Great custom columns and calendar sync capabilities with easy Gantt chart creation available
Pros and Cons
  • "It is also easy for us to share a viewer account with our exco and they can see where we are with our work."
  • "Perhaps a nice Outlook plugin to copy tasks from Outlook would be beneficial. The same could work on Gmail."

What is our primary use case?

We use the solution for task management and social media content planning. Our content creator would create a card for each post that we do. We then start gathering the content and images or design images as needed. This then goes to our copywriting team for approval and any edits that may be needed. Once approved, we update the statuses. We also make use of guest accounts for the rest of our company to view the content.

Our UX team also works on Monday.com - we have several projects on the go so it is easy to separate these. We list all the pages that we need to create in a particular flow and assign it and track our time this way.

How has it helped my organization?

The solution offers us one place to do all planning - and allows us to never forget any tasks as we email all our work to a planning board.

When we get requests and jobs from the rest of our company, I can simply forward the email to our backlog address. This is very convenient and ensures we never miss any work.

Due to the fact that it syncs with our calendars, the whole team is always sure on what they should be working and when the deadlines are arriving.

It is also easy for us to share a viewer account with our exco and they can see where we are with our work.

What is most valuable?

We really use the custom columns quote a lot and also the statuses and the different views. We can quickly review our list but also see what our scheduling is like with the Gantt view.

The Gantt view really helps us make the most use of our productive time and ensures that we do not have any idle time from any of the team. It even helps us plan our leave well.

I myself particularly like the Windows and Android apps as well, so that one can work on the boards even if they do not have connectivity at the time.

What needs improvement?

Perhaps a nice Outlook plugin to copy tasks from Outlook would be beneficial. The same could work on Gmail. I have seen similar productivity App Store links to the specific emails and when you click on them you can go directly to Outlook/Gmail and view the request. Currently, we forward all the emails to the board, however, it can get messy when multiple signatures and replies, etc start happening - especially if we cc the board's email address.

A quick paste feature for screenshots would be very handy.

Great shared boards, helpful automation, and useful dashboards
Pros and Cons
  • "The solution is easily scalable."
  • "There are no missing features that I can think of."

What is our primary use case?

We primarily use the solution for process creation and then management, remote project and task management, and communication. Specifically, we use the product for admissions, enrollment, human resources, financial tracking, business operations, and project management.

How has it helped my organization?

The product has improved our organization via improved communication and transparent processes and has become the designated place to find information. It offers better management of remote people and projects. Monday.com has revolutionized our ability to function as a non-traditional educational model.

What is most valuable?

We like the shared boards, forms linked to the board, automation, and dashboards.

The shared boards have helped us to have quicker access to the tasks in each process, and the progress being made.  Especially in our model, employees and teams need quick access when they cannot wait on a response from another person.

Dashboards have been key in managing revolving tasks and projects.  It has helped us reign in annual tasks that may be forgotten, and weekly dept maintenance tasks.  In effect, Monday is helping us create manuals which can be handed to new staff with their tasks, and explanations - and a means to monitor and manage.

What needs improvement?

There are no missing features that I can think of.

For how long have I used the solution?

I've used the solution for roughly two years.

What do I think about the stability of the solution?

The product is very stable - and has great support to add features.

What do I think about the scalability of the solution?

The solution is easily scalable.

How are customer service and support?

Support is excellent. It is easy to find answers, and they offer quick contact the few times we couldn't.

How would you rate customer service and support?

Positive

Which solution did I use previously and why did I switch?

We previously used a combination of Google Drive and paper.

How was the initial setup?

The initial setup is pretty straightforward. It has good help and videos. The hardest part was buy-in from those familiar with other solutions.

What was our ROI?

We haven't measured ROI, however, I can say we wouldn't have made it through COVID if it weren't for Monday.

Also, our staffing can run pretty lean thanks to the tools on Monday.

What's my experience with pricing, setup cost, and licensing?

I'd advise new users to choose an option for your core team, then add as you need to.

I'd also suggest users change the setup of default boards so that not everyone in company is notified with each addition or change.  We almost lost people who were overwhelmed with notifications.

Which other solutions did I evaluate?

We did a Google comparison and liked Monday.com best.

What other advice do I have?

It is a great product and worth the investment.

