What is our primary use case?

We primarily use the solution in our digital marketing agency. We provide services in design, video production, advertising, and web development. Also, our team is often trying to launch our own projects. 

On Monday, we manage our human resources, our equipment as cameras and lamps, distribute the workload, and plan tasks. In addition, we have automated our financial statements, and keep records of sales, contracts, and communication with customers.

I really do not know of any process in our business that does not go through Monday, except that we sometimes communicate in Telegram.

How has it helped my organization?

Now all our processes are in one tool. This saves the team time and energy.

Before that, we tried different systems, including industry solutions, however, they did not bring so much pleasure to the work. They were enough for a couple of months, after which they turned into a garbage dump.

Monday is so flexible that even we are not as flexible as it is. Any idea and change in the organization are implemented in a couple of hours. It helps a lot to try more, make more mistakes, and come to the right decisions faster.

What is most valuable?

The most valuable aspects include:

1) The mirror column which turns Monday into a serious interactive database that can cover all our processes. We have linked all aspects of the business together and there is no more duplication of data in the tables. This is difficult to do if you have never designed a database. In our case, we immediately realized that the mirror column allows you to make boards and powerful systems.

2) Guest access for the client significantly increases their loyalty and understanding of the value of what we do for them.

What needs improvement?

The solution could improve: 

  • Messenger-based communication with clients in CRM
  • Telegram integrations and notifications
  • Diagrams that better understand the timeline column (as Workload does). I really need an option to distribute the values from the "number" or "formula" column by all the days that the timeline column covers
  • Date-based diagram view (as workload or timeline view, with the diagrams)
  • Item group as a Kanban separator - not only a status column
  • Automation of timezone settings
  • More options for board-view sharing by links

What is our primary use case?

The product is primarily used for collaboration between team members, particularly around project management. We will add design, development and digital marketing jobs, and project briefs and change the status of said tasks daily. We'll allocate team members to projects, use the chat feature, and generally just keep projects flowing within our creative and marketing agency. 

We also use Monday.com to store client information, run purchase orders and keep tabs on our retained clients. We have various boards not only set up for our clients, but for the business too. Whether that be campaign ideas, staff updates and more.

How has it helped my organization?

We now have a central hub for all information regarding jobs and clients, and it makes it much easier to share the workload between the team. 

It's especially helpful for colleagues working from anywhere/remotely, as they can simply log into Monday.com and find the information they need. Each of our clients has their own board, then within the boards, we can categorize by area (i.e. design, development, copywriting, etc). 

The automation in particular is a help. When a design job is set to 'Complete', the developers are informed straight away. It's a very useful tool and takes away the smaller manual jobs we used to have to do.

What is most valuable?

I personally like the visual aspect of Monday. As a team of creatives, It's highly important that we are able to color-coordinate jobs/status and it makes it so much easier to differentiate between clients and tasks. 

The appearance of Monday.com makes it easier to consume and digest. The search feature is also very handy. As our business has grown, and jobs have increased and Monday has grown with it. We can search for the items we need, however, the boards still also look good and have remained well-organised.

What needs improvement?

When replying to colleagues, it would be useful to see the formatting options (bold, bullets, etc.). You can only see these when composing the first message. 

Subitems from subitems would also be beneficial at some point in the future. 

The 'My Work' section could be improved. At the moment, the jobs are listed by date - i.e. overdue, today, this week, etc., however, it would be better to see these by each client and to see them in the exact way we do in the normal view of Monday (or at least be given that option).

I've used the solution for around three years.

What do I think about the stability of the solution?

The stability is very high.

What do I think about the scalability of the solution?

The scalability is very high.

The initial setup is straightforward. It just takes time. Dedicate some time in your calendar, along with at least one other colleague to test it out/set up.

An in-house team set up the product.

What was our ROI?

I'm not 100% sure of the ROI, to be honest, however, it has saved on manual labour, ensuring our team are working to the best they can be.

What's my experience with pricing, setup cost, and licensing?

I'd advise potential users to just shop around and make sure it works for them. Sample it with a couple of users first, and have a play around before fully committing.

Which other solutions did I evaluate?

We also looked into Asana and Harvest.

What other advice do I have?

Users should be sure to take advantage of the automation. They're intimidating at first yet easy to set up once you've created one or two. It takes some time to get going with it. Be sure to set that time aside.

What is our primary use case?

We use the solution to create workflow processes for our team and to manage sales funnels and large projects. We can easily manage different projects each with different tasks and we can duplicate that template for the next project once we have perfected it. 

