Flexible and feature-rich with great color coding

What is our primary use case?

We use Monday to help manage our software development projects. Its flexible boards also allow us to easily record a variety of business data. 

Monday's workspace functionality allows us to group boards by relevance. When we have a client for whom we do a lot of projects we can have a workspace dedicated to them. This also allows us to share certain boards with clients where necessary. That way they can see progress and contribute by providing information for marking tasks as complete. 

We also have some administration boards which contain sensitive business data that can be made private.

How has it helped my organization?

Since Monday is so flexible, it allows us to maintain projects in our own way. It doesn't force us to use a particular structure or make it difficult to add information which we find useful.

Having the ability to build what is essentially a more feature-rich spreadsheet and then pull reports from that is excellent from a reporting perspective. Using statuses allows you to enforce what information a user can enter and is colour-coded without faffing with conditional formatting. It is also possible to create formula columns and hide columns if you want to do more complex operations.

What is most valuable?

Being able to extend boards to include dashboards is very useful. We can have a board summarising an area of our business and see at a glance the status of everything going on there. Being able to build these into graphs and formulae provides good insights into progress (or lack thereof).

We have a large board which provides an overview of our business. The dashboards we have created then give us an instant oversight as to what is happening and what potentially might happen. As you can add multiple dashboards to the same board you can filter them to summarise the data from a variety of standpoints.

What needs improvement?

There are infrequent periods of downtime which can have an impact on our usage. Since we rely very heavily on Monday, when it goes down we really feel it. These happen a little too often for our liking, however, to say they happen all the time would be an exaggeration.

There are some small usability issues which can be an inconvenience. Changing deadlines often causes the date to jump or change unexpectedly. The application tries to be live so that your colleagues changes happen in real-time. This sometimes causes problems though and it gets confused, showing you old data which you've already updated yourself.

We have previously used Basecamp and ActiveCollab. Both of those are excellent products, however, Monday has more flexibility when it comes to the data we are using.

What's my experience with pricing, setup cost, and licensing?

The cost is fairly high yet not unreasonable. It can take some time to set up your boards. That said, the time invested is worth it. You can also duplicate an existing board or create templates making the task near enough instant the next time you have to do it.

Which other solutions did I evaluate?

We looked at more general project management solutions like Trello and Jira. However, those would not suit our requirements.

What other advice do I have?

Explore the range of different columns, automation, and apps available within Monday when you first start using it. It seems simple at first yet there is a lot of depth available to suit almost any of your needs.

What is our primary use case?

The solution is primarily for end-to-end marketing, planning, and e-commerce sales planning. Our marketing team uses the tool to build out all of their previous job bags digitally and create visibility for cross-functional marketing teams to keep up to date with the work the teams are doing. 

Our e-commerce teams use the tools to plan mini-projects, brief digital marketing work required and obtain visibility of all the marketing activities that the teams could take advantage of. 

The primary benefit for me is visibility of all our current work.

How has it helped my organization?

We have gotten rid of all our paper-based systems and our marketing work is now 100% visible to anyone in our planning organization providing ultimate accountability between teams. 

The power behind Monday.com is not just the fact that the teams are now visibly accountable to each other, they are also able to build best practices and cut out checks that would be required in a manual process. For example, we used to have multiple sign-offs of work previously. Now, teams are assigned and can easily review multiple streams of work simultaneously.

What is most valuable?

There are too many valuable features to mention in detail. Most notably, the workflow automation and assignment features plus the ability to work in email too have been a game-changer for our teams. 

The email feature is very valuable as the teams work collaboratively with many agencies and this means that agencies do not have to adopt the tool completely and can still "work via email" whilst our teams continue to have the visibility they require on their tasks. 

If only there was a way for the @ feature to work properly via email.

What needs improvement?

I wish there were more calculations available across boards and pulses. 

The biggest reason this would be a valuable resource is the teams could then use the calculations feature exclusively - replacing the need for Excel. This could also create a great way to manage budgets, forecasting, actual spending, and analysis of data from our campaigns. 