Streamline processes, reduces proposal creation time, and is easy to manage
Pros and Cons
  • "There are so many automations to streamline everyday tasks and reduce click counts when doing admin work. It is incredible."
  • "The permission settings require workarounds for some use cases."

What is our primary use case?

I run my solopreneur consulting business almost entirely on Monday.com. I also have setup workflows on Monday.com for dozens of companies across many industries (construction, HR, architecture, eCommerce, sales, etc...)

All my leads and customers are managed in Monday.com's CRM solution. I have automated workflows to convert them to customers/clients when the deals close.

Upon close, I manage all my client projects directly on Monday.com with automated tasks, reminders, due dates and invoicing.

How has it helped my organization?

My business is very streamlined and efficient from sales to project management and execution to billing. Monday.com orchestrates the entire process for me and integrates with the other tools I use to get the job done and provide the best service possible to my customers and ease of use to me and my team.

I have reduced proposal creation time to under ten minutes and automated email follow-ups and integrations all facilitated and tracked on Monday.com.

We now have a Grand Central Station for inputting customer/project/work information which significantly streamlines and accelerates the pace our business operates.

What is most valuable?

The most valuable aspects include:

Automations. There are so many automations to streamline everyday tasks and reduce click counts when doing admin work. It is incredible.

My Work. It is one place that links all my to-do's on one screen on Monday.com this feature/function is critical to delivering my commitments on time and knowing what my workload is

Dashboards. The ease of reporting on Monday.com is amazing, they have dozens of report/chart types that create amazing visibility into the day-to-day operations of our business, and visualize projections for sales, projects, etc. The setup for these reports is as simplified as I have seen across any reporting tools.

What needs improvement?

The permission settings require workarounds for some use cases. The enterprise plan offers the features needed, however, too many times I've had to set up weird workarounds for permissions with my smaller Monday.com customers who don't have an enterprise version.

The license tiers are a little difficult to manage, as Monday sells seats/licenses in bundles of five or ten. Too many times I've had clients with six users who are forced to pay for ten user licenses due to the pricing structure. Since the lowest tier is three users it does make it difficult to have a solopreneur justify the use of the platform, as you are essentially paying triple. At the end of the day it can still often be worth it, however, is definitely a turn-off when signing up.

For how long have I used the solution?

I've used the solution for16 months.

Great dashboards, helpful templates, and makes it easy to assign team members to tasks
Pros and Cons
  • "Monday.com has provided a centralized and easy-to-use area for my team to store all of our information and collaborate together."
  • "It would be nice to have more customization around the documents, such as different title headings, fonts, etc."

What is our primary use case?

I'm a part of our talent team, so we utilize Monday.com for scheduling candidate interviews, housing important information around our best practices, as well as housing data and metrics.

We have also used it for process documentation, organizational documentation, and collaboration.

We have utilized the forms feature for being able to collect information from team members, candidates, etc. We are a team of about 15, and it's been really nice being able to have one centralized area for us to work from.

How has it helped my organization?

Monday.com has provided a centralized and easy-to-use area for my team to store all of our information and collaborate together. It's much easier than having to use multiple platforms. We really appreciate the customizable nature of dashboards, and it's really been a game-changer when it does come to housing documentation on our team.

Previously, we only used Google Drive, however, it was somewhat limiting since we really only used Google Docs. With Monday.com, we're able to have information stored in different formats, which is also helpful for different learning styles on our team.

What is most valuable?

My team has found the dashboards, subitems, assigning team members, and documents to be most valuable for what we do.

We don't tend to use the templates that are included in Monday.com, however, it's really nice to have flexibility over how we house our information and are able to use the platform.

The one piece that has been extremely useful is the form feature. My team has been able to use that to get candidate information and schedule interviews without as much of the back and forth through emails.

What needs improvement?

I honestly can't think of much off the top of my head—Monday.com has pretty much everything that my team would need to use on a day-to-day basis. Something that might be interesting to see in the future is having sub-items within sub-items so our team can be more granular with things.

It would be nice to have more customization around the documents, such as different title headings, fonts, etc. Just having more we can do with creating documents so we don't have to switch between Monday.com and Google Docs would be great.

For how long have I used the solution?

My team has been using Monday.com for over a year now.

Which solution did I use previously and why did I switch?

