participants, and having the possibility to check the progress of their activities easily, in one place, and with a few clicks is a great service and has been much appreciated by everybody in the different teams. We now have a better idea of how we are doing with daily tasks and with the planning of long-term projects.

What is most valuable?

The possibility of having multiple boards is indeed a great feature that allows us to see the many projects (and their progress) at a glance. 

The workspaces are also an extremely valuable tool since we can have many separate workspaces for teams with different credentials. That is important to have more confidential projects set aside, and have people only assigned to their assigned projects or assigned tasks at a particular moment. 

Of course, the add-ons are important to integrate the other tools we use.

What needs improvement?

One important feature that would improve Monday.com would be an application for desktops (Windows/Mac). I work with many internet tabs open and would prefer having Monday.com as a separate program - not opened via the website. That could improve the daily managing and practical use of Monday.com. 

I do not use the Monday.com mobile app, since I concentrate on work-related things on the computer. I also work with several Google Workspaces, so that puts more difficulties for easy visualization.

I've used the solution for one year.

Until now it has been shown to be very stable.

We have not scaled up yet.

What is our primary use case?

The product is used for tracking customer success activities and daily interactions with customers. We're using dashboard views to analyse data gathered on the boards and track due dates for customer engagements. It's helpful for product release planning and sharing updates with team members as well as onboarding project management. 

The primary use case, however, is tracking customer engagements and reporting to higher management. We also use Monday.com for managing training activities for new joiners. We have close to ten workspaces with five boards on average.  

How has it helped my organization?

Monday.com helps my organization track the pulse of our customers and gives a 360-degree view of our users to everyone in the organization. It has helped us in tracking customer engagements and reporting to higher management. 

We also use Monday.com to efficiently onboard new users and give them access to all the training material needed for communicating with the customers. We have close to ten workspaces with five boards on average.

What is most valuable?

The analytics view is very powerful with Gantt charts and multiple chart visualizations. The integration capabilities to bring in data from external sources like Gmail, Zoho, and HubSpot. Even connecting to Google Sheets is very helpful. 

Prior to Monday.com, all requests were sent by email, making it difficult to keep track of the workload. With Monday.com, all team members can view what's in the project file and know where each project job is in the process. 

I really enjoy the customizing features that Monday.com provides; we have a number of clients that want a tailored experience to make things simpler for both us and them. Monday.com has so many excellent features, however, if I had to select one, it would be the organization.

Monday.com also facilitates internal and external collaboration. The time management and cross-team functionality are fantastic.

What needs improvement?

Managing project status and product development may be quite difficult unless you have a project manager.

The ROI that my team and I obtained from Monday.com covers the cost and then some; we've been able to raise internal efficiency and improve the overall capabilities of corporate operations. What is our primary use case?

The product is primarily used for collaboration between team members, particularly around project management. We will add design, development and digital marketing jobs, and project briefs and change the status of said tasks daily. We'll allocate team members to projects, use the chat feature, and generally just keep projects flowing within our creative and marketing agency. 

We also use Monday.com to store client information, run purchase orders and keep tabs on our retained clients. We have various boards not only set up for our clients, but for the business too. Whether that be campaign ideas, staff updates and more.

How has it helped my organization?

We now have a central hub for all information regarding jobs and clients, and it makes it much easier to share the workload between the team. 

It's especially helpful for colleagues working from anywhere/remotely, as they can simply log into Monday.com and find the information they need. Each of our clients has their own board, then within the boards, we can categorize by area (i.e. design, development, copywriting, etc). 

The automation in particular is a help. When a design job is set to 'Complete', the developers are informed straight away. It's a very useful tool and takes away the smaller manual jobs we used to have to do.

What is most valuable?

I personally like the visual aspect of Monday. As a team of creatives, It's highly important that we are able to color-coordinate jobs/status and it makes it so much easier to differentiate between clients and tasks. 

The appearance of Monday.com makes it easier to consume and digest. The search feature is also very handy. As our business has grown, and jobs have increased and Monday has grown with it. We can search for the items we need, however, the boards still also look good and have remained well-organised.

What needs improvement?

When replying to colleagues, it would be useful to see the formatting options (bold, bullets, etc.). You can only see these when composing the first message. 

Subitems from subitems would also be beneficial at some point in the future. 

The 'My Work' section could be improved. At the moment, the jobs are listed by date - i.e. overdue, today, this week, etc., however, it would be better to see these by each client and to see them in the exact way we do in the normal view of Monday (or at least be given that option).