The tool is used already in this way, but the calculations are way too manual which means that teams often have to resort to exporting and completing calculations outside of Monday.com.

We've used the solution for three years and five months.

What do I think about the stability of the solution?

The solution is stable. We have had no noticeable downtime in three years of using the tool.

What do I think about the scalability of the solution?

The solution is highly scalable!

Technical support is very good and responsive.

The setup is a five-minute process at a maximum. It's super simple.

ROI was not a consideration for the cost of the tool. Our primary goal was workflow improvement and team collaboration with ultimate visibility.

Licensing can be expensive if you are only using it for tasking. The tool is best used when multiple teams use the tool for multiple use cases.

What is our primary use case?

We use this tool mainly for the purpose of project management and keeping track of external job tickets.

We also use to plan out our various marketing campaigns - allocating each aspect to the various team members with specific deadlines per task.

We use the form to gather external jobs which our team can approve and allocate as per our current priorities.

We can use it to view the workload of each one of our team members to ensure everyone is supported at each milestone of the project.

We use it for the approval of content.

How has it helped my organization?

As a team, we are much better prepared to go into a project. Using one program has sped up how we work and we find that less communication is overlooked. 

As a team, we are able to keep track of how projects are developing, making sure everyone knows who is owning the various parts of the project, plus knowing at what stage they are required to contribute and have their part done.

We can clearly see who is working on what aspect of the project to help keep the team healthy by not overloading team members.

What is most valuable?

Monday.com is full of great features which enable collaboration and strategic execution of projects.

Shared boards help entire teams to plan out campaigns with ease and clarity. Adding milestones keeps everything tracking towards the deadline.

The various views available on the boards can give you clear overviews pertaining to specific aspects of the project at hand, seeing at a glance which projects are running behind, where projects will overlap, and allocating team members according to the current workload.

Automation has been a great tool to help things happen in the background, from moving items to different parts of the project, to sending automated emails to external clients.

What needs improvement?

The user communication aspect could be improved. We need it on-platform for all our team interactions. Monday.com is what we were using for managing all our work, yet still needed is a tool like Slack for more detailed communication and updates.

We haven’t quite found the same level of Communication within Monday.com while understanding that this is more a tool for project management. However, communication is centered around specific tasks.

We’re managing to make it work with an extra communication too. Perhaps we just had to take some time to adjust how we work.

The solution is very stable and reliable.

It's scalable. The more people you get on it from your organization, the better the tool becomes.

The user interface is great. It helps a lot that it looks nice and the functionality is great. It's a big plus compared to other tools that may feel a bit less user-friendly.

What is our primary use case?

As a training provider, we use Monday to collate information about our learners. This would be private and confidential information. We also use Monday to track people's work, time scales, and productiveness. 

Being a training provider that deals with government funding, we have to keep well-organized files and information about dates, times, and locations. With the platform, you can easily do this and monitor what other members of staff are doing and what they are up to with their tasks to see if you should start your allowing yourself to focus on your current tasks.

How has it helped my organization?

Monday has made the day-to-day running of the business much easier, with one platform that links to every aspect of the business. 

We can have a private board with sensitive information which will only be seen by assigned people. The system links to most other platforms (for example MailChimp and Outlook). Monday also allows me to allocate tasks to staff and give a time scale of when I will need this completed and will notify me once the task has been done. 

Monday is the perfect time management tool.

What is most valuable?

I have found task management the most beneficial aspect. With Monday, long gone are the days of writing notes on sticky notes. task management allows you to create timelines of the task you have and gives you the option to prioritize your responsibilities. If you are someone with a large workload and tend to forget about the little things, you can set a date/time reminder that will prompt you to complete the task, taking the stress away. 

You are also able to see what tasks other people have outstanding that could affect your time spent on a task

What needs improvement?

The one thing that I would change about Monday is the boards. I would find it much easy to have a board where you can have different items in each group of the same board. Instead, it should have the same information pre-set when you add another group.

The system could collate information from other boards easier. The mirror system, while being good, was somewhat confusing to figure out even with the helpful videos that are on the system. They do give you step-by-step instructions on how you would do this, however, I was still confused.