Our team was struggling with a way to manage and communicate all in one location. Monday.com has helped us to focus on building a workflow that works for us along with keeping us organized. There are an endless amount of integrations that have allowed us to use Monday.com as the one central location that we all work from now.

How has it helped my organization?

It has allowed us to all be more organized and focus on the tasks that are assigned to us. 

We've seen a significant increase in our productivity and it's much easier to manage each team member's performance. 

We have saved an incredible amount of time by having all of our tools and resources in one place. We've been strictly using Monday.com for the management of our projects and each team members work load. The amount of time we've been able to save using this tool has been significant for our business. 

What is most valuable?

Assigning tasks to a person with due dates has been great. Also, the templates for boards make it easy to jumpstart a project through a board very quickly. 

The various integrations have made it easier for us to focus on keeping our information in one place so that we're not spending time (wasting time) trying to find information in different places online. 

Overall the ability to use integrations, assign tasks, and create board templates has been the most valuable features of Monday.com. It's improved our overall performance. 

What needs improvement?

I'd love to see more automation with the additional cost. 

I have not explored all the features it offers, so at this time I do not know for sure what can be improved. Perhaps having an onboarding consult so that someone could help us set up our boards in a way that makes sense for our business would be helpful. With so many options, it can be difficult to know how to improve what we're getting out of this tool without someone to help guide us. That would be my only recommendation at this time - a more hands-on onboarding process.

There have been a few times when our team was receiving error messages when working on Monday.com. The stability could be improved.

There are tremendous growth opportunities with this tool.

What is our primary use case?

We are a small marketing team of about five. I was the first marketing hire. I chose Monday out of a variety of other solutions as I liked the flexibility of it and my product designer liked the look of it. 

I started managing our strategy and goals in here so our team could stay connected even though we don't live near each other or go into the same office or work in the same room. It helps us all look at the same goals and stay connected to the same mission so we are all moving in the same direction.

How has it helped my organization?

In short - it keeps a remote asynchronous team in sync. I keep our quarterly goals on their own board, then our monthly goals, then our weekly team items. Each function also has its own boards. For example, website development has its own project management board. SEO has its own rankings board. Our content calendar is on Monday with a space to track ideas and another space to track existing SEO rankings of published blogs and articles. Our department head and CEO can check Monday at any point to see where we are at with our marketing strategy and plan and see what the team is doing. 

What is most valuable?

The templates are extremely valuable. I wouldn't know where to start when creating something new. I like the variety in templates and the ability to customize pretty much anything. Assigning owners is also helpful. Everyone can filter the board by themselves to just see items that relate to them. The filter options give each team member a bit of brain space and allow them to prioritize what is meant exactly for them. I also like the docs to be able to brainstorm free flow, but wish they had some updates so they could be more usable.

What needs improvement?

The docs could be improved. We need docs where we can manage content management inside of Monday. Ideally, even being able to loop in some basic SEO in a panel on the side like Frase.ai would be a powerful solution and would make it difficult for businesses to pull out if everything is managed inside of Monday. 

It would be nice to see changes made, who made them, and have an approval process similar to Google Docs. Having a panel where you can pull in whatever integrations (like Frase) could help you create documents. 

The more integrated people are into the product, the better.

We need the solution to integrate with Craft. We might have to switch to Airtable as the solution doesn't integrate with Craft.

The product is very stable.

We are a small team of five just starting an agency. We have no offices and needed something that everyone could access to track projects, schedules, tasks, administrative needs, contacts, and more.     

How has it helped my organization?

It has allowed our small team of five to deliver more projects on time and with quality as well as instill trust with clients that their projects do not fall through the cracks. It has been instrumental.

What is most valuable?

We have found the ability to export outboards to Excel, the schedule and charts you can create, and the ability to connect boards for custom automated workflows all invaluable.

What needs improvement?

I don't have any comments on current improvements to what is there, however, a new feature that we would love is the ability to create custom reports from our workspaces. It would negate the need to export boards individually and then take all that data and make our own reports with third-party software. We'd even pay for this upgrade as I could see this being something we could gain a ROI on for clients as well.

The solution is very stable. In two years, we only had one outage and it was minimal downtime.

The product is very scalable for small to medium-sized teams and businesses. However, larger firms need a robust CRM tool and features that Monday doesn't provide. For example, an enterprise would likely need accounting projections, HR functions for staff data, etc.

The technical support is great! They are quick and responsive.

What is our primary use case?

We primarily use the solution for both sales tracking and project management. In the case of sales tracking, we have a list of potential customers qualified in different ways, as well as customers. This allows us to contact customers, review past proposals, and update them. Potential customers can vary in terms of type of industry they are in, the size of the company, requirements and needs, etc. In the case of project management, it's used for customers which we need to perform services for. It also helps us with Gantt charts and budget planning for current customers.

