Great for multi-task management and expense tracking with easy file upload capabilities

What is our primary use case?

We use it in our organization to list down and delegate tasks amongst team members. 

We review the tasks allocated on a weekly basis every Monday. It helps in planning the project lifecycle systematically and effortlessly. 

Further, the manager can tag the activities to different people, which helps share responsibilities so that the burden does not lay on one person. 

Filtering the activities marked to employees helps to quantify the work distribution to different people and ensure there is an equal division of work.

How has it helped my organization?

The sub-tasks which form part of the head tasks help in effectively managing tasks. It helps to avoid missing any task, which is very efficient. I don't have to brief the manager about all the pending activities, which saves a lot of time and effort, the opportunity cost of which is high. 

It also helps the manager keep track of ongoing work, which avoids the nagging and follow up and helps to go on with day-to-day activities. It helps allocate work and responsibility, further strengthening teamwork and spirit. 

It helps to upload files online, which can be accessed by anyone on the team from anywhere, which removes the barriers of geographical boundaries. My manager can review my work from anywhere from the files uploaded, and the same can be seamlessly completed without actually needing to be at the same place at the same time.

What is most valuable?

The multi-task management aspect is great. It helps in remembering every task. Further, it provides a proper workflow of all the proposed activities in project management. 

It efficiently helps achieve all targets within the set target, short-term or long-term. It helps to go completely digital and avoids the use of pen and paper, which helps declutter work life. 

It helps in tracking expenses and managing them as well, which is another superb feature to help manage and further aim to reduce the same. The entire process flow right from proposal making to every document which is to be prepared and submitted is added to the system and we allocate the same to different people which helps in the allocation of work and responsibility.

What needs improvement?

The constant reminders are very distracting. It should be once on Monday itself and not constantly. 

A walk-through should be provided for every new person enrolled, which should be initiated by the Monday.com team. A calendar invite for the same should be coordinated and organized. 

It is user-friendly, however, there is still an initial dependency on the team members to understand the software. 

There should be sessions organized with calendar invites which should be sent for every update to the system. If anyone misses attending the sessions, a summary of all the points covered should be sent out to everyone who is enrolled on the system. 

There should be a helpdesk facility that helps in immediate query resolution. It should have actual people trying to identify and resolve issues and not a chatbox.

Efficient with helpful tracking capabilities and great automation

What is our primary use case?

We use Monday for a variety of reasons ranging from tracking progress on tasks to keeping our client list updated and segmented appropriately to managing agents and contacts. 

Our most common use case of this solution is to help us analyze our product offerings by cross-examining our client base. By doing this, we can see our most popular products, our audience demographics, and which customers are most likely to be upsold to new products or services. Monday.com has revolutionized the way we work and what we offer.

How has it helped my organization?

Monday.com has made our company far more efficient and has saved on a lot of unnecessary chasing for updates. We simply check what tasks a user is allocated to and can see how they are progressing easily. 

It has also made our lives much easier when it comes to tracking our customer journeys and analyzing our customers' purchases to help with future business development. 

We are now able to work with more clarity and peace of mind. Our business is progressing and employees/agents are meeting all our goals. 

What is most valuable?

We love to use the automation available on Monday.com. We have many different automations set up for different use cases. Our most effective one has been for sending a Slack notification to an employee/agent when they have been allocated to a task, board, or customer. 

Other examples of automation include automatically creating items in a board when an email is received. While this automation is not perfect (as it doesn't extract information to name the task) it is very helpful when we come to make changes to the task. 

What needs improvement?

We have always wanted to be able to perform a global search for a phone number. There is a facility to search for everything else yet not this. We have found a workaround for this, which is to add a customer's phone number to the notes section of their profile. Then, when we perform a global search for a phone number, we can choose to only see results by the content of any notes. This is not perfect, however, it is a solution. 

As a company, we are really hoping they will add this feature soon. It is something that many businesses would really appreciate. 

For how long have I used the solution?

I've used the solution for around a year and a half. 

What do I think about the stability of the solution?

We have only had a couple of issues with downtime, however, Monday.com is very transparent and allows users to track the progress of their repairs/remediation.

What do I think about the scalability of the solution?

This is a very scalable solution for our business and we are nowhere near finding its limits. 

How was the initial setup?

The initial setup is very straightforward and intuitive. We were able to very quickly set up our first few boards with all the features we needed.

What is our primary use case?

We use Monday.com to organize and keep track of our work, projects, clients, progress, and workflows. It's great for individual projects and team projects. In team projects, everyone in our team logs the tasks they need to complete or have completed, edit status updates and other relevant information. It essentially greatly improves team communication, making it so easy for someone to take over, and understand exactly what has been done and what's next. It's one of the best tools I've used for managing and tracking projects.

How has it helped my organization?

Before Monday.com we'd had to communicate via email, meetings etc. to update the team on project progress. It was harder to keep track of workload and where things are at. Now, however, it's so easy to view each project and know where in the process we are at. Everyone can make updates and everyone else can see them in real-time. It has effectively improved time management greatly and avoids things getting missed. Everything is very organized and it has increased overall efficiency considerably.