We as a company have been using Monday since 2021.

What do I think about the stability of the solution?

We never have any problems with Monday. It's fast and we never have any issues.

What do I think about the scalability of the solution?

The scalability of Monday is great and allows us to use it in all aspects of the business.

The customer service is great. We haven't really had any issues with Monday. When we have gotten in touch they have been helpful and supportive.

We used a CRM, however, we switched to Monday as the platform as it was multi-faceted. It is allowing us to be more productive with one platform.

Monday is very fair with their prices and how multi-faceted the platform is. It's worth every penny.

We heard about Monday and once we looked into it, we decided it was the right solution for us.

Smart UI with great Gantt views and helps with managing roadmaps

What is our primary use case?

I use this tool for product management and project management planning. It shows me resource balance and that makes me able to plan development resources. 

I am a manager in a thirty-member technology department. I work with development teams, product teams, and the project management team. Monday.com provides a plan and roadmap view for our works.

In addition to that, it is really simple to categorize the project. That makes me have power to focus and manage the different projects.

As a result, it provides well-organized plans.

How has it helped my organization?

We had a need to manage product roadmaps, project roadmaps, and organize program management of the technology department. Thus, I compared some tools using their trial versions. Monday.com was the tool that provides the below solution for us.

It is well organized and user-friendly main table that let me see and be aware of each type of task. I can see Gantt charts and I can manage tasks on Kanban regarding the statuses. That makes me have different views of tasks regarding priority.

What is most valuable?

The UI is so smart. The Gantt view is the most valuable feature for me. The Gantt view provides smart and quick filters to see focused tasks. It has a well-designed user interface, that let the user get to pursue the tasks.

In addition to that, the Gantt view has a powerful setting utility. It provides an easy and simple view settings. I could managed any view on Gantt.

Also, it has a smart Excel export button that exports Gantt views to files. 

What needs improvement?

In my main table, I changed sometimes the timeline values mistakenly. That should be prevented via a smart warning or some sort of coloring.

In item card, when you need a field, you have to firstly add it on the main table. However, if you need many fields, it is not a proper way to keep the fields on the main table.

When I need like a collection field, I cannot do it. For instance, for keeping related links, I cannot create a field to save an undetermined number item. I need this. I have to create many new fields.

I've used the solution for around one year.

Great "My Work" features with increased transparency and streamlined processes

What is our primary use case?

We use the solution for client and project management. Working in a marketing agency, this is used as our main source of organizing our daily and long-term tasks to complete. Monday.com allows us to visually plan out what our clients need from us in detail to make sure nothing gets missed. Everything is easily accessible for all members of the project. It is also a tool used for observing the internal workload of each member to see what each day or week is shaping out to be and if additional support is needed for a particular person.

How has it helped my organization?

Monday.com has changed the way our organization works as we are now able to be confident in the software we are using to organize our work and grant access to clients to look at. 

This has allowed our organization to be more prepared and taught us the importance of transparency as there is no ambiguity around what task is allocated to what person and that we are well prepared to get tasks done on specific deadlines. 

We have been able to visually be able to put together projects without feeling overwhelmed. 

What is most valuable?

The feature which I found most valuable is the "My Work" section. This update has allowed us to elevate the use of Monday.com. Prior to this, it seemed like a very manual task - checking into each board to see what deadlines we had daily. The potential of tasks getting lost in a mountain of other tasks was great. The "My Work" feature has been able to let us streamline the process of looking into boards and just referring to one section as our "holy grail" - what our day is supposed to look like and what we need to achieve.

What needs improvement?

The feature which needs more improvement or development is the dashboard. There are many little quirks such as the dashboard, and workload widget that takes all members on our Monday.com account into the graph and has no feature to exclude or prioritize our internal team before other subscribers. This is an issue I have reached out to support and I have been told it is in the pipeline. 

Automations around connecting tasks status bars across different boards (eg: post-production board to a client board) would be helpful.

We've used the solution for one and a half years.

I have strong impressions surrounding the stability.

What is our primary use case?