I've used the solution for around three years.

What do I think about the stability of the solution?

The stability is very high.

The scalability is very high.

We've never had any issues at all.

We didn't use a different solution, however, we do use Float as well, as the timeline feature in Monday.com doesn't really work for us.

The initial setup is straightforward. It just takes time. Dedicate some time in your calendar, along with at least one other colleague to test it out/set up.

An in-house team set up the product.

What was our ROI?

I'm not 100% sure of the ROI, to be honest, however, it has saved on manual labour, ensuring our team are working to the best they can be.

What's my experience with pricing, setup cost, and licensing?

I'd advise potential users to just shop around and make sure it works for them. Sample it with a couple of users first, and have a play around before fully committing.

Which other solutions did I evaluate?

We also looked into Asana and Harvest.

What other advice do I have?

Users should be sure to take advantage of the automation. They're intimidating at first yet easy to set up once you've created one or two. It takes some time to get going with it. Be sure to set that time aside.

We use the product for recording and keeping track of all sales and transactions going on in our company. This includes sales, returns, descriptions and order numbers. 

It provides our company with a customizable web and mobile work management platform, designed to help teams and organizations with operational efficiency by tracking projects. 

We use the platform on a daily basis since all our tracking, status updates, and descriptions are all logged in real-time. Also, the updates are all real-time as well which makes it an important tool in our daily cycle

How has it helped my organization?

In terms of being more organized, Monday has greatly improved overall productivity in the workplace. All the data and information is stored in one place. It is extremely easy to use and does all the project planning and management work for you. 

It can also integrate with quite a few systems to automate processes like creating an inventory, sales, and customer report database which makes it easy to track all updates on one platform. Our whole team uses this platform daily and so far it has been a big help. 

What is most valuable?

The sales sheet where we keep track of all transactions including transaction history, customers, and all necessary records is great. Every team member has access which makes it easy to tag which customer belongs to who. As for interacting with the project and its tasks, it's very easy. We can set status, assignee, dates, add items, etc. Notifications are a great tool to stay on top of things, especially with customer updates which are critical. You can see all your tasks without scrolling through long items in a project.

What needs improvement?

Adding more features would be ideal since there are limitations as far as scalability. For example, we'd like a field for adding attachments, especially since, for recording purposes, customers submit documents. It would also be nice if there are training or quick access tools for new features since there are actually a lot of decent unexplored services that we may have not been using. They might actually be helpful in our day-to-day operations if we were aware of them. We continue to use the platform since all our data is stored in one location and the whole team relies on it.

I've been using the solution for a little over a year.

The solution is very stable and reliable.

What is our primary use case?

We started by looking for a task tracking tool - something other than Microsoft or Google. Since then, we have expanded our usage to include vacation tracking, project tracking and management, lead tracking, sales funnel tracking, vacation tracking, hourly reporting and approvals, applicant tracking, and onboarding. 

Basically, we attempt to use Monday.com for any task we can think of that will simplify our day to day communications and operations management. The tool provides great flexibility for that.

How has it helped my organization?

Before Monday.com, we struggled to keep track of who was doing what and by when. We had multiple spreadsheets, some that we shared via email, some in Google drive. It was chaos. Dates were missed and we didn't have a clear picture of who was assigned to what, nor did we have the ability to accurately hold each other accountable for what we were working on. This was clearly not a good situation for a startup.  

Since implementing Monday.com, we are more organized, tasks are getting done, and no one can claim, "I didn't know what I had to do."

What is most valuable?

In order of impact/importance, the three key figures for us are automation, templates, and role assignments.  

The automation feature saves us hours of time reviewing activities, sending reminders, and sending emails. We use this on virtually every board in the system even if it is just to send a completed item to the archive.  

The templates are expansive (and growing), detailed, and battle-tested.  We can often slot something in with little or no modification.  

Finally, the ability to easily and quickly assign someone to something is a tremendous time-saver.

What needs improvement?

There is very little to improve with Monday.com.  

Occasionally, it takes some time to get a response from customer success, though they are always helpful. The help system is very extensive, allowing us to resolve most of our questions on our own.  

There are no features that come to mind to be added. They are so far ahead on the product roadmap; we're continually playing catch-up via the monthly webinars to be sure we're taking advantage of the new features they have been dreaming up. It's a great plus for how they handle enhancements.

For how long have I used the solution?

I've used the solution for two years.

What do I think about the stability of the solution?