What is most valuable?

I love the interface, the layout, and the colors. It makes working more enjoyable. Everything is so neatly organized is definitely another highlight. 

It is also so easy to use. It's probably one of the most user-friendly platforms I've ever used. I've tried others in the past, however, this is one of the best. 

I also appreciate the built-in templates, being able to copy templates, columns, values, having access to tutorials, and the support offered. As a beginner, I didn't even have to view a ton of tutorials, however. It was so easy to figure out myself. 

What needs improvement?

It seems that different columns within the same board aren't customizable. The columns are the exact same unless you open a new board altogether. I'd like this feature to be added, as sometimes within the same project or task, I want to add different sections and different columns for each section.

The mobile app is not as user-friendly and as adaptable as I'd like it to be. There needs to be a ton of modifications before I can use it easily on my smartphone.

What is our primary use case?

We use the solution for managing internal resources and client needs publicly. For example, client inductions with a marketing agency are fairly similar, therefore templating the process allows efficiencies in time and ensures everything is 'on brand' and everything is done the way we choose. 

Allowing clients to see exactly where all of their projects are and what reliances are on them saves difficult conversations that may occur later, particularly around timeframes and deadlines. 

Internally, everyone works differently, therefore having a fixed record that everyone defaults to helps amalgamate different working styles. 

How has it helped my organization?

The solution has improved our organization in terms of efficiencies in communication, project management, and openness and transparency (both internally and externally) as to the progress of items, while also assisting with recognizing bottlenecks and operational issues that stall progress.

Historically, weekly status reports/client contact reports were the norm, taking account managers/directors out of action to update their clients. However, with Monday, this is updated as they would update a to-do list, therefore removing duplicate effort (or as much as feasibly possible).

What is most valuable?

The Gantt chart with dependencies allows for all timescales to move when one changes, holding everyone accountable. 

File upload and communication save hunting for messages or files across devices and shared areas.

The Gantt chart function saves spending time creating a visual that is static. Within Monday a simple update on tasks moves the Gantt chart without removing the history - therefore the archive trail allows us to have a nice record. 

File upload and communication just keep everything concise, neat, and organized. Many firms use Google Drive, Slack, email etc. With so many places to find files, it all gets very messy very quickly. 

What needs improvement?

It is a touch expensive, especially when just starting out. Perhaps a simple per-user scaling that starts small would attract smaller Monday.com clients who are potentially priced out. 

A new feature would be more sophisticated calendar integration, perhaps deadline reminders. Sometimes, we don't want to have prescriptive minute-by-minute 'calendarization' of tasks, however, a simple list of deadlines for the day/week (similar to 'Your Work') would allow an easy and simple checkpoint for all members of the team.

I've used the solution for around six years.

What do I think about the stability of the solution?

It's only been 'Down' once in the six years that I've noticed.

What do I think about the scalability of the solution?

The solution is very, very scalable, however, it would require investment (time) from the outset to agree to parameters and process.

We tried Trello, however, it isn't the same. 

What about the implementation team?

We handled the setup in-house.

What was our ROI?

ROI we are unable to calculate, however, it is certainly positive.

Licensing is a tad expensive. That said, it depends how you value your own time and profitability gains from efficiency.

We had a quick look at Asana, however, Monday.com is superior by far.

User-friendly with helpful visualizations and great support

What is our primary use case?

Our company started using Monday to track tasks and workflows. Later on, we started using it to keep records of employees and documents. For example, our HR department creates items with check columns and it tracks the required documents of all employees. 

Furthermore, HR personnel uploads all the documents corresponding to the new employee, and then it goes for authorization from the HR manager. Subsequently, when the yearly evaluation comes the department has all the required files in one place and digitalized.

How has it helped my organization?

We were in deep need to find an online solution where everyone in the company could work together and keep track of workflows. Since using Monday.com our productivity has been elevated by at least 35%. Having a platform where you create and automate a lot of small things like creating a sum or other formulas where you normally would have assigned someone to do it manually in a simple Excel locally or in SharePoint decreased our time to respond to our internal requests from any other department. It's very simple since we started using it and we don't see ourselves trusting any other platform.

What is most valuable?

Having multiple boards and different user-friendly items and visualizations were what we needed to have all employees familiarized with the platform. For example, our business in Facility Management has a lot of personnel where technology isn't their area of expertise. Therefore, having a platform with such expertise in creating features and keeping them with such simplicity is a unique asset that we couldn't find somewhere else. 

Support from Monday.com makes you feel super comfortable communicating any inquiries you may have. 

What needs improvement?

Better integration with Outlook would be awesome. For example, an add-on where the user could write an update on Monday via e-mail will literally elevate the whole experience for our business. It would minimize the time to search for the corresponding item on different boards and update them.

Another great option might be to give admin privileges and elevated access to multiple boards. For example, if someone leaves the company and somehow you need his uploaded work documents you cant exactly get them. It creates an issue that involves contacting the support.