We are a small engineering company and we use Monday to keep track of all of our projects. We will include information such as the client's name, project name, who is the project lead, the date received and date that its due back, what type of project it is, how we managed to get the project (via which type of marketing), the project value, quote numbers for the project, total value, etc. It ensures that we never miss a project, which otherwise is very easy to do.             

How has it helped my organization?

It has enabled us to not only keep track of our extensive list of projects - it has allowed us to analyze which types of projects are most worth our time, which clients are likely to place the orders, etc., which has allowed us to become a lot more efficient and develop new business strategies based on the heaps of data we have of past projects.

What is most valuable?

Monday is very easy to use and is very user-friendly. I must say the most valuable feature is the export to Excel feature, where you can take an entire board or just sections of it and put the data in Excel. It's great for data analysis and also to present to your boss as the list of projects you've completed and which of these were won, etc.

What needs improvement?

Monday does everything we need it to do. It would be quite cool if it could connect to my Outlook calendar and put the project deadlines in there. I'm still trying to understand the automate feature, however, this looks very promising for efficiency.

We have been using Monday for just over three years.

What do I think about the scalability of the solution?

Monday has the opportunity to be useful for a company with 10,000+ employees or even just one.

Monday has changed since we first started using it, however, the updates are automatic as it's a website-based solution.

The solution is very straightforward and not that time-consuming.

I'm unsure of the exact figure in terms of ROI.

Set-up costs are minimal with just an hour or two of labor to customize the board how you will like it. 

I would make a note to future companies looking to use Monday to make use of all the people spots you have available. Even if you work on different teams and won't be using the main board, there will definitely be a type of board that will suit you.

We did not evaluate anything else. In fact, we weren't actively looking for Monday. We heard about it from word-of-mouth and couldn't believe we'd worked without it for years.

It's a great service and has quite competitive prices. It does exactly what we need it to do anymore.

What is our primary use case?

We use it in our organization to list down and delegate tasks amongst team members. 

We review the tasks allocated on a weekly basis every Monday. It helps in planning the project lifecycle systematically and effortlessly. 

Further, the manager can tag the activities to different people, which helps share responsibilities so that the burden does not lay on one person. 

Filtering the activities marked to employees helps to quantify the work distribution to different people and ensure there is an equal division of work.

How has it helped my organization?

The sub-tasks which form part of the head tasks help in effectively managing tasks. It helps to avoid missing any task, which is very efficient. I don't have to brief the manager about all the pending activities, which saves a lot of time and effort, the opportunity cost of which is high. 

It also helps the manager keep track of ongoing work, which avoids the nagging and follow up and helps to go on with day-to-day activities. It helps allocate work and responsibility, further strengthening teamwork and spirit. 

It helps to upload files online, which can be accessed by anyone on the team from anywhere, which removes the barriers of geographical boundaries. My manager can review my work from anywhere from the files uploaded, and the same can be seamlessly completed without actually needing to be at the same place at the same time.

What is most valuable?

The multi-task management aspect is great. It helps in remembering every task. Further, it provides a proper workflow of all the proposed activities in project management. 

It efficiently helps achieve all targets within the set target, short-term or long-term. It helps to go completely digital and avoids the use of pen and paper, which helps declutter work life. 

It helps in tracking expenses and managing them as well, which is another superb feature to help manage and further aim to reduce the same. The entire process flow right from proposal making to every document which is to be prepared and submitted is added to the system and we allocate the same to different people which helps in the allocation of work and responsibility.

What needs improvement?

The constant reminders are very distracting. It should be once on Monday itself and not constantly. 

A walk-through should be provided for every new person enrolled, which should be initiated by the Monday.com team. A calendar invite for the same should be coordinated and organized. 

It is user-friendly, however, there is still an initial dependency on the team members to understand the software. 

There should be sessions organized with calendar invites which should be sent for every update to the system. If anyone misses attending the sessions, a summary of all the points covered should be sent out to everyone who is enrolled on the system. 

There should be a helpdesk facility that helps in immediate query resolution. It should have actual people trying to identify and resolve issues and not a chatbox.