How has it helped my organization?

The solution helps us track sales opportunities much better. We lost many potential customers as there was a lack of follow-up or even knowledge of their existence. Now, it's easy to find quotes, specific information about customers, locations, or anything related that can provide a guideline on how to approach a certain customer with a follow-up. It helps us be organized much better with current projects, potential customers, and also historic data with past projects. In the case of ongoing projects, it helps us track expenses, dates, and other specific details that eventually make a huge difference in day-to-day activities.

What is most valuable?

We like the aspects of adding files, creating tables or workspaces, easy to use tools to update existing information in workspaces. There are a lot of features and once you understand how to use them, it's quite easy to get the benefit out of them. 

Probably the feature I like the most is how easy it is to create a new item in a table. You have several ways to do it and all of them are easy and intuitive. It allows you to create new items, with all the columns available for that item. This sounds like something that is easy and should be a given in every type of platform, however, it is not easy or a given. It is a good feature that makes things easy for users.

What needs improvement?

We'd like it if it was possible to create two separate environments that mirror each other - one productive ("real") and the other for testing. That would be kind of like what some ERPs have, just to allow users to move and experiment and throw around different formats. When you finish, you could apply changes to a productive environment. That would be a cool feature.

Another feature I would like to see is to have a brief explanation of what a certain function does. Maybe a mouseover, or, as you roll the mouse to the top right of the page, it displays a text describing the end results that you can achieve with a specific function.

For how long have I used the solution?

I've used the solution for more than two years.

What do I think about the stability of the solution?

Sometimes the solution fails. That said, is not common. I would say it has an availability above 97%.

What do I think about the scalability of the solution?

The solution is scalable, however, I would advise planning on how to organize workspaces and tables before starting to load information into them. It can save thousands of hours invested in changing or adapting once you have already started using it.

How are customer service and support?

Technical support is ok. It's not perfect and not bad either.

We did not really use a different solution. We used Excel, however, it's not the same type of software.

It's expensive, especially if you are in Mexico as we are. That said, it's worth giving it a shot. As with any other software, the information that users feed the system with will eventually determine if it is valuable or not. It doesn't matter if the software is the best in history, if the information that users provide is flawed, it will be a problem. As long as it is used correctly, I recommend Monday.

What is our primary use case?

We use Monday.com as our primary tracking tool. We have developed several boards to help track progress from sales to employee training and reviews. We have found that dashboard views to be most helpful in giving our staff a visual into the progress of their performance. The ability to communicate back and forth as well as house files essential to the boards right on Monday is priceless to the continuation of managing our projects. That is why we primarily use this as a tracking tool. We can communicate progress and chat in real-time all while looking at the same information.

How has it helped my organization?

It has really given us a level of communication on a central platform that far exceeds what we have endured in the past. We are able to get all pertinent personnel information in a real-time manner which is key with the bulk of employees on the go or in different states. We have collaborated with our joint ventures too by using boards in a shareable manner to give them a window into the progress of the projects we are currently progressing on. It has given us a way to present items inside and outside our corporation with another layer of professionalism by using views as charts, et cetera. 

What is most valuable?

Automation is definitely a favorite of mine. I use it to create efficiency in moving items to groups as well as triggering reminders to coworkers. This area of Monday.com alone has helped keep me on track with tasks as well as giving me a level of security in knowing that if I put the automation in place I can go about my day, focusing on other priorities and not having to remember all of my tasks. 

I also really find the linking of boards to stream information across worth its weight in gold as we navigate anywhere from tool tracking and logging to Gantt charts which we share with customers outside of Monday.

What needs improvement?

Sometimes the limit of parts on a board (500 units) can inhibit growth. I have used multiple boards to achieve things that I had hoped to do on with one due to this limit. 

Also, there needs to be an implementation of a better way to time track in order to use Monday as a payroll tracking system for employees. A clear clock in and clock out that can track up to 1/4 hours would be useful. This improvement to the time tracking would be what I would most like to see come out on a future release. It would definitely bridge so many gaps that lack in the accounting software that we use on a daily basis.

Our company has been using the product for approximately three years.

What do I think about the stability of the solution?

Monday.com is very stable overall. I have only experienced a few downtimes in all the years we have used it. I can say we use it right along with our accounting software and email every day.

What do I think about the scalability of the solution?

I am impressed with the scalability options I have seen so far.

How are customer service and support?

Technical support has been great. I mentioned earlier about the part item limitations; I reached out and the team was very responsive.