As a company, we've used Monday.com since 30 October 2018.

We literally trusted Monday.com since day one.

I'd advise potential new users to not bother with such small details in terms of cost and licensing.

What is our primary use case?

We use the product for managing all the projects and tasks of a non-profit association. 

We have several groups and task forces, and all our board members and volunteers live around the globe. We also have guest members who work on occasional projects and need access for a short period of time. We also have service providers, with whom we share several projects which needed to be on time. 

We have projects ranging from short to longer-term, including our strategic planning, which is also done on Monday.com.

How has it helped my organization?

After we started using Monday.com, the benefits were clear. We could centralize all our demands and responsibilities in one place. We have several service providers, board members, volunteers, and guest participants, and having the possibility to check the progress of their activities easily, in one place, and with a few clicks is a great service and has been much appreciated by everybody in the different teams. We now have a better idea of how we are doing with daily tasks and with the planning of long-term projects.

What is most valuable?

The possibility of having multiple boards is indeed a great feature that allows us to see the many projects (and their progress) at a glance. 

The workspaces are also an extremely valuable tool since we can have many separate workspaces for teams with different credentials. That is important to have more confidential projects set aside, and have people only assigned to their assigned projects or assigned tasks at a particular moment. 

Of course, the add-ons are important to integrate the other tools we use.

What needs improvement?

One important feature that would improve Monday.com would be an application for desktops (Windows/Mac). I work with many internet tabs open and would prefer having Monday.com as a separate program - not opened via the website. That could improve the daily managing and practical use of Monday.com. 

I do not use the Monday.com mobile app, since I concentrate on work-related things on the computer. I also work with several Google Workspaces, so that puts more difficulties for easy visualization.

I've used the solution for one year.

Until now it has been shown to be very stable.

What is our primary use case?

The product is used for tracking customer success activities and daily interactions with customers. We're using dashboard views to analyse data gathered on the boards and track due dates for customer engagements. It's helpful for product release planning and sharing updates with team members as well as onboarding project management. 

The primary use case, however, is tracking customer engagements and reporting to higher management. We also use Monday.com for managing training activities for new joiners. We have close to ten workspaces with five boards on average.  

How has it helped my organization?

Monday.com helps my organization track the pulse of our customers and gives a 360-degree view of our users to everyone in the organization. It has helped us in tracking customer engagements and reporting to higher management. 

We also use Monday.com to efficiently onboard new users and give them access to all the training material needed for communicating with the customers. We have close to ten workspaces with five boards on average.

What is most valuable?

The analytics view is very powerful with Gantt charts and multiple chart visualizations. The integration capabilities to bring in data from external sources like Gmail, Zoho, and HubSpot. Even connecting to Google Sheets is very helpful. 

Prior to Monday.com, all requests were sent by email, making it difficult to keep track of the workload. With Monday.com, all team members can view what's in the project file and know where each project job is in the process. 

I really enjoy the customizing features that Monday.com provides; we have a number of clients that want a tailored experience to make things simpler for both us and them. Monday.com has so many excellent features, however, if I had to select one, it would be the organization.

Monday.com also facilitates internal and external collaboration. The time management and cross-team functionality are fantastic.

What needs improvement?

Managing project status and product development may be quite difficult unless you have a project manager.

I've used the solution for two years.

What was our ROI?

The ROI that my team and I obtained from Monday.com covers the cost and then some; we've been able to raise internal efficiency and improve the overall capabilities of corporate operations. We use the product for recording and keeping track of all sales and transactions going on in our company. This includes sales, returns, descriptions and order numbers. 

It provides our company with a customizable web and mobile work management platform, designed to help teams and organizations with operational efficiency by tracking projects. 

We use the platform on a daily basis since all our tracking, status updates, and descriptions are all logged in real-time. Also, the updates are all real-time as well which makes it an important tool in our daily cycle

How has it helped my organization?

In terms of being more organized, Monday has greatly improved overall productivity in the workplace. All the data and information is stored in one place. It is extremely easy to use and does all the project planning and management work for you. 

It can also integrate with quite a few systems to automate processes like creating an inventory, sales, and customer report database which makes it easy to track all updates on one platform. Our whole team uses this platform daily and so far it has been a big help. 

What is most valuable?

The sales sheet where we keep track of all transactions including transaction history, customers, and all necessary records is great. Every team member has access which makes it easy to tag which customer belongs to who. As for interacting with the project and its tasks, it's very easy. We can set status, assignee, dates, add items, etc. Notifications are a great tool to stay on top of things, especially with customer updates which are critical. You can see all your tasks without scrolling through long items in a project.

What needs improvement?

Adding more features would be ideal since there are limitations as far as scalability. For example, we'd like a field for adding attachments, especially since, for recording purposes, customers submit documents. It would also be nice if there are training or quick access tools for new features since there are actually a lot of decent unexplored services that we may have not been using. They might actually be helpful in our day-to-day operations if we were aware of them. We continue to use the platform since all our data is stored in one location and the whole team relies on it.

The solution is very stable and reliable.