Occasionally (maybe once or twice a month), we'll get an error message, usually cleared up by redoing the activity (therefore it may be just a network issue). The system itself has never been down for us.

What do I think about the scalability of the solution?

The solution scales to whatever we need. At some point, we might need an administrator.

How are customer service and support?

Early on, it was fantastic and nearly in real time. Since then, there have been times when we had to wait a day or more for a response. We haven't had to use it in the past several months as we have become more self-supporting.

We previously used Excel, Google, and Outlook Tasks. They were not automated or universally visible to us. That's why we went looking for a solution.

How was the initial setup?

The setup is simple. You just log in and go.

We did the setup in-house. One person learned the system and then trained everyone else.

We didn't calculate ROI, however, it has saved us hours of time and many dollars that would have been spent on point solutions.

There is virtually no setup cost other than the time it takes to learn the system and set up boards/automation.  

The pricing is a bit steep, and it's built on tiers rather than incremental users (not ideal for a small company that's adding people slowly).

What is our primary use case?

I use Monday in my work. I work for a Marketing and Advertising Agency. 

We are a 20-member team. Monday is really useful. The best thing (recently added) is that you can see everything that is asigned to you and keep track on what's on your plate. 

As a small team with a variety of roles (like designers, code developers, writers, social media managers, and consultants) it is really useful to keep everybody up to date.

There is a way you can share a board with clients so they can see in real time how is the project running.

The app is great too. You can work even if you do not have your computer near.

How has it helped my organization?

When I joined the company, they already used Monday, however, compared with other tools that I've used in other companies, this is superior. 

Monday allows for remote work perfectly. You can see the contributions made by others. You can get notified every time something has been updated.

Monday is a great way to have history and a backup for all the work done. Other tools are just like live chats, however, Monday keeps track of everything. 

You can have different roles for every person in your team. 

The productivity tool is one of my favorite aspects. You can even track the time it takes you to complete a task.

What is most valuable?

The productivity tool is great, as is task dependency.

You can create specific groups on your boards and give them color codes. This is really useful.

It is great that you can select if you want to see the project in list, kanban, or Gantt. This is something really useful that other tools do not allow you to do. Usually, you have to use more than one solution. 

You can integrate Slack, Google, Excel, Drive, or Dropbox.

As a company that uses a variety of tools, it was great to have everything in one place, Monday was the solution.

What needs improvement?

Monday is excellent for collaboration between partners and team members, however, it would be great if there could be a way to have clients on Monday, and not just to share information. That is something you can already do. Instead, we'd like to add a client as a client so they can give real-time feedback, answer questions, and see the whole project and its stages. It takes time to copy and paste things that the client could be adding on Monday, and the team can see it with no problem, with controlled access.

The solution is completely stable and trustworthy.

They are adding some great things, however, a client version would be a really big step.

What is our primary use case?

We use the solution to create workflow processes for our team and to manage sales funnels and large projects. We can easily manage different projects each with different tasks and we can duplicate that template for the next project once we have perfected it. 

Our team was struggling with a way to manage and communicate all in one location. Monday.com has helped us to focus on building a workflow that works for us along with keeping us organized. There are an endless amount of integrations that have allowed us to use Monday.com as the one central location that we all work from now.

How has it helped my organization?

It has allowed us to all be more organized and focus on the tasks that are assigned to us. 

We've seen a significant increase in our productivity and it's much easier to manage each team member's performance. 

We have saved an incredible amount of time by having all of our tools and resources in one place. We've been strictly using Monday.com for the management of our projects and each team members work load. The amount of time we've been able to save using this tool has been significant for our business. 

What is most valuable?

Assigning tasks to a person with due dates has been great. Also, the templates for boards make it easy to jumpstart a project through a board very quickly. 

The various integrations have made it easier for us to focus on keeping our information in one place so that we're not spending time (wasting time) trying to find information in different places online. 

Overall the ability to use integrations, assign tasks, and create board templates has been the most valuable features of Monday.com. It's improved our overall performance. 

What needs improvement?

I'd love to see more automation with the additional cost. 

I have not explored all the features it offers, so at this time I do not know for sure what can be improved. Perhaps having an onboarding consult so that someone could help us set up our boards in a way that makes sense for our business would be helpful. With so many options, it can be difficult to know how to improve what we're getting out of this tool without someone to help guide us. That would be my only recommendation at this time - a more hands-on onboarding process.

There have been a few times when our team was receiving error messages when working on Monday.com. The stability could be improved.