If you have a basic knowledge of software, the initial set up is straightforward.

I would estimate it was less than 6 months until we saw an ROI. Knowing what you want is the key. The next step is just getting your employees to buy-in. Once that happens, they can see the value very quickly.

What's my experience with pricing, setup cost, and licensing?

If I talk about Monday I encourage people to use the Pro Plan. The lower plans are a good place to start, however, what you gain on a Pro Plan is where I believe you get the most bang for your buck. 

Which other solutions did I evaluate?

I have heard of other tools and some of our employees like Microsoft Teams, however, I feel that Monday is superior in the manner it can work with Teams and other platforms to provide a more complete service.

What other advice do I have?

If I were a private business consultant, I would recommend Monday.com all day long as a no-nonsense solution to improve any business. The capabilities are unmatched by the price point given by Monday.com.

What is our primary use case?

We use Monday primarily as a task/project manager. Some boards are simple "to-do" punch lists. Some boards are for full-team collaborations on product and packaging design. Within our Monday account, a product is researched, pitched, briefed, concepted, reviewed, revised, submitted for a quote, sent to mass production, checked for quality control, launched, marketed, and supported into its future. We maintain due dates, assign responsibilities within larger tasks, critique and punch up creative material, record budgets, and utilize automation to move tasks between teams and internal processes.

How has it helped my organization?

We moved from Asana to Monday in 2018. We needed a task management solution that would fit the varied internal processes of our business. Some teams and tasks are pure creative, some pure logistics. Everyone has different KPIs that matter to them.

Monday allowed us to customize a unique board full of targeted information for each team and process while keeping all team members on the same shared platform. We value teams across functions being able to stay attuned to each other's work. It creates accountability and reduces siloing.

What is most valuable?

Big Picture: Being able to add and subtract columns from a board. We see only what we want to see, and it's there, top-level, at a glance. Being able to see the physical status of a single team without having to drill down to the task level is very valuable.

Small Picture: The status boxes are super impactful. The changing colors are visually distinct and powerful, but the wild amount of customization they offer for different contexts, and even being able to comment directly on a changed status adds a ton of clarity to a team's progress (or lack thereof).

What needs improvement?

I wish the Time Tracking features were a little more robust. We are interested in replacing Toggl with Monday's in-built time tracking features so that we can consolidate more of our internal software into Monday, but the time tracking features aren't quite there yet.

For example, if a task is assigned to multiple people, and User One tracks two hours while User Two tracks three hours, Monday's reporting through their dashboard will show that both users tracked five hours, and it looks like ten hours were spent in total. Since so many of our processes are in collaboration, this feature as it stands is pretty useless to us and forces us to use an external piece of software to handle it (and we don't particularly like Toggl's reporting).

What do I think about the stability of the solution?

The stability is dependable. Over the course of four years, Monday has been down in a way that affected our workflow fewer times than I can count on both my hands.

What do I think about the scalability of the solution?

We went from small to mid-size while using Monday. It has plenty of features that would allow it to scale with us further, including important permissions and visibility features. We also have dedicated ways to section off content, reorganize by importance, and place boards into folders.

How are customer service and support?

Technical support is speedy and professional. Thorough. Responsive. We haven't had an issue go unresolved. In the earlier days of the service, some of our limitations were eventually remedied with feature updates.

Which solution did I use previously and why did I switch?

We previously used Asana. At the time we were simply pricing out alternatives, as our team had grown into a new pricing bracket with Asana, Monday was priced competitively for our size. We were given a two-week test drive of Monday and then understood that it wasn't simply a cheaper option. It was a more flexible option for our business.

How was the initial setup?

The initial setup was complex. We needed a champion to get set up and moved over from Asana and understand any new limitations. It was not something we could just toss to any/every employee and expect success. However, the documentation and help files are very clear and kept up to date. It's easy to pick up and learn.

What about the implementation team?

We implemented through an in-house team.

What was our ROI?

Monday is a big part of our entire product lifecycle, and we're launching hundreds of products a year. The price tag starts to look pretty miniscule.

What's my experience with pricing, setup cost, and licensing?

To a complete novice, Monday 'feels' a little more complex than competitors and 'feels' a little overwhelming. You'll need a champion or two in your workplace to learn the ins and outs and set up boards to a baseline configuration. That said, once folks are comfortable and customizing it to their needs, it really starts to sing.

Which other solutions did I evaluate?

We evaluated a few other services of varying levels of complexity, Basecamp and Trello amongst them. Some raw time-tracking and to-do list software that would've required additional administration, some fuller-service options.