We did not use a different solution.

What's my experience with pricing, setup cost, and licensing?

It's worth the cost and it's honestly pretty user-friendly and easy to learn.

Which other solutions did I evaluate?

We did not evaluate other options.

Disclosure: My company does not have a business relationship with this vendor other than being a customer.

Easy for management of multiple projects with automatic deadline reminders and helpful support
Pros and Cons
  • "With the work boards easy to convert to Gantt charts, valuable time is saved when preparing for project meetings."
  • "I would like to see Monday.com create a Work Package Template which could be created and adjusted as per each project but could also be amended via an app on site should this be required."

What is our primary use case?

We use the solution to manage, oversee, and collate various projects within the telecom, security and IT sectors. The projects are of a great variety and contain many stages. I assign and delegate tasks to all project stakeholders inclusive of deadline dates. When managing multiple projects of no less than 15 at any one time, this software is great to get an overview of where you are and what deadlines are upcoming. With the work boards easy to convert to Gantt charts, this saves valuable time when preparing for project meetings

How has it helped my organization?

With setting up different users and tasks for each project stakeholder, when managing multiple projects the work overview board creates a clear list of what tasks are required from each stakeholder and when they are needed by. This is not only on the actual date. It is for future dates ahead as well.

Since bringing in Monday.com and using this for all projects, all stakeholders know their roles and responsibilities - meaning that projects now run in a timely manner and are very rarely overrun.

When working away from the office, the speech bubble for updates makes it easier to receive updates rather than via email.

What is most valuable?

The fact we are able to set automatic deadline reminders means that we will never forget a task that could delay the project and break various project tolerances.

With the work boards easy to convert to Gantt charts, valuable time is saved when preparing for project meetings.

Extracting individual work boards to send to each client to give them an overview and update of the status of their project saves valuable time creating individual RAID Logs.

It's vital when you are managing multiple different projects at any one time.

What needs improvement?

I would like to see Monday.com create a Work Package Template which could be created and adjusted as per each project but could also be amended via an app on site should this be required.

In addition, it would be good to have a signature field that clients could either sign via the app or email. This could be then utilized to sign off any jobs or acceptance once the project has been completed.

We'd like software for all elements of project management including sign-off in one central place without the need for an additional subscription - that would be perfect.

For how long have I used the solution?

I've used the solution for three years.

What do I think about the stability of the solution?

There have been a few outages, however, it is quickly fixed.

What do I think about the scalability of the solution?

Adding a signature field would fulfill my needs in terms of scale.

How are customer service and support?

The product offers excellent customer service.

How would you rate customer service and support?

Positive

Which solution did I use previously and why did I switch?

We did not use a different solution.

How was the initial setup?

The initial setup is very easy.

What about the implementation team?

I created and installed the solution myself.

What's my experience with pricing, setup cost, and licensing?

The solution is expensive yet worth it.

We did look at Smartsheet as well.

Great for to-do lists and offers helpful project and after-sales management
Pros and Cons
  • "We use less paper thanks to this product."
  • "The speed of the loading process should be better."

What is our primary use case?

We primarily use the product for:

  • To-do lists
  • Project management
  • After-sales management

How has it helped my organization?

We use less paper thanks to this product.

What is most valuable?

The automation capabilities are great.

It allows us to build workflows between departments.

What needs improvement?

The mirrored columns are not real columns and cannot be used as variables for notifies or other formulas.

We need fewer system outages.

We would like to be able to open Monday from a link directly in the open browser window without opening a new window - which takes too much time.

The speed of the loading process should be better.

For how long have I used the solution?

I've used the solution for three years.

What do I think about the stability of the solution?

The solution has recently been unstable.

What do I think about the scalability of the solution?

The large list loading time could be improved.

How are customer service and support?

I have no such experience with technical support.

How would you rate customer service and support?

Positive

Which solution did I use previously and why did I switch?

We did not previously use a different solution.

How was the initial setup?

The initial setup was done by myself.

What about the implementation team?

We had some help from our vendor, however, that was single questions and not a set-up training.

What was our ROI?

I've never calculated ROI since the alternative was a paper solution which we wanted to avoid at all costs.

What's my experience with pricing, setup cost, and licensing?

There is no cost per single user since licensing comes in various ranges of users.

Make sure your user numbers match the range, otherwise you will end up paying too much.

Which other solutions did I evaluate?

We also evaluated Trello.

Easy to use and administer with lots of different filters
Pros and Cons
  • "The handling and administration of Monday.com are manageable even for beginners."
  • "The export options are also not yet flexible and comprehensive enough."

What is our primary use case?

We use the solution mainly for project management. We use it as a system for our project managers and for our customers. This gives us, on the one hand, an overview on a high level across all projects, and, on the other hand, a detailed view of the specific project.

As a result, each role in the team has an instant view of what's going on and what individual tasks are required. Thus, nothing is forgotten anymore and double work has been drastically reduced. The number of emails has also been reduced.

How has it helped my organization?

With Monday.com, in the area of project management, we have a daily updated overview of current and upcoming projects. Each individual can make their own focused contribution through the assignments and interaction options, such as commenting and tagging.

The direct involvement of the customer in ongoing project management is also possible. This can make communication more targeted and can speed up approval procedures. For this purpose, a sufficient guest function with permission setup is offered by Monday.com in some plans.

What is most valuable?

A maximum of insights can be generated from a single data set with the help of different views and connections to other data sets. The handling and administration of Monday.com are manageable even for beginners. The numerous different views and filters cover the typical use cases in the project management area. In combination with the dashboard, reporting to internal and external stakeholders is ensured. Other tools can also be integrated via the API, making Monday.com a core enterprise tool.

What needs improvement?

An important point of improvement is the subitems. These are essential in everyday project work and not every comparable tool has this function. However, the functions of the subitems are not yet developed enough. For example, they are not fully compatible with all automation. They are also still limited in the area of dashboards. However, further functions will likely be added here successively through regular updates.

The export options are also not yet flexible and comprehensive enough. Although some things have been done here, all too often you have to rework things after the export.

For how long have I used the solution?

We have been using Monday.com for about two years.

Granular, with great task management, but it clutters your inbox
Pros and Cons
  • "It allows you to be granular, and send each step."
  • "What would be nice is if I had two days between deadlines and adjusted the day if it would automatically adjust the deadlines, even if I had to change one or two that might no longer work, it would save a lot of steps."

What is our primary use case?

We have a wide range of services that we provide from the reports that we write, Podcasts that we do, and webinars.

We categorize each deliverable by categories, such as a research report or an infographic, or a video, or a podcast. We create a series of steps or deliverables, and we assign people to tasks within each project.

What is most valuable?

It's very granular. The good thing is that we had a lot of steps in the budget process, and in the development process. It allows you to be granular, and send each step.

They just did a reorganization of the solution. Before if you had one topic, you had to put everything you do under that topic, or under that umbrella. Now you can break things up by task. For instance, we were doing research summaries or infographics. Before, they were combined under one umbrella, and now, if you want to look them up individually, you can do that. It has been better since then.

What needs improvement?

It's not that great. It clutters your mailbox. Every time something becomes due and every time you have something due, you get an email. If you are working on several projects, you could get several reminders. For example, just today I was inundated with 15 emails reminding me, of different projects.

It's not necessarily things that are due right that minute, or you're not otherwise aware of.

While it keeps you organized, and you always have a place to look at, you can be overwhelmed. There is no way to disconnect yourself. It just appears automatically. If you have subscribed to something, you will be inundated with messages.

It's still fairly manual. If for example, I wanted to make a change such as a date, there are 10 steps to process, and if I change one, they all have to change but there is no way of doing that automatically.

We have to go and individually update each one. What would be nice is if I had two days between deadlines and adjusted the day if it would automatically adjust the deadlines, even if I had to change one or two that might no longer work, it would save a lot of steps. But, for example, there are at least 20 steps involved in producing a research summary for our research firm. If I change one step at one deadline at the start, I have to go through 19 steps and change the date manually for each one.

For how long have I used the solution?

I have been working with monday.com for a little over a year.

We just updated to the latest version.

Which solution did I use previously and why did I switch?

We are a fairly small firm and we use several different programs for project management, communication, and conferencing.

What's my experience with pricing, setup cost, and licensing?

The price is reasonable for the number of users we have.

What other advice do I have?

I would rate monday.com a seven out of ten.
